Speaker Information

Welcome to the Oracle Conferences San Francisco 2013 speaker portal. This portal is the one-stop source of information for all presenters at this year's events. These pages will provide you with the most up-to-date information relevant to speaking at Oracle OpenWorld, JavaOne, MySQL Connect, and Oracle PartnerNetwork Exchange @ OpenWorld.

Please review the information in the portal in its entirety. Pay close attention to the Speaker Information page, where you will find the mandatory speaker tasks required of all speakers in order to participate. Thank you for contributing to the success of this year’s conferences.

Speaker Resource Center (SRC)

After you have read through all the information on these pages, your next step is to log into the Speaker Resource Center. The Speaker Resource Center (SRC) is the place speakers must go to complete the mandatory tasks related to their participation and sessions.

All tasks are explained on these pages; additional instructions to complete each task can be found in the SRC.

The link to the SRC is located below and requires a login. The SRC automatically recognizes speakers whose sessions have been accepted.

To access the site enter the following address in your Browser or click on the link below and enter the username and password. Please copy and paste the login and password, the letters and numbers are case sensitive.

Once you have entered the site locate your file by the ID # 11885852 and check the box beside it. Next select the download option from the menu on the left hand side of the screen. A dialog box will appear and you will need to select the location to which you would like to save the file. After this is done you will be able to see the progress of your download until complete.

Speaker Information

Important Actions for Each Speaker

*All of the below tasks below are mandatory and should be completed in the Speaker Resource Center (SRC)

  1. Accept the Speaker Invitation: All speakers listed on a session must accept the Speaker Invitation for each of their sessions. This is a session task in the SRC. If you do not accept, you will be removed as a speaker from the session.
  2. Respond to the Speaker Consent Form (non-Oracle speakers only): This is a session task in the SRC. Non-Oracle speakers will need to respond to the terms of the Speaker Consent form, which authorizes Oracle to promote, publish, and disseminate content post event. Under special circumstances, speakers may decline the consent form. The consent form approval process must be completed for each session for which you are a speaker.
  3. Register for the Conference: All speakers must register. This is a participant task in the SRC. If you have already registered and paid for the conference, your payment will be refunded. Note: this is a separate task from accepting your invitation to speak.
  4. Complete the Compliance Step. (government or private sector, non-Oracle speakers only): Speakers who have already registered must complete the compliance step. This is a participant task that is applicable to government or private sector speakers.
  5. Upload Your Presentation: All speakers must upload their final presentation (one file only is allowed) by the due date indicated. This process is completed within the SRC. Instructions are provided in the SRC.

Presentation Template

Oracle employee speakers must use the approved 2013 PowerPoint template for the event at which they are speaking, combined with the Oracle generic corporate template. The templates and instructions can be found here.

The use of these templates is for Oracle speakers only. Non-Oracle speakers should use their company’s or a generic PowerPoint template.

Please note that for all conference sessions Oracle uses the wider 16:9 aspect ratio format; all presentations should be uploaded in that format. (If you need to convert to 16:9 from another aspect ratio format, you can Google instructions on how to do that.)

You are required to bring your presentation file with you on a memory stick, or you may present from your own laptop—presentations are not preloaded.

Presentation files are optional, and not required for BOFs, HOLs, or SIG meetings.

Speaker Changes

To make a speaker change, send an email to speaker-services_ww@oracle.com. Include the session ID and title of the session. Be sure to note the speaker to be removed if applicable. For speaker additions, provide the speaker name, company, and e-mail address of all speakers involved in the change. Please confirm you have notified the speakers of all changes.

The deadline to make speaker changes is Tuesday, August 27.


Dress Code

The dress code for speakers is business casual.

The toolkit is a set of tools designed to help you generate awareness and enthusiasm for your presentation at one or more of these conferences.


Speaker Offices

  • There will be several speaker offices at the conference(s). Details and hours are below.

  • Speaker badges are needed to access speaker offices. You will not be able to bring anyone into the office who does not have a speaker badge.

  • Speaker offices are meant to be a quiet place to work and will have internet access. Please refrain from holding meetings or phone conversations in the office. Limit your time on the internet to 20 minutes if someone else is waiting for access.

  • Printers and supplies will not be available in the speaker offices.

Be sure to familiarize yourself with your session location before your session(s) so you have plenty of time to get where you’re going.


Session Duration

You will receive details on the length of your session in your schedule confirmation e-mail.

As a general rule:

  • Conference sessions: 1 hour
  • Birds-of-a-Feather sessions (BOFs): 45 minutes
  • Hands-on labs: 2 hours
  • Tutorials: 2 hours
  • Most other session types: 1 hour

Speaker Limits by Session Type

Conference Sessions:
  • Maximum of 3 Oracle speakers
  • Maximum of 2 non-Oracle speakers
  • Can consist of any combination as long as it does not exceed 3 speakers in total

Conference Sessions in Panel Format
  • Maximum of 5 Oracle speakers
  • Maximum of 4 non-Oracle speakers
  • Can consist of any combination as long as it does not exceed 5 speakers in total

Hands-on Labs
  • Maximum of 8 Oracle speakers
  • Can consist of any combination of Oracle and non-Oracle speakers, as long as it does not exceed 8 speakers in total

All other session types
  • Maximum of 3 Oracle speakers
  • Maximum of 2 non-Oracle speakers
  • Can consist of any combination as long as it does not exceed 3 speakers in total

Presentations

All speakers are required to bring their presentations with them to their session(s). Speakers may choose to run their presentation from their own laptop or bring their presentation on a memory stick to use on the system provided in the session room.

One of the required speaker tasks is to upload the final presentation to the SRC no later than September 16. Please read the information below about this required task carefully.

All conference session(s) at Oracle conferences will offer attendees the opportunity to access presentations post-conference. To meet this requirement, be sure to upload your presentation(s) to the SRC by the deadline provided. Read and respond to the speaker consent form located in the SRC. Responding to this form is a mandatory task for non-Oracle speakers only. This consent form gives us permission to make your presentation public post-event.

More details about the presentation upload process are below and also posted in the SRC.

  • Presentations need to be uploaded to the Speaker Resource Center (SRC).
  • All presentations must be uploaded by September 16.
  • Presenters who do not meet this deadline may have their presentation cancelled.
  • Presentations must be uploaded in PowerPoint format (.ppt or .pptx) or PDF format only and may not exceed 25 MB in size.
  • Make sure to upload the FINAL version of your presentation to the SRC. Presentation files will not be collected onsite after the session.
  • Bring a soft copy of your presentation with you to your session. Presentations are NOT pre-loaded.
  • Oracle speakers must use the approved corporate event templates.
  • Non-Oracle speakers may use their own company template or a generic one.
  • If you choose to combine two or more sets of slides into one presentation, all speakers must keep to their own company’s presentation template. You may combine into one file, while maintaining separate slide templates.
  • Only a single file can be uploaded per session.
  • Modified versions can be uploaded if needed. If a modified file is uploaded, it will replace any existing file that was already uploaded. The last day to upload a modified file is Wednesday, October 2.
  • When you upload your final presentation on or before September 16, the system will auto-assign a file name.
  • The Speaker Consent form allows Oracle to display your presentation to our attendees post-event. Be sure to respond to the speaker consent form in the SRC, allowing us to offer this benefit.
  • If you did not agree to the speaker consent form, you will not be required to upload your file. However, you are required to bring a soft copy of your file with you to your session room on the day of your presentation.
  • Presentation files are optional, and not required for BOFs, HOLs, or SIG meetings.

Session Guidelines

  • Be sure to bring a soft copy of your presentation with you to your session, either on your laptop or a memory stick. Presentations are not pre-loaded.
  • Allow 10 minutes for a question and answer period (Q&A) within your session time.
  • Be courteous to your fellow speakers and finish by your scheduled time. Once your presentation ends, continue any follow-up conversations outside of your session room and away from other session room entrances.
  • Note the location of your session. Double-check it the day of the presentation, as room or schedule changes may have been made.
  • Arrive at your session room at least 15 minutes before your scheduled presentation time.
  • Introduce yourself to attendees at the beginning of your session.
  • Sessions that are interactive rate number one on survey comments from our attendees. To meet this expectation, engage with your audience and be as interactive as possible during your presentation. Identify objectives at the beginning of the session, and elicit feedback at the end on how well you met them.
  • Do not include proprietary or confidential material in your session abstracts or presentations.
  • Be sure you have permission to use any material you have obtained from others.
  • Oracle reserves the right to edit session titles, abstracts, and objectives for clarity, length, or style, and to ensure correct use of Oracle product names (for example, Oracle product names may not be truncated or abbreviated).
  • Session attendees will be asked to complete session surveys. Speakers will be able to view the results of their session surveys after the conference.
