Managing Oracle Content Services Categories

Overview

Oracle Content Services is a database-centric content management system that provides an integrated solution for files and document lifecycle management. Oracle Content Services enables enterprise customers to utilize one application to manage all of their unstructured information.

Application Administration tasks performed by the Business Administrator involves managing categories, users, quota, libraries, content, and records at the Site and Container level. Application administration is divided into multiple administrator roles that can be assigned at the Site level only or at both the Site and Container level.

By associating categories with files and modifying the attributes of a category, users can organize and classify their information. Users can also search for files by category and by a category's attributes.

Users can categorize files by applying categories to them in the File Properties window. Configuration Administrators and administrators of Libraries and folders can exclude or specify required or optional categories for folders. If required, users must enter information for these categories when uploading or checking in files.

Categories can be divided into sub-categories, and can have one or more attributes. Categories are created and configured for a Site by the Category Administrator. Categories are listed and sorted by name.

Category Administrators manage categories within a Site. They can create categories for a Site, thereby defining a hierarchy of categories and Sub-categories available to users in a Site. In addition, Category Administrators modify and delete categories, as well as add additional categories to any point in the category hierarchy.

Category Administrators can create, modify, and delete categories within a Site. A name must be provided for each category when it is created.

Category Administrators can also add and remove category attributes. The only modification that can be made to an existing attribute is the default value, and whether or not it can be prompted.

This tutorial covers how to set the default library quota and how to set the retention period for archived content.

Have access to or have configured Oracle Collaboration Suite 10g.

Have access to or have the Oracle Content Services user interface window for Oracle Collaboration Suite 10g.

Creating a Root Category

Max has to create a root category called Regions. He uses the following steps to perform the task.

To create a root category, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

The Administration page is displayed by default. Click the Manage Categories link to view the Manage Categories page.

Tip: Click the Switch to Administration (key) icon in the left of the window if the Administration page is not displayed. Select View > Panes > Administration menu options as an alternative to the Switch to Administration icon.

 

6.

Click New Category.

 

7.

The Categories Information pop-up page is displayed. Enter the details in the Name and Description fields and then click OK.

 

8.

The Manage Categories page is displayed again. Click the arrow next to "/" to expand the root category.

 

9.

The newly-created category is displayed. Sign out and close the user interface window and the Oracle Collaboration Suite Content Services window.

Creating a SubCategory

Max has to create a subcategory called Quarters under the newly created category. He uses the following steps to perform the task.

To create a subcategory, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

The Administration page is displayed by default. Click the Manage Categories link to view the Manage Categories page.

Tip: Click the Switch to Administration (key) icon in the left of the window if the Administration page is not displayed. Select View > Panes > Administration menu options as an alternative to the Switch to Administration icon.

 

6.

The Manage Categories page is displayed with the available categories. Select the option button next to a displayed category to indicate that you want to create a subcategory under this category.

 

7.

Click New Sub-Category.

 

8.

The New Category pop-up page is displayed. Enter the details in the Name and Description fields and then click OK.

 

9.

The Manage Categories page is displayed again. Click the arrow next to the newly-created category to expand the category.

 

10.

The newly-created subcategory is displayed. Sign out and close the user interface window and the Oracle Collaboration Suite Content Services window.

Modifying a SubCategory

Max has to modify the subcategory called Quarters to rename it to FYQuarters. He uses the following steps to perform the task. He must use the same steps if he wants to modify a category.

To modify a subcategory, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

The Administration page is displayed by default. Click the Manage Categories link to view the Manage Categories page.

The Manage Categories page is displayed. Select the option button next to the subcategory whose properties you want to edit.

Tip: If you do not see the subcategory, click the arrow next to "/" to expand the root category.

 

7.

Click Modify Category.

 

8.

Change the subcategory details as required and then click OK.

 

9.

The changes are displayed in the category listing. Sign out and close the user interface window and the Oracle Collaboration Suite Content Services window.

Deleting a SubCategory

Max has to delete the subcategory called Billing under Regions. He uses the following steps to perform the task. He must use the same steps to delete a category.

To delete a subcategory, perform the following steps:

Select the option button next to the subcategory that you want to delete.

Click Delete.

The subcategory is removed from the category listing. Sign out and close the user interface window and the Oracle Collaboration Suite Content Services window.
