Managing Oracle Content Services Groups

Overview

Oracle Content Services is a database-centric content management system that provides an integrated solution for file and document lifecycle management. Oracle Content Services enables enterprise customers to utilize one application to manage all of their unstructured information.

Application Administration tasks performed by the Business Administrator involves managing users, quota, libraries, categories, content, and records at the Site and Container level. Application administration is divided into multiple administrator roles that can be assigned at the Site level only or at both the Site and Container level.

User Administrators manage all groups in a Site. They have Manager access for all groups in a Site, which allows them to add and remove members from a group, and assign the Group Manager role to a group member. Once a Group Manager is assigned, then the manager can modify and delete existing member properties of the groups they manage.

The focus of this tutorial is to illustrate how to perform administrative tasks related to groups in Oracle Content Services.

Creating a Group in Oracle Content Services

As a Business Administrator you can create groups in Oracle Content Services. This helps in assigning roles and privileges. You can also create a group based on an existing group.

In this topic, you perfom the following tasks for creating groups in Oracle Content Services:

Max has to create a group called Business Administrators. He uses the following steps to perform this task.

To create a group, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

Click the Switch to Groups (groups) icon in the left of the window.

Note: To ensure that you are the groups-level, check that the value "/All Groups" is displayed in the Current Location field.

Tip: You can select the View > Panes > Groups menu options as an alternative to clicking the icon.

 

6.

Select File > New > Group.

 

7.

The Create Group page is displayed. Enter the name and description for the group being created.

 

8.

Click Add to add members to the group.

 

9.

The Find Users or Groups page is displayed. Enter the user name and then click Search.

 

10.

Select the user whom you want to add to the group and then click Select.

Tip: You can add more than one user to the group at the same time by searching for and then selecting the user or users. You see the list of users in the group under the Selected Users/Groups section.

 

11.

Click OK when you have added all the required members to the group being created.

 

12.

The Create Group page is displayed again. Click OK.

 

13.

The All Groups page is displayed with the new group listed in the right pane. Sign out and close the user interface window and the Content Services window.

Max has to create a group called Administrators based on an existing group called Business Administrators. He uses the following steps to perform this task.

To create a group similar to another group, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

Click the Switch to Groups (groups) icon in the left of the window.

Note: To ensure that you are the groups-level, check that the value "/All Groups" is displayed in the Current Location field.

Tip: You can select the View > Panes > Groups menu options as an alternative to clicking the icon.

 

6.

In the right pane, right-click the group based on whose properties you want to create a group and then click Create Like.

 

7.

The Create Group page is displayed. Enter the name and description for the group being created. Notice that the members of the original group are already displayed as members of this group.

 

8.

Click Add to add more members to the group.

 

9.

The Find Users or Groups page is displayed. Enter the user name and then click Search.

 

10.

Select the user whom you want to add to the group and then click Select.

Tip: You can add more than one user to the group at the same time by searching for and then selecting the user or users.

 

11.

Click OK when you have added all the required members to the group being created.

 

12.

The Create Group page is displayed again. Click OK.

 

13.

The All Groups page is displayed with the new group (Administrators) and the group on which the new group is based (Business Administrators). Sign out and close the user interface window and the Content Services window.

To modify the properties of a group, perform the following steps:

1.

Open a new browser window and enter the following URL:

In the Sign In window, log on with your <username> and <password> and then click Sign In.

To add members to a group, perform the following steps:

In the Search Results section, select the user whom you want to add to the group and then click Select.

The selected name is listed in the Selected Users/Groups section. Click OK.

Tip: To add more than one member at the same time, search for and then select user. Click OK when you have finished adding all the required users as members to the group.

12.

In the Group Properties page, click OK.

 

13.

The All Groups page is displayed again. Sign out and close the user interface window and the Content Services window.

To add other groups to a group, perform the following steps:

Enter the name of the group to be added and then click Search.

In the Search Results section, select the group that you want to add and then click Select.

 

 

12.

The selected name is listed in the Selected Users/Groups section. Click OK.

Tip: To add more than one group at the same time, search for and then select the group. Click OK when you have finished adding all the required groups to the current group.

13.

In the Group Properties page, you see the group added to the group members list. Click OK.

 

14.

The All Groups page is displayed again. Sign out and close the user interface window and the Content Services window.

Max has to change the roles of some of the group members of the All Administrators group. He uses the following steps to perform this task.

To change the role of a user within a group, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

Click the Switch to Groups (groups) icon in the left of the window.

6.

In the right pane, right-click the group whose properties you want to change and then click Properties.

Click Members.

Select the new role from the Role drop-down list for the member or members of the group.

Tip: To change the role for more than one user at the same time, change to the required value in the Role drop-down list next to the users.

 

9.

Click OK when you have finished editing the roles of the users in the group.

 

10.

The All groups page is displayed again. Sign out and Close the user interface window and the Content Services window.

Deleting a Group in Oracle Content Services

As a Business Administrator, you are responsible for deleting groups in Oracle Content Services. Max has to delete groups in Oracle Content Services. He uses the following steps to perform the task.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

Click the Switch to Groups (groups) icon in the left of the window.

Note: To ensure that you are the groups-level, check that the value "/All Groups" is displayed in the Current Location field.

Tip: You can select the View > Panes > Groups menu options as an alternative to clicking the icon.

 

6.

Right-click the group that you want to delete and then click the Delete shortcut menu option.

 

7.

The Delete Group dialog box is displayed with the message "Are you sure you want to delete the selected groups?". Click Yes.

8.

The All Groups page is displayed with all groups, except the deleted group, listed in the right pane. Sign out and close the user interface window and the Content Services window.
