Managing Oracle Content Services Libraries and Archives

Overview

Oracle Content Services is a database-centric content management system that provides an integrated solution for file and document lifecycle management. Oracle Content Services enables enterprise customers to utilize one application to manage all of their unstructured information.

Application Administration tasks performed by the Business Administrator involves managing users, quota, libraries, categories, content, and records at the Site and Container level. Application administration is divided into multiple administrator roles that can be assigned at the Site level only or at both the Site and Container level.

Libraries are the first level in the Oracle Content Services folder hierarchy where content is added. A Library is only visible to Site and Container level administrators and members of the Library.

Library Administrators can create and delete Libraries, but they cannot change the configuration settings of the Library after it has been created. Library Administrators can also move Libraries if they have Container Administrator privileges in the target Site or Container. In addition, Library Administrators can rename and set Library descriptions.

Content Administrators manage and have access to all content within the archive. In addition, Content Administrators can restore and remove files from the archive. However, Content Administrators cannot change the security settings of content in the archive.

Have access to or have installed Oracle Collaboration Suite 10g.

Have access to or have configured Oracle Collaboration Suite 10g.

3.

Have access to or have the Oracle Content Services user interface window for Oracle Collaboration Suite 10g.

Setting the Default Library Quota

Max has to set the default quota for Libraries. He uses the following steps to perform the task.

To set the default Library quota, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

The Administration page is displayed by default.

Tip: If the Administration page is not displayed, to navigate to this page select View > Panes > Administration. Click the Switch to Administration (key) icon in the left of the window as an alternative to the View > Panes > Administration menu options.

 

6.

Click the Quota Settings link in the left pane.

 

7.

The Quota Settings page is displayed. Change the value in the Default Library Quota field as required and then click Save Changes.

Tip: You can select the quota measure by using the drop-down list.

 

8.

The Quota Settings page is displayed again with the changed settings. Sign out and close the user interface window and the Oracle Collaboration Suite Content Services window.

Setting the Retention Period for Archived Content

Max has to set the retention period for content in the archives. He uses the following steps to perform the task.

To set the retention period for archived content, perform the following steps:

1.

Open a new browser window and enter the following URL:

http://<OCS host>:7778/content

The Oracle Collaboration Suite Content Services window is displayed. Click Launch.

 

2.

In the Sign In window, log on with your <username> and <password> and then click Sign In.

 

3.

If this is the first time you are signing in to Oracle Content Services, you will see the Welcome to Oracle Content Services page. Click OK.

 

4.

The Oracle Content Services user interface window is displayed in end-user mode. Click Switch to Administration mode.

 

5.

The Administration page is displayed by default.

Tip: If the Administration is not displayed, to navigate to this page Select View > Panes > Administration. Click the Switch to Administration (key) icon in the left of the window as an alternative to the View > Panes > Administration menu options.

 

6.

Click the Archived Content Expiration link in the left pane.

 

7.

The Archived Content Expiration page is displayed.

De-select the Immediately empty content from the Archive check box to enable the remaining options in the window.

Change the value in the field How long should content remain in the Archive before it is purged? and then click Save Changes.

Tip: You can use the drop-down list to specify the duration as days, weeks, months, or years.

 

8.

The Archived Content Expiration page is displayed again with the changed settings. Sign out and close the user interface window and the Oracle Collaboration Suite Content Services window.
