Managing the Archive

This lesson demonstrates how to manage the Archive in Oracle Files.

After a user deletes files and folders, these deleted items appear in Trash. From Trash, the user can empty the trash or delete an item from the Trash. In turn, these emptied and deleted items appear in the Archive. When a user or workspace is deleted, its content is also stored in the Archive. In essence, the Archive is a folder that contains all of a Subscriber's deleted files. Only the Subscriber Administrator can view and restore these files and folders. Generally, a Subscriber Administrator restores these files at the request of a user. Users complete and submit their request, using the Recovery Request page. Subsequently, the Subscriber Administrator receives an email, which details the request. The archive retains the properties and content of the deleted files and folders, but not the Version History of the files.

The Site Administrator can set a period for which items are stored in the Archive. After a specified period, the items are deleted from the Archive, making the items irrecoverable.

The Subscriber Administrator can restore four types of items that users empty or delete from Trash:

  • Active Users Deleted Files: Files and folders deleted from Trash by existing users.
  • Active Workspaces Deleted Files: Files and folders deleted from Trash from existing workspaces.
  • Deleted Users Files: Files and folders deleted by users who have been deleted from the Subscriber.
  • Deleted Workspaces Files: Files and folders deleted from workspaces that have been deleted from the Subscriber.

Setting the Archive File Expiration Time

As the Site Administrator, set the archive file expiration time to 1 month. Perform the following:

1.

Open a browser and enter the following URL:

http://<hostname>:7778/files/app/AdminLogin

Login as site_admin/<your password> and click Login.

2.

Click the Defaults subtab then click the Archive File Expiration Time list of values.

3.

Select After 1 month then click OK.

4.

After seeing the confirmation message, click the Logout link to exit Oracle Files administration.

Restoring the File of an Active User

A user has just deleted a file and emptied his trash. He realized too late that he should not have deleted the file. He has submitted a Recovery Request to recover the file he deleted. As the Subscriber Administrator, perform the following to restore the deleted file of an active user:

1.

Open a browser and enter the following URL:

http://<hostname>:7778/files/app/AdminLogin

Login as <subscriber_admin>/<your password> and click Login.

2.

Click the Archived Files subtab then click the Active Users' Deleted Files link.

3.

Click the archive folder that corresponds to the first letter of the user's ID. For example, if the user's ID is ocsdemo501, then click on Archive-O. Only Archive folders containing any content are displayed.

4.

Click the folder corresponding to the user's ID.

5.

Click the Deleted Files (yyyy-mm-dd) folder which matches the date the file was deleted.

6.

Click the last folder. This contains the most recently deleted files during the day.

7.

Select the file to restore and click Restore.

8.

Select the location to which the file should be restored and click OK.

9.

After seeing the confirmation message, click the Logout link to exit Oracle Files administration.

Restoring the Folder of a Deleted Workspace

A workspace administrator deleted a workspace. She then received a call from one of the workspace participants asking for one of the folders in the deleted workspace. As the Subscriber Administrator, perform the following to restore the folder of a deleted workspace:

1.

Open a browser and enter the following URL:

http://<hostname>:7778/files/app/AdminLogin

Login as <subscriber_admin>/<your password> and click Login.

2.

Click the Archived Files subtab then click the Deleted Workspaces' Files link.

3.

Click the name of the workspace that contains the folder to be restored.

4.

Click the Deleted Files (yyyy-mm-dd) folder which matches the date the workspace was deleted.

5.

Click the Trash (mmm dd, yyyy hh:mm) folder which matches the date the workspace was deleted..

6.

Select the folder to be recovered then click Restore.

7.

Select the location to which the file should be restored and click OK.

8.

After seeing the confirmation message, click the Logout link to exit Oracle Files administration.
