Managing Workspaces and Workspace Roles

This lesson demonstrates how to manage documents in the workspaces you create.

This lesson will discuss the following:

Oracle Files enable you to store content such as documents, presentations, media files, and so on in a single consolidated system.
The key benefits of Oracle Files are:

Anywhere, anytime access to centralized files
Simple and advanced search capabilities to locate documents
Collaboration (Versioning and locking)
Associate metadata information with files
Delegated administration model


For this lesson to work successfully, you will need your Oracle Collaboration Suite administrator to supply you with an Oracle Collaboration Suite user account.

To get started with Oracle Files, you need to login to your Oracle Collaboration Suite Portal Page. Perform the following:

1.

Open your browser and enter the following URL:

http://<hostname>:7778/pls/portal/PORTAL.wwsec_app_priv.login

2.

Login as susie.parker/welcome1 then click Login.

3.

The Oracle Collaboration Suite Portal is displayed. Click Files.

4.

The first time you log in, you will be shown the General User Preferences window. Click OK.

Your files can be private, public, or available to a select group of users. To manage your files, perform the following:

1.

The default folder is Private files. You want to see all files, click the Files link.

2.

You can see all public files. Click AllPublic.

3.

You can view any user's files, who has their public folder turned on. Click Users.

4.

Users are sorted by first name. To see Brad, click Users-B.

5.

Brad's public folder is listed. At this point you want to create a workspace.

Because you have multiple documents for this account, you want to create a workspace where you will put all the files. Perform the following:

1.

Click My Workspaces.

2.

Click Add Workspace.

3.

Create a New Workspace is selected by default. Click OK.

4.

Enter CustomerABC as the Name, CustomerABC Related Content as the Short Description and click the radio button for Workspace listed in the "Join Existing Workspaces" table. Then click Next.

5.

Enter brad.knight and click Add.

6.

Enter john.bell and click Add.

7.

Enter heidi.guthery and click Add.

8.

You want Brad and John to be able to update the document and upload new documents to the CustomerABC workspace. As a result, you need to change their workspace role to Participant. Then click Next.

9.

At the review window, click Finish.

10.

You should see your new Workspace in the list. Click on your new workspace CustomerABC.

Since CustomerABC will have many different types of documents, it may be easier to organize your workspace by creating some folders. Perform the following:

1.

Click New Folder.

2.

Enter Presentations as the New Folder Name and click OK..

3.

Select the Presentations link.

Now you are finally ready to upload a document and put it in the Presentations folder in the CustomerABC workspace. Perform the following:

1.

Click Upload.

2.

Find the ocs_overview.ppt file in your working directory. Then click OK.

3.

You see the file you just uploaded in the list. Click on the file to open the Powerpoint viewer and view the presentation.

4.

Click Back to return to Oracle Files.

You would now like to e-mail the link to Brad, John and Heidi to let them know that it is available for review. Perform the following:

1.

Select ocs_overview.ppt and Click Email.

2.

Click Next.

3.

Enter brad.knight@oracledemos.com, john.bell@oracledemos.com, heidi.guthery@oracledemos.com in the To: field, Presentation is available for your review in the Subject: field and add Thanks, Susie after the URL link in the message area. Then click Finish.

4.

To test whether this worked, logout and login as brad.knight/welcome1. From the Oracle Collaboration Suite Portal, click Messages.

5.

Select the e-mail you received.

6.

Click on the link to show the document.

There are other users who will review the ocs_overview.ppt file. You can place the files in a public area for these users. To move the file to a public area, perform the following:

1.

Open your browser and enter the following URL:

http://<hostname>:7778/pls/portal/PORTAL.wwsec_app_priv.login

2.

Login as susie.parker/welcome1 then click Login.

3.

The Oracle Collaboration Suite Portal is displayed. Click Files.

4.

The default folder is My Private Files. Click the Files link.

5.

Click My Workspaces.

6.

Click CustomerABC.

7.

Click Presentations.

8.

Click the Select check box to select the ocs_overview.ppt file. Click Move.

9.

In the Move Item(s) window, select susie.parker-Public. Click OK.

10.

Verify that the ocs_overview.ppt is moved to susie.parker-Public.

Each workspace is allocated a specific quota. This quota includes the Public and the Trash folder. You realize that you require more storage space for your workspace. To request more space, perform the following:

1.

Click My Workspaces.

Click Preferences.

3.

In the General User Preferences window, click Request More Quota.

4.

In the Request More Quota window, enter:
20 in the Additional Space Requested field and "Require additional storage space to store customer logs and files" in the Justification field. Click OK.

5.

Your request is submitted to the Subscriber Administrator.
