Scheduling and Hosting Web conferences

This lesson demonstrates how to schedule and host Web conferences.

This lesson will discuss the following:

Oracle Web conferencing is an integrated set of applications that brings online collaboration to enterprises, employees, customers, and partners to meet online. Oracle Web conferencing supports different types of meetings such as live help, interactive, and Web seminars.

For this lesson to work successfully, you will need your Oracle Collaboration Suite administrator to supply you with an Oracle Collaboration Suite user account.

Perform the following steps to login to the Oracle Collaboration Suite:

1.

Open your browser and enter the following URL:

http://<hostname>:7778/pls/portal/PORTAL.wwsec_app_priv.login

2.

Login as susie.parker/welcome1 and then click Login.

You can host an instant conference with Oracle Web Conferencing. Perform the following:

1.

Type OCSmeet in the Title text field. Click Start Meeting.

To enable Brad to participate in the conference, give the meeting id that appears in the left side of the Web Conferencing Console toolbar to Brad.

Perform the following steps to join the conference as Brad, John, and Heidi:

1.

Logout as susie and login as Brad. Type brad.knight/welcome1 and then click Login.

2.

Type the meeting id (in this example: 10045) in the ID field. Click Join Meeting.

3.

Enter the following and click Join Conference.

First Name: Brad
Last Name: Knight
Email Address: brad.knight@oracledemos.com

4.

View the Attendee Joined message.

5.

Logout and login as john.bell/welcome1.

6.

Type the meeting id (in this example: 10045) in the ID field. Click Join Meeting.

7.

Enter the following and click Join Conference.

First Name: john
Last Name: bell
Email Address: john.bell@oracledemos.com

8.

View the Attendee Joined message.

9.

Logout and login as heidi.guthery/welcome1.

10.

Type the meeting id (in this example: 10045) in the ID field. Click Join Meeting.

11.

Enter the following and click Join Conference.

First Name: heidi
Last Name: guthery
Email Address: heidi.guthery@oracledemos.com

12.

View the Attendee Joined message. Now the conference has the following attendees:

Susie
Brad
John
Heidi

13.

Logout and login as susie.parker/welcome1.

Perform the following steps to display ocs_overview presentation to the attendees:

1.

Select Desktop Sharing mode icon in the Web Conferencing Console.

Click Select to share your entire desktop icon. Your entire desktop is visible to the attendees.

3.

Open ocs_overview.ppt presentation.

4.

On completing the presentation, click Stop All Sharing icon to stop sharing the desktop.

To grant presenter role to Brad during the conference, perform the following steps:

1.

From Susie's Web Conference console, click the drop-down arrow to view the attendee list. Select Grant Presenter Role icon in the View Expanded List for Brad.

2.

View the Control Granted image. Click Close.

To conduct a poll to verify the status of reports, perform the following steps:

1.

Click the Show additional tools arrow.

Click Poll.

3.

Type the following:

Select a Poll: New Poll
Poll Name: Report Schedule
Question: Will the reports update meet the existing schedule?
Response A: Yes
Response B: No
Click to remove the check mark from:
Response Type: Allow attendees to select multiple responses
Sender Participation: Allow me to vote

Click Run.

4.

In the Oracle Web Conferencing Poll window, select Responses: Yes and click Submit.

5.

View the confirmation page and click Close.

6.

In the next Oracle Web Conferencing Poll window, select Responses: No and click Submit.

7.

View the confirmation page and click Close.

8.

In the next Oracle Web Conferencing Poll window, select Responses: Yes and click Submit.

9.

View the confirmation page and click Close.

10.

View the poll report and click Close.

To participate through the chat interface, perform the following steps:

1.

Click the chat icon in Susie's Web Conference console.

2.

You can now view the chat window. Click the Undock button.
Type the following message in the Oracle Web Conferencing chat window:
You can upload your reports by EOB tomorrow. Click Send to send the message to all the attendees.

To schedule a conference, perform the following:

1.

In the browser window (where you have logged in as Susie), click the Schedule tab.

2.

Enter the conference details and click Next to select the audience:

Meeting Title: CustomerABC Presentation
Password: access
Date: September 12 2004
Start Time: 10:00 AM
Duration: 1 Hour
Time Zone: (-8:00) US Pacific Time
Meeting Type: Regular
Select List meeting on public Web page check-box.

3.

Enter brad.knight, john.bell, heidi.guthery in the User ID text field and click Add. Brad, John, and Heidi are added to the list of invited attendees. Click Next.

4.

Type the Dial-in Number as 314-425-6678. Click Schedule.

5.

Notice that the meeting is successfully created. Click Send Email to notify the attendees.
