With Oracle Human Capital Management Cloud, we can transform our human resources operations across all three of our geographically-dispersed locations and become more strategic—helping the business propel forward.

— Scott Busch, Vice President of Human Resources, Samuel, Son & Co., Limited

With more than 5,000 employees throughout Canada, the United States, and Mexico, Samuel, Son & Co., Limited, is the largest privately owned carbon steel, stainless steel, and aluminum processor and distributor in North America. The family-owned company has more than 100 strategically located steel service centers and manufacturing facilities, serving a variety of customers from leading automotive manufacturers to specialized product designers.

Challenges
  • Automate, streamline, and optimize human resources (HR) processes into a shared services delivery model to ensure HR efficiency and consistency across diverse steel manufacturing operations
  • Integrate multiple acquired operating groups and systems—across Canada, the United States, and Mexico—each with its own policies and practices, to streamline information and provide HR and employees with a single source of truth
  • Enhance business performance and gain recognition as an employer of choice by providing executives and managers with secure, appropriate, and immediate access to accurate HR information— helping them manage and work more efficiently and effectively, and improve strategic decision making
  • Enable predictive analysis to make better business decisions regarding workforce development
  • Implement a user-friendly and intuitive platform that accelerates adoption, enabling employees to focus on their jobs instead of learning to adapt to new technology
Results
  • Provided managers and the HR team in Canada with new levels of visibility into the company’s workforce—such as employee backgrounds and information on the organization’s steel manufacturing labor cost input/output—by replacing multiple legacy HR and payroll systems with Oracle Human Capital Management Cloud (Oracle HCM Cloud) and consolidating and aligning disparate business processes resulting from multiple acquisitions
  • Improved efficiency and simplified processes by enabling users to access important information—such as payroll, benefits, or personal information—anywhere and at any time from the device of their choice
  • Established a seamless flow of information from multiple third party time management systems into absence management and then payroll, including 17 different finance systems for general ledger and accounts payable integration
  • Implemented an intuitive cloud platform that supports employees with varying levels of computer skills—enabling them to quickly become proficient on the platform and benefit from it
  • Gave managers instant access to HR information, advanced analytics, and reporting, from any device—enabling them to effectively manage their teams as well as make better decisions about company growth and operations
  • Reduced costs significantly by enabling Samuel, Son & Co. to manage core HR and payroll processes within a single footprint via the cloud—transitioning the company from an outsourced payroll model with Ceridian to running payroll in-house with Oracle HCM Cloud, capable of handling complex pro-ration rules with weekly and semi-monthly payroll cycles, and unionized and non-unionized employees
  • Laid groundwork to consolidate disparate systems from steel manufacturing facilities in the United States and Mexico with the highly robust and scalable cloud solution

While we looked at Workday, Ultimate Software, SuccessFactors, and more, we knew that Oracle Human Capital Management Cloud was the most functional and flexible product that delivered the lowest total cost of ownership and could scale with our business processes and needs—now and into the future.

— Scott Busch, Vice President of Human Resources, Samuel, Son & Co., Limited

Execution

Samuel, Son & Co. went live with Oracle HCM Cloud in its Canadian location on August 31, 2015, and completed the first payroll and first Canadian localized payroll on the Oracle HCM Cloud on the same day.

In the next phase, Samuel, Son & Co. will implement Oracle HCM Cloud in the company’s United States and Mexico operations. The company’s goal is to have a single system that provides visibility into the global workforce so leaders have the insight required to move the business forward.

“The key to a successful and smooth transition from an on-premises solution to the cloud is having a strong knowledge of your business and to use the opportunity to streamline your operations for efficient life in the cloud—that way you can easily adopt the new innovations that comes with each new release. Also, take the time to understand your HR data, how it is being used today, and how cloud analytics will help you gain important insights and make better decisions,” Busch said.

Partners

Samuel, Son & Co. selected Deloitte, Inc. as its implementation partner to lead and deliver this complex HR transformation project. Deloitte, an Oracle Diamond Partner and 2015 Cloud Transformation Global Partner of the Year, was instrumental in the go live, working with the company to review all requirements and streamline existing disparate business processes. This project required close collaboration and an agile delivery process between Deloitte, Oracle, and Samuel, Son & Co. to ensure the complicated payroll requirements were met. Deloitte also configured the complex array of benefit, absence, and vacation plans and ensured the correct calculation of benefit premiums which led to significant cost savings for Samuel, Son & Co.

Deloitte’s work with Samuel, Son & Co. will continue through the next phase of the project, the Oracle HCM Cloud implementation in the United States and Mexico. “Deloitte’s support was critical to the success of this project, and we could not have done it without them. The size and strength of Deloitte’s global consulting practice allowed them to add, remove, or supplement the project team with other skilled resources as needed to address specific issues when they came up,” Busch said.
