Business challenges

Mexico’s Escuela Bancaria y Comercial (EBC) is an educational institution that provides undergraduate and postgraduate programs that specialize in business. It currently has 11 campuses nationwide and offers eight bachelor’s degrees, five executive bachelor’s degrees, and three postgraduate programs. About 13,000 students take part in these programs, and more than 150,000 people have graduated from them.

Launched as the Banking School in 1929, the institution’s original purpose was to provide training for Banco de México (Bank of Mexico) employees. In 1932, it became independent and adopted the name Escuela Bancaria y Comercial (Banking and Commerce School) and is the oldest private higher education institution in the country.

EBC’s growth strategy for the past 40 years, which now includes an ambitious growth plan to open a new campus every two years, is challenging and demands a very strategic planning process.

Additionally, in its drive to maintain educational excellence, EBC needed to measure the performance of all of its business units to know how successful or profitable each of its programs was. That meant obtaining detailed information on each of its campuses and degrees, along with their modalities (online, face-to-face, or mixed).

But EBC had multiple information systems (some of them fully manual) for payroll management, accounting, and purchasing, among others. The systems also were disconnected from each other, which didn’t allow for centralized information.

To achieve its ambitious growth plans, EBC needed an integrated solution that optimized internal processes, reduced costs, and gave it the power and flexibility to innovate. It chose Oracle Fusion Cloud Enterprise Resource Planning (ERP).

It used to take us a long time to generate reports, which reduced the information’s reliability. With Oracle Cloud ERP, we can now generate reports in a single day, and we have better control.

Why Escuela Bancaria y Comercial Chose Oracle

In addition to being the solution that best suited EBC’s needs, one of the main reasons for choosing Oracle Cloud ERP was both Oracle’s and Oracle consultants’ experience in the market, which allowed the technology to be properly adapted to Mexican tax legislation.

A key differentiator is that Oracle Cloud ERP is a software-as-a-service (SaaS) solution, so Oracle provides constant updates and improvements, consequently allowing EBC to maintain the best technology on the market at all times without suffering costly update “re-implementation” processes.

Results

The benefits Oracle offers are beginning to be reflected in concrete results for the institution. For example, the process of reviewing budget execution used to take 30 days. With Oracle Cloud ERP, EBC can review the progress, the committed budget, and even the available budget in a single day. This obviously helps EBC’s strategic planning run more smoothly, enabling the institution to make decisions based on reliable, up-to-date information.

Prior to using Oracle Cloud ERP, payments were made semi-manually: Although EBC used digital banking, control lay in Microsoft Excel databases. Now, accounts payables are connected directly to the banks, which automatically pay them to suppliers, both saving time and increasing EBC’s control over its expenses. In addition, whereas it once took EBC a week to put together its monthly payments, it takes only two days with Oracle Cloud ERP.

The overall benefits of time saved and greater and better control are also reflected in the administrative team’s corporate travel process. Establishing travel expenses once required emails, expense reviews, corporate cards, and travel requests, among other information. The process could take anywhere from 15 days to a month. Today, thanks to automation, the entire process takes no more than two days.

Finally, Oracle’s cloud solution enables EBC students to view their statements with segmented information, with a breakdown showing how many payments they’ve made per subject, per modality, and per campus. In other words, both the institution and its students can closely monitor their expense performance.

In an unforeseen benefit of the Oracle solution, the EBC board also was able to see in detail which academic programs were most affected by the COVID-19 pandemic in 2020. Based on this information, the institution was able to redesign its programs, modalities, and strategies for 2021.
