Eindhoven University of Technology Accelerates Forecasting While Cutting License Costs by 57% with Oracle

Eindhoven University of Technology (Technische Universiteit Eindhoven, TU/e), founded in 1957, is a research university specializing in engineering science and technology. It hosts 60 companies on its campus and its education, research and knowledge valorization contribute to science for society (energy, health, and smart mobility), science for industry, and science for science. TU/e employs more than 3,000 staff and educates 11,000 students.

Previously TU/e managed its personnel budget using Oracle Hyperion Planning but adopted a cloud-first policy and began evaluating options for upgrading its budgeting and planning system.
 
Challenges

  • Streamlined and automated key tasks such as the creation of annual budgets, periodic forecasts of staff costs by department, and top-level consolidation and reporting by migrating all financial planning from on premises to Oracle Planning and Budgeting Cloud Service
  • Decreased the license fee component of the total cost of ownership by 57% by using Oracle Enterprise Performance Management (EPM) Cloud
  • Eliminated browser compatibility issues and accelerated data entry by adopting a high-performance planning and forecasting solution
  • Simplified and streamlined the university’s financial model by better controlling the future costs of a dynamic academic workforce of 3,000 with 10% turnover yearly
  • Equipped 30 departmental financial controllers with a world-class planning and budgeting solution for creating management reports containing staff cost and profit forecasts generated from Oracle Planning and Budgeting Cloud Service
  • Shifted effort from maintaining complex budgeting systems to improving efficiencies across the workforce by achieving better visibility on costs through the constant availability and intuitive interface of Oracle Planning and Budgeting Cloud Service
  • Achieved faster, more reliable visibility of profit and loss per department and for the entire university by providing continuous online access from any device to financial controllers
  • Eliminated four databases and two physical servers and re-assigned one dedicated technical support resource by deploying Oracle EPM Cloud for planning and budgeting
  • Integrated Oracle Planning and Budgeting Cloud Service with Oracle E-Business Suite for the export of forecast data to support heads of faculty and project managers in reporting actual versus forecasted human capital costs

Execution

Eindhoven University of Technology implemented Oracle Planning and Budgeting Cloud Service on time and within budget after a proof of concept and three months of user acceptance testing. Its partner, Finext, migrated the Hyperion environment and built the interface with Oracle E-Business Suite for uploading enterprise resource planning (ERP) data, HR metadata, HR data and for exporting forecast data.
