Thank you for attending the Oracle Events San Francisco 2014 Live Speaker Q & A. We recorded this session for those that may have missed this call. See recording access information below.

This call was designed to offer speakers the opportunity to ask questions of the Oracle Events Content Team.  We have taken the time to update the Speaker Portal with new information and a Speaker FAQ document, to help prepare you for your participation in this year's event.

Once you have entered the site locate your file by the ID# 97438704 and check the box beside it. Next select the download option from the menu on the left hand side of the screen. Speaker Resource Center (SRC)

After you have read through all the information on these pages, your next step is to log into the Speaker Resource Center. The Speaker Resource Center (SRC) is the place speakers must go to complete all the mandatory tasks related to their participation and sessions.

All tasks are explained on these pages and the SRC provides additional instructions to complete each task.

The link to the SRC is located below and requires a login. The SRC automatically recognizes speakers on accepted sessions.

Speaker Information

Important Actions for Each Speaker

In order to receive their complimentary pass, all speakers must complete ALL mandatory speakers tasks. These tasks are detailed below.

There are two types of tasks, Participant Tasks and Session Tasks. Participant Tasks are tasks in which EACH speaker must complete on every session they are listed on. A session task is a task in which is completed only once per session. There is a section in the SRC for both types of tasks. Please be sure that you review and complete ALL tasks.

*Please note, that all of these tasks below are mandatory and should be completed in the Speaker Resource Center (SRC)

  • Accept the Speaker Invitation: All speakers listed on a session must accept the Speaker Invitation for each of their sessions. This is a session task in the SRC. If you do not accept, you will be removed as a speaker from the session.
  • Respond to the Speaker Consent Form (non-Oracle speakers only): This is a session task in the SRC. Non-Oracle speakers will need to respond to the terms of the Speaker Consent form, which authorizes Oracle to promote, publish, and disseminate content post event. Under special circumstances, speakers may decline the consent form. The consent form approval process must be completed for each session for which you are a speaker.
  • Register for the Conference: All speakers must register. This is a participant task in the SRC. If you have already registered and paid for the conference, your payment will be refunded. Note: this is a separate task from accepting your invitation to speak.
  • Complete the Compliance Step. (government or private sector, non-Oracle speakers only): Speakers who have already registered must complete the compliance step. This is a participant task that is applicable to government or private sector speakers.
  • Upload Your Presentation: All speakers must upload their final presentation (one file only is allowed) by the due date indicated. This process is completed within the SRC. Instructions are provided in the SRC.

Speaker Changes

To make a speaker change, send an email to speaker-services_ww@oracle.com. Include the session ID and title of the session. Be sure to note the speaker to be removed if applicable. For speaker additions, provide the speaker name, company, and e-mail address of all speakers involved in the change. Please confirm you have notified the speakers of all changes.

The deadline to make speaker changes is September 12.


Dress Code

The dress code for speakers is business casual.


Toolkits

The Speaker Toolkit is a set of tools designed to help you generate awareness and enthusiasm regarding your participation at the event you are presenting in. Links to the toolkits are coming soon and will be posted here once available.


Speaker Offices

  • There will be several speaker offices at the conference(s). Details and hours are below.
  • Speaker badges are needed to access speaker offices. You will not be able to bring anyone into the office who does not have a speaker badge.
  • Speaker offices are meant to be a quiet place to work and will have internet access. Please refrain from holding meetings or phone conversations in the office. Limit your time on the internet to 20 minutes if someone else is waiting for access.
  • Printers and supplies will not be available in the speaker offices.

Session Duration

You will receive details on the length of your session in your schedule confirmation e-mail.

As a general rule:

  • OpenWorld Conference Sessions: 45 minutes
  • JavaOne Conference Sessions: 1 hour
  • Birds-of-a-Feather Sessions (BOFs): 45 minutes
  • Hands-on Labs: 2 hours
  • Tutorials: 2 hours

Session schedule are also located in the SRC.


Speaker Limits by Session Type

Conference Sessions:
  • Maximum of 3 Oracle speakers
  • Maximum of 2 non-Oracle speakers
  • Can consist of any combination as long as it does not exceed 3 speakers in total

Conference Sessions in Panel Format
  • Maximum of 5 Oracle speakers
  • Maximum of 4 non-Oracle speakers
  • Can consist of any combination as long as it does not exceed 5 speakers in total

Hands-on Labs
  • Maximum of 8 Oracle speakers
  • Can consist of any combination as long as it does not exceed 3 speakers in total

All other session types
  • Maximum of 3 Oracle speakers
  • Maximum of 2 non-Oracle speakers
  • Can consist of any combination as long as it does not exceed 3 speakers in total

PowerPoint Presentations

All final presentation files must be uploaded to the Speaker Resource Center. This is a speaker task in the SRC. This task may be completed anytime between now and the day your session takes place.


Presentations Templates

Oracle Employee Speakers must use the 2014 PowerPoint template for the event at which they are speaking. The use of this template is for Oracle Speakers only. Non-Oracle Speakers should use their company's or a generic PowerPoint template.

Please note that projectors at this event will be the 16:9 formats. If using 4:3, the file will still display in a letterbox format.


File Upload

The task to upload your presentation file is found in the SRC. Presentation files are made available to attendees post-event. Only one file is allowed per session. You can upload a modified version at any time, and it will replace the previous version. Only PDFs and PowerPoints can be uploaded, and the file size limit is 25MB.

NOTE: you are required to bring your file with you to your session room on the day of your presentation. Presentations are NOT pre-loaded.

Presentations may be uploaded now via the SRC. The deadline for uploading presentations is the date of your session.

Only one file allowed per session. If you are co-presenting with another company, you may do one of the following things:

  • Chose one file to include
  • Combine presentations in to one file
  • Create a zip file with all presentations

Once again, make sure that Oracle content remains on Oracle templates and non-Oracle content is placed on generic or speaker's own company template. Non-Oracle content may not be placed on Oracle template.

If you selected "no" to the mandatory task of speaker consent, then you should not upload a presentation. All uploaded presentations will be made public after the conference concludes.


Session Guidelines

  • Allow 10 minutes for a question and answer period (Q&A) within your session time.
  • Be courteous to your fellow speakers and finish by your scheduled time. Once your presentation ends, continue any follow-up conversations outside of your session room and away from other session room entrances.
  • Note the location of your session. Double-check it the day of the presentation, as room or schedule changes may have been made.
  • Arrive at your session room at least 15 minutes before your scheduled presentation time.
  • Be sure to introduce yourself to the attendees at the beginning of your session.
  • Having sessions that are interactive is the number one survey comment from our attendees. To meet this need, engage with your audience and be as interactive as possible during your presentation. Identify objectives at the beginning of the session, and elicit feedback at the end on how well you met them.
  • Do not include proprietary or confidential material in your session abstracts or presentations.
  • Make sure you have permission to use any material you have obtained from others.
  • Oracle reserves the right to edit session titles, abstracts, and objectives for clarity, length, or style, and to ensure correct use of Oracle product names (for example, Oracle product names may not be truncated or abbreviated).
  • Session attendees will be asked to complete session surveys. Speakers will be able to view the results of their session surveys after the conference.
  • Please make sure you bring your presentation with you and allow some time to set up. You may either run your presentation off the laptop provided in the room (via a thumb drive) or you may run your presentation off your own laptop. Presentations are NOT preloaded.

Session Cancellations

To cancel your session, you must send an email to speaker-services_ww@oracle.com. Include the session ID, reason for cancellation, and please copy speakers for that session.

If you need to reach the content team for a last minute change during the week of the event, you should do two things. First, as noted above, send an email to the speaker-services_ww@oracle.com and include the session ID, reason for cancellation, and please copy speakers for that session. Next, you may call the onsite number(s) provided below. These numbers will ring the onsite speaker offices at the event location. (Please note, these numbers will not be operational until Monday morning, September 29. Make sure you are prepared to provide your session id and title, reason for emergency change and the date, time and location of your session. The representative answering the phone will relay the message to the proper contact to take any necessary action.

In order to comply with Oracle's privacy policy, no information about session attendees can be released.


AV and Internet

AV equipment will differ by session room. Once schedules are ready, you may view AV equipment by room.

Please note: Additional AV equipment requests will not be accommodated before or during the Event. Internet access will be provided in presentation rooms. Information will be provided to speakers in the September timeframe. We will update information on AV and Internet here once available.

Session Handouts/Recording/Giveaways

Oracle OpenWorld and JavaOne are GREEN events. We do not permit handouts to be distributed. Giveaways are not permitted at the event unless previously approved by the content team

Recording devices – Due to the disruption and privacy of the speaker and those attending the sessions, we do not allow recording while in session.

If you are planning on some extra activity in your session, please make sure to email the content team at speaker-services_ww@oracle to understand the rules and gain approval.

Session Room Specifics

Room Capacity

Our event staff will do all that is possible to make sure that all attendees who want to attend the session get to attend

We are required to comply with the room capacities set by the city Fire Marshall. There are no exceptions to these rules. If you notice your session is getting full, take the time to ask those entering to fill in seats in the front. We will do our best to get the room filled before your session time.

It is required to clear the room after each session. No exceptions.


Tips for Presentation Day

  • Create ways for your session to be more than a lecture by involving your audience.
  • Please take a moment to introduce yourself to the audience.
  • Please note that all attendees must be scanned. Please do not plan on bringing attendees into the room with you without waiting in line, unless they are a co-presenter.
  • Be sure your slides are readable in a large room. Use fonts and formats that are easily seen from the front of the room to the back. Don't over crowd your slides.
  • As a courtesy to the speaker following your session, end on time. If attendees have questions and you have time to answer, please ask the attendees to step outside the room so the next speaker can set up.
