The Go-Ahead Group Reconciles Software Licenses with Help from Oracle

The key with Oracle License Management Services was a collaborative approach, which set the ground for the process to not only be smooth, but also open, honest, and consultative, rather than adversarial. By opening up our systems, we gained insight into under-usage and saved money on future projects.

The Go-Ahead Group Confirms License Efficiencies to Allow for Business Expansion Projects with Oracle Software Compliance Audit

The Go-Ahead Group Plc is a leading UK-based international public transport provider enabling more than a billion journeys each year on bus and rail services in Europe and Singapore. The company invests heavily in digital platforms to meet customer expectations and help grow its transport networks. For business operations, Go-Ahead runs multiple instances of Oracle E-Business Suite across the organization, and its regional transport franchises use Oracle technology. To control costs and stay compliant with a multitude of software licenses, the company collaborated with Oracle on a detailed evaluation of its current deployed estate.
Business Challenge
  • Control costs by avoiding unauthorized Oracle technology deployments and Oracle licensing gaps across the decentralized public transport organization
  • Facilitate compliance with software license terms by adopting a single point of contact for identifying and authorizing the use of Oracle systems
  • Keep available sufficient numbers of Oracle Human Capital Management licenses for provisioning additional users resulting from new transport franchises
  • Run new projects at no extra cost by identifying underutilized Oracle technology licenses to help execute Go-Ahead’s long-term transport management business strategy
  • Support newly acquired rail transport franchises by paying the requisite maintenance fee for Oracle licenses covering databases, middleware, and business applications
  • Conducted an internal audit to identify each Oracle Database and version in use at headquarters and regional transport franchise operations, gaining complete knowledge of the Oracle estate and peace of mind in the knowledge of being license compliant
  • Identified and resolved a shortfall in licensing for Oracle Partitioning while uncovering numerous instances of Oracle Database license underutilization or unnecessary activation of database features
  • Revealed 15,000 annual transaction licenses for Oracle Expenses, allowing for an expense management system instead of capital expenditure on acquiring a new solution
  • Ran Oracle License Management Services compliancy scripts and data collection tools at operating system and database levels to validate usage—and underutilization—of Oracle environments deployed at Go-Ahead’s franchise transport operations
  • Created an ongoing partnership by collaboratively establishing the usage and maintenance costs of Oracle assets in use across the public transport group together with Oracle License Management Services—reconciling actual usage versus contractual entitlements and resolving any gaps
  • Contributed to the smooth running of railway and bus networks across the United Kingdom and Europe by equipping local executive teams of managing, finance, and operational directors with Oracle E-Business Suite for managing financials, procurement, and human resources—helping them make faster and more insightful decisions
  • Gained the flexibility to license users in newly acquired rail transport franchises by keeping up the maintenance fees of licenses previously deployed in lost franchises, thus avoiding the cost of buying new licenses
  • Reinforced licensing compliance by establishing one single point of contact for Oracle technology contracts as a move to control software deployments and avoid surprises during subsequent audits by Oracle License Management Services

Collaborating with Oracle License Management Services gave me peace of mind by bringing to light licenses for products I could turn into valuable projects at no extra cost. It will ultimately help customers relying on our services to get to their destination on time and also gives us the assurance that we are being compliant.
