New Version of Oracle Smart View for Office

Oracle Smart View for Office version 20.200 is planned to be available in December 2020.

NOTE: Account Reconciliation and Enterprise Data Management do not use Oracle Smart View for Office.

Business Benefit: This version includes new features and fixed defects.

Steps to Enable

Download and install Smart View. See Downloading and Installing Clients in Getting Started with Oracle Enterprise Performance Management Cloud.

EPM Automate Updates

A new version of EPM Automate is available. This version introduces the skipUpdate command that applies to all EPM Cloud environments. Additionally, this version includes changes to the exportDimension, exportDimensionMapping, and importDimension commands for Enterprise Data Management Cloud, which now support a new connection parameter.

skipUpdate Command

Sets a skip update request asking Oracle to skip the applying of a monthly update to an environment or removes all skip update requests that were previously made using this command so that the environment is updated to the main code line. You can also use this command to list the skip update requests currently specified for an environment.

You can set skip update requests for a maximum of two update cycles. You cannot skip updates for an environment that is on a one-off patch. Additionally, you cannot skip monthly updates that are more than two months apart from the update that the environment is currently on. For example, if the environment is currently on 20.12, you can skip 21.01 and 21.02, but not 21.03.

Updates to Enterprise Data Management Cloud Commands

The following Enterprise Data Management Cloud commands have been enhanced to accept the connection parameter. This optional parameter allows you to specify a connection defined in Enterprise Data Management Cloud to integrate enterprise data with a Financials Cloud or EPM Cloud environment.

  • exportDimension: The connection optional parameter allows you to specify a connection defined in the Enterprise Data Management Cloud application as the destination for the exported file. EPM Automate will upload the exported file to the Financials Cloud or EPM Cloud environment of the connection.
  • exportDimensionMapping: The connection optional parameter allows you to specify a connection defined in the Enterprise Data Management Cloud application as the destination for the exported file. EPM Automate will upload the exported dimension mapping file to the EPM Cloud Environment of the connection.
  • importDimension: The connection optional parameter allows you to specify a connection defined in the Enterprise Data Management Cloud application as the location for the import file. EPM Automate will access the import file from the EPM Cloud Environment of the connection.

Business Benefit: The skipUpdate command allows you to delay updates to an EPM Cloud production environment to complete time-sensitive tasks, for example, closing of a quarter, without creating a service request. The addition of the connection parameter for the exportDimension, exportDimensionMapping, and importDimension commands enables the direct transfer of enterprise data between Enterprise Data Management Cloud, Financials Cloud, and EPM Cloud using EPM Automate.

Key Resources

REST API to Copy a File Between Instances

Use this REST API to copy a file from one environment (source) to another environment (target). This API is executed on the target environment after details are provided for the source environment from which the file is to be copied. This applies to all EPM business processes.

Business Benefit: Gives you flexibility in copying files from one cloud environment to another.

REST API to Skip Updates

Use this REST API to set a skip update request asking Oracle to skip applying a monthly update to an environment. You can also remove all previous skip update requests so that the environment is updated to the main code line. You can list the skip update requests currently specified for an environment.

You can set skip update requests for a maximum of two update cycles. You cannot skip updates for an environment that is on a one-off patch. Additionally, you cannot skip monthly updates that are more than two months apart from the update that the environment is currently on. For example, if the environment is currently on 20.12, you can skip 21.01 and 21.02 updates, but not 21.03.

This applies to all EPM business processes.

Business Benefit: This REST API allows you to delay updates to an EPM Cloud production environment at times when you need to complete time-sensitive tasks, for example, closing a quarter, without creating a service request.

Updates to Oracle Enterprise Performance Management Cloud Operations Guide

The Oracle Enterprise Performance Management Cloud Operations Guide has been enhanced with these updated procedures:

  • Dealing with Down Environments and Resolving Login Issues sections. These sections have been updated with information on the fields to select in service request so that it is routed properly within Oracle to resolve the issue more efficiently.
  • Handling Data Integration Errors. This new section provides instructions to self-diagnose data integration errors.
  • Requesting Upgrade Delay for Production Environments. This section is updated with self-service instructions to delay upgrades to an environment.
  • Requesting Merge Back of Environments This section is updated with self-service instructions to remove upgrade delays so that the environment can be brought to the main code line.

Business Benefit: The Oracle Enterprise Performance Management Cloud Operations Guide helps you self-diagnose and fix EPM Cloud issues.

Key Resources

New Activity Report Generation on Restarting an Environment

Starting with this update, EPM Cloud will generate a new Activity Report each time you run the resetService EPM Automate command to restart an environment. A new Activity Report is also generated during the daily maintenance of the environment and when you create a Provide Feedback submission.

Business Benefit: The Activity Report enables Service Administrators to understand application usage. It also helps streamline application design by identifying calculation scripts and user requests that impact application performance.

Key Resources

Support for Selecting Dimension Members Based on UDAs in Form Designer

When designing forms, administrators can select members for forms based on a common attribute, which was previously defined as a user-defined attribute (UDA). This feature applies only to Planning, Financial Consolidation and Close, and Tax Reporting.

Before you can associate the UDA with a form, you must create the UDA. To select UDAs for forms, open the form in the form designer, click Layout, and then drag the dimension to the desired Page or row or column axis. Edit the dimension to view the Member Selection window, click Variables, and then expand the UDAs listing to select the UDAs for the form. When a UDA is selected in the form designer, it is preceded by UDA; for example, UDA(New Products).

Business Benefit: When you create forms with UDAs, any members that are assigned to the UDA are dynamically added to the form. For example, if you create a UDA called New Products and assign this UDA to the new products in the Product dimension hierarchy, the form will automatically display the new products at runtime.

Key Resources

New System Maintenance Process to Reset Environment in Data Management

A new Reset Environment process now enables you to clear all Data Management setup and data resetting the entire business process environment. You can then reconfigure the integration process as needed. This process accepts a Yes or No confirmation parameter and allows you to specify a reason for the reset.  It is available under the System Maintenance Task menu on the Workflow tab in Data Management.

Business Benefit: This feature enables you to reset the entire business process environment. You can then reconfigure the integration process as needed.

Tips And Considerations

Data cannot be recovered when the Reset Environment process has been executed successfully.

Key Resources

Clear All Data and Setup When Deleting an Application

When an application is now deleted, the system clears all Data Management data and setup artifacts including:

  • target application and related artifacts
  • data load rules, import format, locations
  • staged data in the Workbench

Business Benefit: This feature resets the entire business process environment automatically in Data Management when the application is deleted. You can then reconfigure the integration process as needed.

Tips And Considerations

Data cannot be recovered when the application has been deleted.

Support for Summary Drill with More Than 1000 Descendants in Data Integration

A new Summary Drill Behavior when more than 1000 descendants target option enables you to determine how a summary drill functions with more than 1,000 descendants.

If the number of descendants in summary drill is greater than 1,000 and the Summary Drill Behavior when more than 1000 descendants option is Ignore, then the system ignores the dimension in the filter and returns the drilled data based on filters on the other dimensions. A maximum of three dimensions can be ignored.

If the number of descendants in summary drill is greater than 1,000 and the Summary Drill Behavior when more than 1000 descendants option is Limit, then the system considers only the first 1,000 members for the dimension while returning the data rows.

Business Benefit: When you perform a drill down on source data at a summary level, you can return more than 1,000 members.

Steps to Enable

In addition to the Summary Drill Behavior when more than 1000 descendants target option, to use this feature, enable the Enable Summary Drill option on the Application Options tab. After enabling this option and loading the data with the Create Drill Region option set to Yes, the drill icon is enabled at the summary level.

Key Resources

New Proxy Authentication Support in the EPM Integration Agent

You can now configure the EPM Integration Agent to use proxy authentication. The system now supports the Basic, Digest, and NTLM authentication methods. You specify the proxy host name, proxy port, proxy username, encrypted password, and domain in the CUSTOM_JAVA_OPTIONS setting.

In addition, if you want to use the NTLM authentication method, set the NTLM_PROXY_AUTH=Y in the agent configuration file.

Business Benefit:  Prior to this update, the EPM Integration Agent did not support basic authentication to the EPM Cloud.

Steps to Enable

  1. Select the Download Agent option on the Actions menu in Data Integration.
  2. Unzip the EPMAgent.zip and overwrite your existing agent folder.

Key Resources

New Drill Through Options When Drilling to Source from Excel In Smart View

When you drill through to display drill data directly in Smart View, the system now supports two ways to display the source data:

  • Drill through to the source landing page using a hyperlink. In this case when you initiate a source drill, the system launches the source landing page in a  browser.
  • Drill through to the source data using an EPM Integration Agent query. In this case the source data is queried and the data is displayed in a new sheet directly in Smart View.

Look for this feature in the upcoming Oracle Smart View for Office version 20.200, planned to be available in December 2020.

Business Benefit: This new option provides the ability to display drill through directly from Smart View. In earlier releases, drill to source was only available in a Web Form.

Steps to Enable

To use this feature, you must first execute a SQL query in the source database and display the results in a pop-window inside Data Integration. For more information, see Creating a Drill Down to a Source System Without a Landing Page in Administering Data Integration for Oracle Enterprise Performance Management Cloud.

Key Resources

Account Reconciliation

Enhanced Search of Unmatched Transactions in Transaction Matching to Allow Export to CSV and Excel for Offline Viewing

When you use the new Searching Transactions feature for unmatched transactions, you can export a refined list of transactions to CSV or Excel format to view offline. The export to Excel format has also been added to the export of transactions from the Unmatched Transactions and Overview dialogs.

Business Benefit: Addition of export capability in two formats gives you greater flexibility to work offline with transactions.

Key Resources

Easier Updating of Reconciliation Attributes Through Loading a File in Reconciliation Compliance

You can now update reconciliation attributes in Reconciliation Compliance by loading a file containing the changes.

Business Benefit: As more and more customers are dealing with high volumes of reconciliations in Reconciliation Compliance, the automatic handling of reconciliations is critical to ease of use thereby reducing the need for manual intervention. This feature provides customers with the ability to load more information by updating reconciliation attributes in a file.

Key Resources

Alerts in Reconciliation Compliance to Now Show the Current Status of the Alert in the Banner

When you open an Alert, you can now see the Status in the banner in addition to other information such as Days Left, Priority, New Comments, Questions, Attributes and Number of Alerts.

Business Benefit: Viewing the current status of an alert in the banner gives you easy access to helpful information.

Key Resources

New Job ID Column Added to Reconciliation Compliance Jobs

A Job ID column has been added to the Jobs dialog in Reconciliation Compliance.

Business Benefit: The Job ID makes it easier to locate jobs that you have run.

Key Resources

  • Viewing Jobs in Reconciling Accounts with Account Reconciliation

Enterprise Data Management

New Appearance Option - Redwood Theme

The Redwood theme gives an enhanced look and feel in terms of colors and icons and brings consistency across Oracle Cloud. This theme is available as the default theme for new Enterprise Data Management environments or can be selected for existing environments from the Appearance page.

Business Benefit: The Redwood theme is a standard theme among Oracle cloud applications.

Key Resources

Collaborators Added to Subscription Requests

Collaborators can be automatically added to subscription requests using the Collaborate option available on a subscription. When this option is enabled, users who have been configured as Alternate Assignees for the subscription but do not have the request assigned to them will be added as collaborators for the subscription request. Collaborators are invited to participate in subscription requests during the Submit stage and can edit request items as well as make comments and add attachments.

Business Benefit: In some cases, multiple users need to be involved in making changes or resolving issues in subscription requests. This option allows those users to get involved immediately instead of requiring the assignee to invite item manually.

Key Resources

Alternate Node Type Qualifiers

Alternate node type qualifiers enable users to locate and compare nodes between viewpoints which use different node types with multiple naming schemes. In addition to the default qualifier, a node type can be configured with up to three alternate qualifiers. When locating and comparing nodes, matching nodes across different node types are determined using the default qualifier first, followed by any alternate qualifiers.

This feature can be used in conjunction with property transformations on the Name property in node type converters. The property transform on the Name can conditionally assign different qualifiers to nodes when shared, mapped, or synchronized across viewpoints. The alternate qualifiers on the node types are used to locate and compare those nodes between viewpoints.

Business Benefit: In some cases, nodes in the same node type need to use different qualifiers to ensure name uniqueness.  When locating and comparing nodes from a source viewpoint to a target viewpoint, you need the ability to match nodes using more than one qualifier for each node type.

Key Resources

REST API Endpoint to Create a Request File Attachment from JSON

A REST API endpoint is available to create a request file attachment from a JSON payload in order to load incremental changes into Enterprise Data Management as part of an automated process. This endpoint allows the source data to be encoded in JSON to load it into a request instead of having to save the data in an Excel file format.

Business Benefit: When loading incremental changes from an external application to Enterprise Data Management in an automated process, you may need an input format other than an Excel file.

Key Resources

Archived Objects Excluded from Permissions/Policies and Subscriptions Reports

Archived objects are excluded from the Permissions, Policies, and Subscriptions reports, which enable users to view permissions, policies, and subscriptions for active objects only. The reports display active objects which are currently in effect only.

Business Benefit: Previously, these reports included permissions, policies, and subscriptions for archived objects. This inactive configuration was misleading because those artifacts were not actually in effect.

Key Resources

Attribute Dimension Support for EPM Cloud Applications

Attribute dimensions can be managed for EPM Cloud applications in addition to the base dimensions and simple attributes that were previously supported. When defining an attribute for a Planning or Financial Consolidation and Close application during registration, you can choose a Simple Attribute or Attribute Dimension. Registering an attribute dimension creates the following objects in the EPM Cloud application:

  • Dimension of type Attribute
  • Data chain to manage the members of the dimension
  • Node data type property to associate an attribute dimension member to a base dimension member
  • Viewpoint in the default view for the application
  • Binding to import from and export to the external application

Business Benefit: Attribute dimensions are a popular feature for EPM Cloud applications for certain reporting and calculation purposes. Customers who use Enterprise Data Management for EPM Cloud applications want to manage their attribute dimensions along with their base dimensions.

Key Resources

Calculated Parent for Nodes in Hierarchy Viewpoints

For hierarchy viewpoints where nodes are added or inserted, a node's parent can be calculated based on an expression when the parent is undefined in the source. Calculation of the parent is available when loading request items from a file, creating request items from a compare, or generating request items from a subscription. The calculated parent must identify an existing node in the hierarchy viewpoint.

An expression to calculate a parent can be optionally defined for the CoreStats.Parent property at the application or node type level. The <Unknown> indicator can be used in the Parent column of a request file to trigger the calculation of the parent in the hierarchy viewpoint. For request items created from a compare or subscription, the parent can be calculated when the source viewpoint is a list and the target viewpoint is a hierarchy.

Business Benefit: In cases where nodes are being added/inserted to a hierarchy viewpoint, sometimes the parent is undefined in the source and needs to be calculated to be properly placed in in hierarchy.

Key Resources

Ability to Configure Node Data Type Parameters in Property Inspector

Node data type property parameters can be edited for applications and node types in the Property inspector. This enables service administrators and users with Owner permission on the application to configure default, common, and data type specific parameters for Node data type properties outside of application registration.

Business Benefit: Service administrators and users with Owner permission on the application need to set parameters for Node data type properties. Previously, this could only be done during application registration.

Key Resources

Ability to Copy and Paste Entire Expressions

Entire expressions can now be copied and pasted across different contexts including property transformations, derived properties, custom validations, subscription filters, and approval or notification policy filters. This allows expression logic created for one object to be reused for a different object. You can use the Copy and Paste icons in the Expression Builder to perform the copy and paste operations.

Business Benefit: Service administrators and users with owner permissions on the application need to take an entire expression from one object/context and reuse it in a different object/context. For example, copy an expression from a derived property to a property transformation or custom validation. This eliminates the need to redefine the expression manually.

Key Resources

Ability to Create Properties from the Properties Page

Custom properties can be created directly from the Properties page by service administrators or users with Owner permission on the application. This allows custom properties to be defined outside of application registration. Once these properties have been created, they can be associated with the node types of all applications which require them.

Business Benefit: Application registration typically defines properties which are used in imports and exports. In cases where additional properties are required to enforce business rules or control workflow, it is more efficient to define those properties directly rather than having to go through the registration wizard.

Key Resources

Data Type Conversion Methods in Expressions

Additional methods are available to convert values from one data type to another in an expression.

The following data type conversion methods can be used:

  • Format - converts a date to a formatted string
  • ToDate - converts a string to a date
  • ToInteger - converts a string to an integer
  • ToString - converts an integer to a string

Business Benefit: Some business rules need to convert values to different data types to derive, transform, validate, or filter data. An example is a property transformation which converts a date property of a source node into the Name of a target node in an attribute dimension.

Key Resources

Derived Values and Property Transformations for Integer and Date Properties

Integer and Date data type properties can be configured with an expression to derive a value or transform a value for a property using custom business logic.

Use the Derived default type for Integer and Date properties to derive property values for specific applications and node types. Setup a property transformation for an Integer or Date property in a node type converter to calculate a value when sharing, mapping, and synchronizing nodes across applications.

Business Benefit: Integer and Date property values can be calculated using business logic rather than manually defining them resulting in reduced maintenance and improved data quality.

Key Resources

Derived Values and Property Transformations for Node Data Type Properties

Node data type properties can be configured with an expression to derive a value or transform a value for the property using custom business logic. Expressions for these properties must return a string which matches the Name of a node in the assigned node set for the property.

Use the Derived default type for Node data type properties to derive property values for specific applications and/or node types.

Set up a property transformation for a Node data type property in a node type converter to calculate a value when sharing, mapping, and synchronizing nodes across applications.

Business Benefit: Node data type properties, which are used to manage an association between nodes in different node sets, sometimes need to be derived or transformed from other properties rather than manually maintained.

Key Resources

Document ID from API Export to Financials Cloud Connection

When exporting dimensions to Financials Cloud using the REST API, the Document ID of the zip file transferred to Financials Cloud is returned in the result for the Enterprise Data Management export job. The document ID can then be passed to the ERP Integration Service API to import the zip file as segment values and hierarchies in Financials Cloud. This eliminates an additional call to the Financials Cloud SOAP API to retrieve the Document ID for the EDM export file.

Business Benefit: When exporting from Enterprise Data Management to a Financials Cloud connection, this may result in multiple versions of the same file. In order to import a particular file version, you must specify the Document ID.

Key Resources

Extracts for Dimension Viewpoints

Custom extracts can be defined for an application dimension to output data from specific viewpoints in a particular format for consumption by an external application or process. Owners and service administrators can create and manage multiple extracts for each dimension. Extracts can output data from bound and unbound viewpoints to a file or global connection.

An extract includes selection of a viewpoint, columns, node filter expression, and format options for the data being output and the file being created.

Business Benefit: Sometimes customers need to send information to a target application or process in an certain format. Extracts allow for bulk output of data from specified viewpoints in a configurable format.

Key Resources

Global Connections to Oracle Object Storage

Global connections can be defined to Oracle Object Storage in order to share data with external applications and processes from a centralized storage location using Oracle Cloud infrastructure. Global connections can be used by Extracts to extract data from Enterprise Data Management applications and write it to files in an Object Storage Bucket. Consuming applications can then retrieve the extracted data from Object Storage.

Business Benefit: Global connections are useful for customers who are looking for cloud-to-cloud integration with Enterprise Data Management in a generic, configurable manner. For example, Oracle Autonomous Data Warehouse allows for importing data from files in Oracle Object Storage.

Key Resources

Incremental Dimension Export Using REST API

Dimensions can be incrementally exported from Financials Cloud GL, E-Business Suite GL, and Universal type applications in Enterprise Data Management. Incremental exports output nodes and properties which have been changed rather than the entire dimension. Changes are determined based on transaction history for bound viewpoints in the dimension. Incremental exports can be run using the REST API and are limited to bindings for List viewpoints only.

Business Benefit: For application types such as Financials Cloud and E-Business Suite GL, nodes in list viewpoints may be added or updated more frequently than hierarchy viewpoints in the dimension. In these cases, customers only want to send incremental changes made in these viewpoints to the target system rather than the entire dimension.

ISNULL Attribute for Properties in Expressions

The IsNull attribute is available for properties in expressions to identify whether a property is null or has a value. This attribute can be used in expressions for derived properties, property transformations, custom validations, subscription filters, and policy filters.

IsNull is available for the following property data types:

  • Boolean
  • Date
  • Float
  • Integer
  • List
  • String
  • Timestamp

Business Benefit: In some cases, it is necessary to determine whether a property for a node is null or has a non-null value.  For example, a custom validation which checks to see if a property has a value or not.

Key Resources

Locale Selection in User Preferences

As part of the Language user preference, you can select a locale for particular languages. This allows date, time, and numeric values to be displayed using the format specific to the selected locale. Values can also imported, loaded into a request, and exported using the locale specific format.

If a Language is not selected as a user preference, the regional settings of the web browser are used to determine the language and locale for the user.

Business Benefit: Users want to be able to work with date, time, and numeric values using a familiar format. Instead of configuring a locale in the settings of the web browser (which can affect all web sites and all users but only that browser on that machine), the user can select a locale as a user preference which will affect a particular user for Enterprise Data Management from any browser on any client machine.

Key Resources

Lock Property Values on Request Commit

Properties can be optionally configured with a Lock On Commit parameter to lock the value of a property once a node has been added to a node type. When a node is added in a request, the value of the property is editable for the node until the request has been committed. Once the node has been added, the value is locked and any future updates to the property for the node will be prevented. For existing nodes, values are immediately locked for the property once the Lock On Commit parameter is enabled. Property values can be unlocked by disabling the Lock On Commit parameter.

Business Benefit: Sometimes application owners want to restrict updates to specific properties once a value has been defined.

Key Resources

Size Attribute for Node and String Lists in Expressions

A Size attribute is available for node lists and string lists in expressions to identify the number of items in a list. This attribute can be used with node lists like Children and Locations as well as string lists like List data type properties. The Size attribute avoids the need to use the Count method with a predicate to get a total number of items in a list.

Business Benefit: In certain cases, it is necessary to identify the number of items in a node list or string list in an expression to be used for derived properties and custom validations.

Key Resources

String List Properties and Methods in Expressions

List data type properties are now available for node objects in expressions. This allows for derived properties, property transformations, custom validations, subscription filters, and policy filters to use List data type properties.

The following methods are available to access values in a string list and create string lists from other data types:

  • Any - Returns true if any string in the list meets the specified criteria
  • Count - Returns a count of strings in the list which meet the specified criteria
  • Find - Returns the first string in the list which meets the specified criteria
  • Get - Returns the string in a string list at the specified index
  • Split - Splits a string into a list of strings based on the specified delimiter
  • ToStringList - Return a string value from each node in a node list
  • Join - Concatenates string values in a list into a delimited string using the specified delimiter

Business Benefit: In some cases, List data type properties need to be accessible in an expression. An example is a custom validation on the PLN.UDA property for a Planning application.

Use cases for the string list methods include:

  • Split - Separates a combination of values (for example, 100-10-1234) into separate values (for example, 100,10,1234) for individual evaluation
  • Get - Gets a specific value from a combination of values (for example, 100)
  • ToStringList - Gets a property value from each ancestor node (for example, US,Midwest,Ohio)
  • Join - Concatenates ancestor property values into a combined value (for example, US > Midwest > Ohio)

Key Resources

System Activity Reports

Activity reports are available from the Reports page and enable Service Administrators to monitor system usage over time. These reports include user activity metrics, resource utilization, performance statistics, and troubleshooting information. Access logs can also be downloaded for offline review and analysis.

An activity report is automatically generated every day during the daily maintenance of the environment. It is also generated when you create a Provide Feedback submission or run the resetService EPM Automate command to restart an environment.

Business Benefit: Service administrators need visibility to system activity so they can monitor the health and performance of the system and investigate technical issues that may arise.

Key Resources

Upgrade Planning Application to Planning Modules

Applications that were initially created using the Planning application type can be upgraded to the Planning Modules application type. This allows application owners to switch the application type for an existing Planning application instead of having to create a completely new application. Once a Planning application has been upgraded to a Planning Modules application, properties and validations for predefined members take effect for dimensions which use them. Dimensions containing those predefined members should be re-imported into the application after upgrade.

Business Benefit: In situations where Enterprise Data Management is implemented alongside Planning, sometimes the implementer will create an application using one application type and later decide they need to use a different application type.

Financial Consolidation and Close

New Tutorials

Two new tutorials are available for Financial Consolidation and Close.

Viewing, Updating, and Adding Tasks in Task Manager

Task Manager helps you define, execute, and report on the interdependent activities of a business process. It provides centralized monitoring of all tasks and provides a visible, automated, repeatable system of record for running a business process. This hands-on tutorial shows you how to view and update tasks in Task Manager. You’ll also see how to view dashboard data and task manager reports. Finally, learn how to add tasks to schedules.

Reviewing, Updating, and Analyzing Supplemental Data in Financial Consolidation and Close

Supplemental Data Manager helps you organize, update, edit, and manage supplemental data, typically financial transactions. It provides a robust ad hoc data collection process useful for footnotes, disclosures, and supporting details. It extends data collection to include transactional details for the consolidated balances within your business process. This hands-on tutorial shows you how to enter and update supplemental data. You also see how to filter supplemental data task lists, view the dashboards and data collections.

Business Benefit: These videos provide step-by-step instructions to help you perform your related business activities.

Refresh Database Enhancement

Starting with this update, except for Legacy Non “Extended Dimensionality” applications, the system can recognize changes resulting from a metadata load and associated Refresh Database operation. Depending on what has changed in the new metadata, it might not be necessary to execute some processes.

  • If there has been no change to the Entity structure, it will no longer be necessary to “Recompute Ownership” on the Manage Ownership screen. Recomputing ownership is now only required if there has been an Entity structure change, and will therefore no longer be required after the Database Refresh executed during each monthly version update.
  • If there has been no change to the Entity structure and Entity currency property, it will no longer be necessary to push rate data to the Rates cube or Supplemental Data Manager, so the system will skip the relevant rules "RefreshDataBase_PostProcess_Rates" and "RefreshDataBase_SDMCurrencyRates". You can check the Jobs log to see whether these rules were executed.

Business Benefit: This feature should provide significant performance improvements for many Database Refresh scenarios.

Steps to Enable

In order to enable these changes, you must add a Substitution Variable called "DeltaDBRefresh" for Consol/All Cubes and set it as "True".

Key Resources

New Rules for Automatically Computing Rates

In this update, two business rules have been removed from these seeded forms:  “Enter Exchange Rates – Single Period” and “Enter Exchange Rates – Multi-Period”. The rules are:

  • Compute Rates
  • RefreshSDMCurrencyRates

As  a replacement, the following two rules get executed automatically after saving data in forms:

  • Form_PostProcess_Rate
  • Form_PostProcess_SDMCurrencyRates

These rules automatically compute rates if any cell has been edited on a form targeting the Rates cube. If you have created your own Exchange Rate entry forms with the old rules “Compute Rates” and “RefreshSDMCurrencyRates”, you should remove them to avoid duplicate rate computation. If the Compute Rates dialog appears after saving data, manually remove the attached old rules from the form.

Business Benefit: New rules are available to automatically compute rates for modified data in the Rates cube.

Key Resources

Entity Dimension Consolidation Enhancements

Enhancements have been added to the Entity Dimension to amend data input restrictions and consolidation scope on top entities to improve performance, and also allow you to run the consolidation process from the Entity top member.

The new behavior will be applied by default wherein data is not translated to parent currency or consolidated to Contribution / Contribution Total for the “top” entities in the Entity dimension (“Total Geography” and any siblings). This is because there is no valid parent entity for which a default currency is defined, and no valid parent entity to which to contribute (the “Entity” member of the dimension is deemed to be a dimension label rather than an entity). However, the entity dimension label (“Entity”) can be selected when invoking a consolidation process. This will allow all hierarchies in the entity dimension to be consolidated at one time.

Should you wish to retain the previous behavior, you can create a substitution variable “ProportionalizeTopEntityMembers” and set it to True. The previous behavior included translation to parent currency for the “top” entities in the Entity dimension by applying the system currency and consolidating to Contribution / Contribution Total (but no further).

Data entry to Translated Currency Input, Parent Input and Contribution Input is restricted for these top entity members in either case.

NOTE: You cannot enter Parent Input or Contribution Input data to “FCCS_Total Geography” or the siblings of “Total Geography”.

Business Benefit: Enhancements have been added to the Entity Dimension to improve performance, and allow you to run the consolidation process from the Entity top member.

Key Resources

Data Load Enhancement

When you load data in YTD_Input, if the current period value is the same as the prior period value, the system no longer stores a zero (0) Periodic value. This can increase the performance of data loads.

Business Benefit: When you load data in the YTD_Input view, the data load process may now complete faster.

Key Resources

Intercompany Report Enhancements

Several enhancements have been added for the Intercompany Matching Report.

  • The report now displays a row for the Grand Total for each Plug Account in the generated report.
  • You can now select the Intercompany Partner hierarchy for partner selection.
  • An option is available to suppress the blank columns of the report.
  • The report header section has been enhanced to be consistent with other Financial Consolidation and Close reports.
  • The XLS report output format has been removed for Intercompany Matching reports. If you have built custom reports, you must ensure that your reports export to one of the remaining formats:  XLSX, PDF, or HTML.
  • A substitution variable is now available for automatically displaying values in number format  in Intercompany Matching reports. The substitution value is called EnableExcelNumberFormat, and when set to True, when you save the report as an Excel report type, the values are automatically displayed in numeric values instead of cell text.

NOTE: The EnableExcelNumberFormat substitution variable can also be used for Journal reports and Consolidation reports.

Business Benefit: Additional options are now available for you to customize how you view Intercompany Matching reports.

Key Resources

Performance Substitution Variables

The EnableSimpleAggregation, OptimizeDBRefresh, OptimizeYTDCalculation, and OptimizeConcurrency substitution variables can be enabled to improve performance:

  • EnableSimpleAggregation

This Substitution Variable improves the way that child entities are aggregated into parent entities. This Substitution Variable should be used in conjunction with the OptimizeYTDCalculation to improve consolidation performance.

  • OptimizeDBRefresh

This Substitution Variable improves the way that exchange rates are pushed to the consol cube during the database refresh.

  • OptimizeYTDCalculation

This Substitution Variable avoids redundant and repetitive calculations. This Substitution Variable should be used in conjunction with EnableSimpleAggregation to improve consolidation performance.

Starting in this update (20.12), by default, these Substitution Variables are now set to True: EnableSimpleAggregation, OptimizeDBRefresh, OptimizeYTDCalculation. There is no change required from customers who currently use these variables.

  • OptimizeConcurrency

This Substitution Variable improves concurrency of the consolidation process by executing some of the calculations at the very beginning or at the end. The degree of improvement depends on the entity structure of a given customer. Customers with deeper entity hierarchies will benefit the most.

To enable the OptimizeConcurrency Substitution Variable, set the parameter Cube=Consol, in addition to setting Value=True.

  • DeltaDBRefresh

This Substitution Variable improves database refresh performance by doing only necessary actions based on metadata change. Not applicable for Legacy Non “Extended Dimensionality” applications.

NOTE: The degree of performance improvement varies widely across different applications as it is purely driven by the application design and data distribution.

Business Benefit: These substitution variables help in improving the performance.

Supplemental Data Manager Alerts

To help users who encounter issues while working with Supplemental Data, an Alerts feature has been added to handle communication between the user having an issue and others users that may be able to help resolve the issue.  Alerts also help administrators and managers analyze the types of issues that users encounter during the business cycle and make changes to prevent them in future cycles. This feature includes:

  • Creation of alert types by administrators that can be associated with Supplemental Data Forms and Data Collection Periods and define a procedure that captures critical information and assigns key personnel for issue resolution.
  • Creation of actual alerts by users when they run up against an issue and they can provide detailed information about that issue.  Alerts include instructions, questions, attributes, and workflow and have their own templates, dashboards and reports.
  • Automatic creation of alerts through the use of rules that get triggered based on meeting certain conditions when there is a change of status.
  • Centralized management of alerts for administrators through a new Alerts List

Business Benefit: This feature helps resolve user roadblocks when working with Supplemental Data.

Key Resources

New Sample Butterfly Report

A new sample report, Sample Report 10 (Butterfly Report), has been added to the Management Reporting samples. In the report’s grid, the Row Headings Before grid property is set to column C, where the Accounts row labels appear between columns B and C, resulting in a “butterfly” report. To access the new sample report, perform a Download Samples and import the Sample Management Reports.zip.

Business Benefit: Helps report designers become familiar with the “Row Headings Before” grid property to create a butterfly report.

Key Resources

Ability to Edit a Note Format Directly from a Report Via a Shortcut Menu

When working with the Notes Text function in a report, you can now access the Note Format Manager and edit a Note Format directly from a report.  While editing a report select    and Note Format Manager.

Business Benefit: Provides improved usability when editing a report with the Notes Text function. Previously if you wanted to edit a Note Format while viewing a report, you would have had to close the report, navigate to and open the Notes Manager, then open the Note Format Manager. This shortcut allows moving back and forth between the report design and the Note Format.

Key Resources

Automatically Sized Text or Note Box Width Based on a Selected Grid Width

You can automatically size the width of a text or Note box to match the runtime width of a grid when the report’s Fit To Page property is either set to Width or Both.  You use the new text or Note box Layout property Size Width to Grid Width to select the desired grid to size the text or Note box width to.

If not automatically sizing the text or Note box based on a grid width, the text or Note box width may not fit to the page width if a grid’s rendered size is wider due to expanded columns.

Business Benefit: Automatically sizing text and Note boxes to the width of a grid allows better presentation quality of a report when the grid rendering results in a wider page output.

IMPORTANT Actions and Considerations

RUNBUSINESSRULE EPM AUTOMATE COMMAND - CHANGE OF BEHAVIOR

Starting with the 21.05 update, the runBusinessRule EPM Automate command will no longer let you run a ruleset against Planning, Planning Modules, Financial Consolidation and Close, and Tax Reporting applications. Instead, you should use the runRuleSet command to launch business rulesets using EPM Automate.

If you currently use scripts that use the runBusinessRule command to launch rulesets, you must modify them to use the runRuleSet command.

SUPPORT FOR COMPOSITE FORMS

Starting in May 2021, Oracle Cloud EPM plans to stop official support for composite forms. Customers are advised to convert existing composite forms to EPM Cloud dashboards and log any issues with Support.

NEW “SUPPRESS MISSING NATIVE” OPTION IN FINANCIAL REPORTING WEB STUDIO GRID EDITOR

The new “Suppress Missing Native” option in the “Suppression” panel in the Financial Reporting Web Studio Grid Editor properties is non-functional for 20.12. The desired output of the selection will not be available when the report is executed even if the option is enabled. This will be addressed in an upcoming release.

STRATEGIC MODELING TERMINOLOGY CHANGE

Starting with the March 2021 (21.03) update, the Consolidation feature in Strategic Modeling will be renamed Scenario Rollup.

CONFIGURING A SOURCE CONNECTION TO ORACLE NETSUITE

The integration between NetSuite and Cloud EPM with Data Management supports both basic authorization as well as token based authorization (TBA). The NetSuite policy for accessing integrations has changed and requires token based authorization, and NetSuite is in the process of phasing out basic authorization for integrations which uses a user name and password. This requirement does not go into effect until early 2021, but customers that use the integration with NetSuite should start switching over to token base authentication as soon as possible. Starting a few months prior to this required change, basic authorization credentials will be made read only, and customers will need to implement TBA. Please contact NetSuite support to get help generating the required tokens to use when setting up the connection to NetSuite from Cloud EPM.

USABILITY ENHANCEMENTS FOR HORIZONTAL TABS IN NAVIGATION FLOWS

In an update within the next few months, we are introducing a Dynamic Tabs feature within the Redwood theme to open tabs on the fly, both from a list view or from an existing navigation flow tab to perform related actions. Some examples: view drill through from a form in a new temporary tab; view a form in a design mode; open Web ad hoc from a form or dashboard; open forms from right-click menus.

With the Dynamic Tabs feature, navigation flows within the Redwood theme will move to the bottom of the page instead of at the top of the page where they are currently located across themes. With tabs at the bottom of the page, customers will benefit from a clear separation of the EPM Cloud horizontal tabs from their browser tabs at the top of the window. Another benefit of this change will be to keep the navigation flow tab names distinct from the name of the artifacts (such as forms and dashboards) rendered within the horizontal tabs. The vertical tabs will stay where they are. Action menus in forms will also be cleaned up to not show items that are already included within the right-click menus in forms.

The Dynamic Tabs feature will be available only within the new Redwood theme introduced in the 20.11 update. The Redwood theme will default with dynamic tabs and there will be no option to turn them off when using the Redwood theme. No other themes will have the dynamic tabs capability.

The effective date of the Dynamic Tabs feature update will be announced in the month prior to the update. The Dynamic Tabs feature in the Redwood theme is expected in the next 3-4 months’ timeframe.

NEW WARNING MESSAGE ADDED FOR PROFITABILITY AND COST MANAGEMENT DEPLOY CUBE

A new warning message has been introduced for the Deploy Cube job starting with the October update.

"Warning: Data Storage = Store Data is not allowed with Hierarchy Type = Enabled. If Data Storage = Store Data is used with Hierarchy Type = Enabled, it automatically changes to Label Only in the deployed cube for dimension: <dimension name>."

Purpose: To inform application designers of a mismatch between dimension properties metadata and the underlying Essbase cube definition.

Impact: None -- calculations will proceed as before. Please note that data retrieval in this case is consistent with Data Storage = Label Only, not Store Data.

Recommendation: To eliminate this warning message, go to Dimension Management and change the Data Storage value to "Label Only" for the dimension referenced in the message.

NEW VALIDATION FOR MEMBER SOLVE ORDER IN PROFITABILITY AND COST MANAGEMENT COMING SOON

A new validation for the Member Solver Order member property will be implemented in an upcoming update. The valid range for this property will be from 1 to 120. If you currently have any member that has a value for Member Solve Order that is greater than 120, when you edit that member in Dimension Management, you will be required to change it to a valid value in order to save your other changes for that member.

AVOID NAMING ALIASES THE SAME AS OTHER DIMENSION MEMBER NAMES IN PROFITABILITY AND COST MANAGEMENT

Avoid naming aliases for dimension members with the same name as member names of other members. This can cause circular logic in Smart View that leads to problems executing queries that reference these members.

"MEMBERALIAS" AND "MEMBERNAME" TEXT FUNCTIONS IN FINANCIAL REPORTING WEB STUDIO

Using the MemberAlias or MemberName text functions in cells that are not part of a row or column will not update when referenced with a Page dimension.

For example: The MemberAlias text function is in the column header, above the row dimensions <<MemberAlias("Grid1", cur, "Entity")>>

NEW EXTENDACCOUNTSCOPE SUBSTITUTION VARIABLE

In the 20.11 update, a new feature was introduced in Financial Consolidation and Close to extend the Account scope of Translation and Consolidation Logic. Previously not all system rules were applied consistently to all accounts outside of the “FCCS_Balance Sheet” hierarchy. This has now been updated to apply the same system rules to all relevant accounts regardless of their position in the Account dimension hierarchy.

The most notable change is the calculation of Opening Balance and Foreign Exchange Variance on Revenue and Expense accounts with the exception of Income Statement accounts and Revenue and Expense accounts within Total Other Comprehensive Income. The opening balance and foreign exchange variance calculations for these accounts has not changed and are still redirected to FCCS_REC_OBFXCTA and FCCS_OR_OBFXCICTA respectively.

Prior to the change, the movement of Revenue and Expense accounts with a time-balance attribute of Flow could be reported from FCCS_Movements, FCCS_ClosingBalance, FCCS_Mvmts_Total or FCCS_Mvmts_Subtotal. With the new behavior, the same movement data for the account can be reported from FCCS_Mvmts_Subtotal, with Opening Balance and Foreign Exchange Variance included in the other subtotals.

Note that this feature may have an impact on your application due to certain customizations/configurations, and you may need to update reports and forms, etc. If you need to revert to the old system behavior that was in place before this feature was implemented, you can create a Substitution Variable named “ExtendAccountScope” and set it to “False”. This will revert to the system behavior from prior to the implementation of the enhancement. If this substitution variable does not exist, or exists but is not set to “False”, then the new behavior will apply.
