This guide outlines the information you need to know about new or improved functionality in this update.

Feature Summary

Column Definitions:

Report = New or modified, Oracle-delivered, ready to run reports.

UI or Process-Based: Small Scale = These UI or process-based features are typically comprised of minor field, validation, or program changes. Therefore, the potential impact to users is minimal.

UI or Process-Based: Larger Scale* = These UI or process-based features have more complex designs. Therefore, the potential impact to users is higher.

Features Delivered Disabled = Action is needed BEFORE these features can be used by END USERS. These features are delivered disabled and you choose if and when to enable them. For example, a) new or expanded BI subject areas need to first be incorporated into reports, b) Integration is required to utilize new web services, or c) features must be assigned to user roles before they can be accessed.

Ready for Use by End Users

Reports plus Small Scale UI or Process-Based new features will have minimal user impact after an update. Therefore, customer acceptance testing should focus on the Larger Scale UI or Process-Based* new features.

OAuth 2.0 Authentication Supported for Microsoft Exchange Online

Microsoft is decommissioning basic authentication, so we've made OAuth 2.0 authentication available to you so that this decommissioning is seamless and has no impact on your ability to access calendars from within Evaluation Management.

This feature presents a seamless transition to OAuth authentication allowing you to continue to access Microsoft calendars of others to schedule interview using Evaluation Management.

You don't need to do anything to enable this feature.

Tips And Considerations

Although you don't need to do anything to enable this feature, you'll notice that the value in the Active Directory URL will be graph.microsoft.com instead of graph.windows.net and that the symmetric key will mask all but the first three characters.

Reduced Clicks to View Candidate Submission Details

While previewing an active submission, you can go directly to the Submission Details page with a single click by selecting Navigate away to this submission.

This feature streamlines the process of viewing submission details.

You don't need to do anything to enable this feature.

Hide Select Requisition History Events

A new user type permission allows you to limit access to the events on the History tab of Requisitions. This permission is enabled at upgrade to mimic existing functionality. The new permission is:

  • View history events on requisitions for actions by other users. (A user can always view history events for their own actions)
    • When this permission is enabled, you're able to view all events in the Requisitions History tab and its corresponding print screens.
    • With Release 21B.1, you're able to disable this permission to limit access to these history events. If disabled, only the events for users' own actions display in the Requisitions History tab and its corresponding print screens.

This feature helps to improve privacy and security by providing the ability to limit who's able to view the history events of others in requisitions.

You don't need to do anything to enable this feature.

Tips And Considerations

While this permission is automatically available at upgrade, it is also enabled at upgrade. To disable this permission:

  1. Go to Configuration and select Administration from SmartOrg.
  2. Select User Types from Users.
  3. Search for Recruiting and select a user type.
  4. Select Recruiting from the Functional Domains.
  5. Select Edit next to Requisitions.
  6. Go to General.
  7. Click the checkbox next to View history events on requisitions for actions by other users. (A user can always view history events for their own actions) so that the checkbox is unchecked.
  8. Click Save.

Filter Channels in Center Stage by Ownership and User Groups

You're able to filter channels using ownership or user group criteria by selecting a filter from the Show information for menu in Center Stage. You can then click on your channel counts for detailed information. Your filter selection persists after clicking Back to Center Stage.

This feature enables you to quickly navigate to preferred channels.

Interview Tab in Requisition Templates

You can access the Interviews tab while creating or editing a requisition template which allows you to add questionnaires to the template. These questionnaires are then automatically attached to requisitions that are created using this template. 

This feature streamlines the process of adding questions to requisition templates.

You don't need to do anything to enable this feature.

Deactivate Prescreening and Disqualification Questions

You can deactivate prescreening and disqualification questions that may not be applicable any longer. This is accomplished using a toggle on the Question and Disqualification Question lists.

This feature streamlines the process of deactivating questionnaires.

Personalize List Format for Requisitions and Quick Search Results

You can create and edit personal list formats for requisitions and Quick Search results. You're able to personalize your list view by selecting which columns you'd like to display and the sort order for each level.

To personalize your list formats:

  1. Go to a requisition list or Quick Search results for a requisition.
  2. In the List Format menu, select Create personal list formats.
  3. Select up to 16 columns and the sort order you'd like for each.
  4. Click Save List Format.
  5. Click Close.

This feature allows you to personalize your list formats to better fit your individual needs.

You don't need to do anything to enable this feature.

Edit Department of a Posted Requisition

You can change the department on a requisition that's already been posted using the Edit icon next to the Structure section of the requisition.

This feature helps to streamline the posting of requisitions by allowing you to edit the department of a requisition that's already been posted.

You don't need to do anything to enable this feature.

Change Candidate Folder Owner

You can change the ownership of your personal Candidate Folders by editing the properties and selecting a different owner.

To change the owner of a Candidate Folder:

  1. Go to Candidate Pools.
  2. Select the folder that you want to assign to a different owner from My Folders.
  3. Click the Ellipsis icon and select View Properties.
  4. Click the Selector next to the Owner field and select the new owner. Click Done.

You’ll see that the folder you changed ownership for is no longer listed in your Personal Folders.

This feature helps to make managing your personal folders easier by providing a simple way to change the owner of any of your personal folders.

Delegate Tasks

You’re able to delegate your tasks to a different user as long as that user has permissions that are equal to or greater than yours. You can select the delegate and the timeframe for which you want them to approve your tasks.

If you have the ability to delegate tasks, Delegate my tasks will be available to select from the dropdown menu below your name. If the delegate that you select doesn't have proper permissions, you'll receive an informational message stating this so you're able to make a different selection.

After you've delegated tasks to your delegate, your menu option will change from Delegate my tasks to Task Delegation. You can edit or cancel your delegation anytime using this.

This feature helps provide better management, tracking and completion of tasks.

You don't need to do anything to enable this feature.

Tips And Considerations

While this feature is automatically available at upgrade, you can go into the existing Update delegation information permission to disable this permission. To update this permission:

  1. Go to Configuration and select Administration from SmartOrg.
  2. Select User Types from Users and select a user type.
  3. Select Configuration from the Functional Domains.
  4. Select Edit next to My Setup.
  5. Click the checkbox next to Update delegation information to disable and enable this permission. 
  6. Click Save.

Print Correspondence

You can send correspondence by email, a printed letter or printing to PDF all within the Recruiting user interface (UI). Correspondence can be printed from the preview mode even if it's incomplete.

This feature streamlines the process of sending and printing correspondence.

Steps to Enable

You don't need to do anything to enable this feature.

Print Offers

Print an offer from the Preview section within the Recruiting user interface (UI) while preparing it or after it's been extended. You can also print offers as a PDF file.

You can extend an offer through an E-offer, by email, a printed letter or verbally. Again, all of this can be done directly in the UI.

This feature streamlines the process of sending and printing offers.

You don't need to do anything to enable this feature.

Hide Select Submissions and Candidate History Events

Two new user type permissions allow you to limit access to the events on the History tab of General Profiles and Submissions. Both of these permissions are enabled at upgrade to mimic existing functionality. The two new permissions are:

  • View history events on candidates and submissions for actions by other users. (A user can always view history events for their own actions)
    • When this permission is enabled, you're able to view all events in the Submissions History tab and its corresponding print screens, as well as all events in the General Profile History tab and its corresponding Print screens.
    • With Release 21B, you're able to disable this permission to limit access to these history events. If disabled, only the events for users own actions display in the Submissions History tab and the General Profile History tab with their corresponding Print screens.
  • Include the History section when using the Share Candidate action
    • When this permission is enabled, you can choose to include the History section in the Layout Editor when using the Share Candidate functions in Submissions and General Profiles.
    • When this permission is disabled, you aren't able to include the History section in the Layout Editor when using the Share Candidate functions in Submissions and General Profiles.

This feature helps to improve privacy and security by providing the ability to limit who's able to view the history events of others in Submissions and General Profiles.

You don't need to do anything to enable this feature.

Tips And Considerations

While these permissions are automatically available at upgrade, they are also enabled at upgrade. To disable these permissions:

  1. Go to Configuration and select Administration from SmartOrg.
  2. Select User Types from Users.
  3. Search for Recruiting and select a user type.
  4. Select Recruiting from the Functional Domains.
  5. Select Edit next to Candidates.
  6. Go to the Candidate Information section.
  7. Click the checkbox next to View history events on candidates and submissions for actions by other users. (A user can always view history events for their own actions) and Include the History section when using the Share Candidate action so that the checkboxes are unchecked.
  8. Click Save.

Now, both permissions are disabled. You can choose to disable one or both permissions.

Display Work Location Zip Code

All of the work location details, including zip code, are now shown on requisitions as a Tool Tip.

These details display on the Requisition Details section of the Approve Requisition and Approve Offer pages and on PDFs.

This feature helps to improve the visibility of all the location details, including zip code, shown in the form of a tooltip.
