Public Sector Community Development
Common Community Development Features
When a transaction is related to another transaction, the relationship is displayed in both transactions under the Related Transactions tab. You can also manually enter transactions to create a relationship with another transaction.
A URL link titled "Read More" is available on the Apply page. This URL provides the agency the option of linking to additional information and descriptions about the permit and planning application types. This additional information is hosted by the agency on the agency website.
Combined Template for Email and In-Product Notification
The combined notification template for email and in-product notifications, allows agency staff to configure an email and in-product notification at the same time using the same message.
Global search highlights searchable criteria in the color yellow to make it easier for you to scan and select the correct search result. You can run search from the global header.
Retry Option and Process Overview for Workflow
The workflow overview provides a graphical snapshot of the process definition to help you select the human task when there is a need to manually alter the workflow. Additionally, the retry option is available which enables you to restore a process in the unlikely event it fails during the alter workflow transaction.
Save Transaction Contacts to Profile Contact List
Registered public users have the opportunity to save contacts entered while completing their application to their current profile contact list. By saving the contact information to the profile, the contact information will not have to be entered again in future applications.
The number of characters for the unit of measure abbreviation has been expanded to five to support additional uses.
Display Project Tab on Transaction Detail
When agency staff associates a transaction, such as a permit, to a project, the Projects tab will appear on the transaction details page allowing direct access to the project information. If a permit is not associated with a project, no data will appear on the Projects tab.
Projects can be searched for by location, either using the address or parcel number, from a map.
Cash Drawer Management functionality has been enhanced including the ability to reopen a closed cashier session, adjust a cashier session, and reconcile a cashier session.
Create Accounting Through Subledger Accounting
When a payment is received, an accounting event is created through subledger accounting.
The Property Dashboard provides real-time analytics for the master parcel, address, and owner information. Based on the Property subject area, the Property Dashboard includes metrics such as total count, size, and valuation of properties.
A pre-built report showing the Inspection activity is available. This report is built using Oracle BI Publisher.
A new report, Inspection Job Card, is available to track ongoing inspections for a specific permit. The report can be copied and further configured according to the agency's specifications.
The Receipts subject area provides real-time analytics based on the permit and planning applications. Key metrics include total fees and payment transactions for a given time. The analytics can be broken down by dimensions such as fee schedules and transaction types.
Planning Applications Subject Area
The Planning Applications subject area provides real-time analytics based on planning-related information. Key metrics include total application counts, fee amounts, and project size. The analytics can be broken down by dimensions such as application types, properties, and date ranges.
Thumbnail images of each attachment for a permit are visible along with the file name, file size, description, uploaded by name, and the date and time it was uploaded. These images are also available on smartphones and tablets.
Permit types can be configured with document groups. These groups can define document categories and subcategories when uploading attachments to the permit. Registered public users can add attachments to their profiles using these document categories.
Property Conditions Inheritance
Lock, hold, and notice conditions can be applied to a parcel. For each condition, agency staff can configure it so that the impacted transactions inherit the condition. If 'Apply Condition to Transactions' is enabled, the condition is applied to any new transactions associated to the parcel.
Agency staff may have access to multiple map profiles. A list of the available map profiles for a given user can be accessed from the Map icon in the global header.
Email and Notifications for Plan Reviews and Inspections
Email and in-application notifications can be configured to be automatically sent to plan reviewers and inspectors when a permit is canceled or withdrawn.
View All Comments and Cycle Days
The header section of the Plan Review tab includes a link to view plan comments, which when selected, displays a consolidated list of comments from all the plan review cycles of that permit. This is in addition to cycle specific comment access that is available for each plan review cycle. The header section of the Plan Review tab also displays the number of days in the current plan review cycle. For current and active review plans, it displays the number of days from the creation date to the current date. For complete plan review cycles, the number of days is displayed from the creation date to the completion date.
The Plan Review Dashboard provides real-time analytics for managing the Plan Review process. Based on the Plan Review subject area, the Plan Review Dashboard includes metrics such as the plan review cycle count, percentage of approved decisions, and time tracking per plan reviewer. The Plan Review Dashboard can be copied and further configured in the BI Catalog.
Inspection Request on Phone or Tablet
Both public users and agency staff can request an inspection for a permit from a smartphone or tablet.
Supervisor Calendar Batch Scheduling and Assignment
Inspection supervisors can select multiple unassigned inspections to assign and schedule to available inspectors as a group or one at a time.
Schedule Cutoff Time for Inspection Assignment
Inspection types can be configured with a schedule cut off time which prevents automatic scheduling and assignment of the inspection after the specified cutoff time.
Inspection location contacts can be entered when requesting an inspection. The inspection contact defaults to the applicant. However, the person requesting the inspection can change the contact to someone other than the applicant.
Location and Agenda in Pre-Application Meeting Details
Location and agenda information is included in the pre-application meeting details. Users also have the ability to set up and determine the meeting location and agenda items for the pre-application meeting.
Planner Calendar Sorting and Filtering Options
Agency staff can sort and filter pre-application meetings in the Planner Calendar using the following criteria:
- Start Time
- Duration in Hours
- Application
- Planner Name
- Applicant Name
