Overview

Student Management delivers cloud based, flexible, extensible best practice business flows to support how you enroll your students, maintain their personal information, and manage their payments. From a learner taking anon-credit course to the degree-seeking student, Oracle’s Student Management enables institutions to anticipate students’ needs, illuminate their academic path, and empower them to succeed.

This guide outlines the information you need to know about new or improved functionality in this update.

Campus Community

Oracle Campus Community includes everything that is shared among different Student Management product areas, whether person records or common setup objects for implementing Student Management.

Manage Communications

Use the new communications feature to manage email communications with students and applicants. This feature provides options to create and update the communication content, manage communication categories, define when the communications are to be sent, and track sent communications. To define when a communication is to be sent, associate a communication with an event. Examples of events include scheduled course enrollment, admissions application submission, bill generated for a student, and many more. Use this new, improved communications feature instead of the communications template feature. The communications template feature is in the Functional Setup Manager. The new communications feature can be accessed from the home page, by clicking Academic Tools, and then clicking Communications.

Monitor Events

Monitor events that occur in Student Management. Examples of events include scheduled course enrollment, admissions application submission, bill generated for a student, and many more. These events trigger the set up communications. You can view statistics about events in a given time frame, such as total events, events by a particular status, and success rate of delivery. Additionally, view a list of all events that have been initiated in a particular time frame. If an event has failed, you can retry initiating it. Browse through all of the events that have occurred in a time frame.

Student Financials

Oracle Student Financials is a tool for higher education institutions to manage student receivables, billing, and payment collection. Using Student Financials, both staff and students can quickly find and use the financial information they need to make critical decisions. Staff can actively manage student accounts by performing functions such as creating charges, accepting payments, processing refunds, and generating receipts.

Set Up Learning Packages

Create fees that you can attach to a program, which can be a traditional program of study or a learning package. Students who enroll in the program pay a one-time fee, and are then able to access and enroll in courses that belong to the program.

Create Sponsorship Credits

Create sponsorships so you can finance courses for eligible students.

Students can enroll in courses for which they have been sponsored.

Student Records

Oracle Student Records enables you to set up and maintain your academic structures, curriculum structures and items, and academic calendars. You can enter, track, and process all academic information – from the course catalog and schedule of courses to student programs. You can enroll, grade, and evaluate students.

Designate a Primary Student Program

Designate a primary student program when a student has multiple programs at the same academic level. This means that you can provide a single program for downstream processes such as tuition calculation.

Assign a campus to a student program record so that you can provide a student's campus for downstream processes and reporting. Assigning a campus is optional.

Set Up Learning Packages

Complete these setup steps for a program so that a student can pay a flat fee for the program and then enroll in the courses for the program:

  • Indicate that the program is a pay to access program.
  • Add a fee for the program.

Record the Last Date of Attendance

Track the following student data when you drop a student from a scheduled course:

  • Record whether the student attended.
  • If the student attended, record the last date of attendance.

Calculate Student Level and Load

Calculate student level based on enrollment units and period enrollment. Calculate student load based on enrollment units. Statistics are stored on the Student Results page.

Load Curriculum Item Images in Batch

Load images for multiple courses or programs using Rapid Implementation.

Self-Service: Buy a Learning Package

Students can pay a flat fee for a program and then enroll in the courses that belong to the program. Students do not pay for the individual courses.

Student Admissions

Oracle Student Admissions enables users to enter, track, and process the submission of the admissions applications.

Add Multiple Record Sections

Using Form Builder, you can add preconfigured application sections to capture a prospective student's:

  • Extracurricular activities.
  • Academic history. 
  • Recommendation information.

Applicants can add this new data while completing their online application. Admissions coordinators can then view and edit the information contained in these new sections and consider it when making an admissions decision. 

Manually Evaluate Applications

A new Form Builder page enables admission counselors and those reviewing applications to view all application information at once in order to evaluate it and make an admissions decision. 

Self-Service: Apply Online

Prospective students can now add more information to their online application form, so it can be considered for an admissions decision:

  • Extracurricular activities.
  • Academic history.
  • Recommendation information.

Student Advising

Oracle Student Advising provides the ability to build out a curriculum guided pathway for students. It also provides a student planner that allows students to plan and enroll in courses and track their own academic progress.

Design an Academic Plan Template

Furnish students with clear curriculum pathways to program completion, by providing them with a course completion sequence that enables them to complete their program requirements quickly and successfully. The academic plan template provides the ability to lay out courses and academic requirements for a program of study into a logical sequence against a predetermined program structure, such as a 4-year regular undergraduate program. You then either assign academic plan templates to students, based on an exact match between the programs they're studying and the programs on an academic plan template, or they select them in their student planner. The templates guide them throughout their planning and enrollment and allow them to enroll directly into a scheduled course through their planner.

NOTE: The academic plan format is not required in order to use the student planner, where students may be studying a more flexible program.

Self-Service: Use Student Planner

Students can view and plan multiple programs at once. They can then submit enrollment requests for a scheduled course directly through their planner.  A template is assigned to a student based on an exact match between the student's programs and the programs assigned to a template. The student then can view the recommended program pathway.
