Leave Management

Absence Management

Oracle Absence Management is a configurable and flexible global solution that enables organizations to manage absences of their workforce. The framework provides ability to define both complex and diverse absence plans. It integrates with the Oracle Cloud Global Payroll and Time and Labor products and provides dedicated work areas for the roles of Administrator and Employees. Simplified user interface is provided for employees’ absence data entry.

Obtain Approval from the Line Managers of All Affected Assignments for an Absence

Take advantage of the enhanced absence type setup to configure approvals. If an absence affects multiple assignments of the employee, you can set up the approval so that the manager of each affected assignment has to approve. The absence is approved only after all the managers approve it. It is rejected even if just one of them rejects it.

Area of Responsibility (AOR) Support for Absence, Disbursement and Donation Approvals

Enable the members in an area of responsibility (AOR) to approve absences, self-service cash disbursements and donations. You can configure the rules to decide how many members of the panel need to approve for each of these requests to be approved. For example, some medical leaves might need approval from a panel of doctors in a company.

Make Attachments Mandatory at Absence Entry Based on Criteria

Take advantage of the enhanced absence type setup to configure attachment requirements. You can make attachments mandatory for absences entered by certain roles or when it exceeds a specific duration. You can set the type for the attachments that you want people to upload. Additionally, you can also use a validation formula to configure more complex rules. These rules are applied to all the absences loaded either through the page, or through REST services and HCM data loaders.

Review Absence Plans, Future and In Progress Absences and Future Transactions Impacted Due to Local and Global Transfers

See the new Absences region in the HR Local and Global Transfer page. This region provides managers and administrators, responsible for an employee’s transfer, a view of all the absence related actions that will be taken as a result of the local or global transfer. These include actions on all existing plans the employee is currently enrolled in, future scheduled absences, absences that are currently in progress and future transactions such as donations, disbursements, transfers, adjustments and compensatory time.

Improve Usability with End-Date Defaulting at the Time of Absence Entry

Take advantage of the simplified absence entry page to enter dates more easily. This is available across all units of measure, such as days, hours, weeks, and months. When you select a start date, the end date remains the same as the start date, eliminating the need to reselect the end date from the date picker. This is available in the administrator, manager and employee versions of the absence entry page. Also, when you change the start date, the end date remains as is. You will get an error message if the start date is invalid.

View Year-End Details and Unvested Balance When Viewing Plan Balance Details

View additional absence plan details in two new sections of the enhanced Plan Balance display page. These two sections are Year-End Details and Unvested Balance. The Year-End Details section displays plan balance details at the end of the year, such as plan’s ending balance and year end transactions. These transactions that typically happen prior to the new plan year include rollovers, disbursements, carryovers and forfeitures. The Unvested Balance section displays unvested balance amounts for accrual plans and compensatory time based on the vesting options. This unvested amount is not calculated into the balance. It is displayed in a separate section to inform individuals about transactions that have not yet vested.

Absence Replaced or Removed Features

Increase user satisfaction with the redesigned pages that now have the same look and feel on desktop and mobile devices. These redesigned pages are both responsive and easy to use on any device, with a modern look and conversational language. Clutter-free pages, with clean lines and just the essential fields, can be personalized to suit.

Override Payment Percentage Action To Be Removed Soon

Use the absence certifications functionality if you want to override the calculated qualification bands. The Override Payment Percentage action will be removed from 20C onwards.

Time and Labor Management

Time and Labor

Oracle Time and Labor is a comprehensive, easy to use, rule-based time recording and management application. The calendar-based time entry interface and fully configurable time card layout easily address simple and complex time recording needs. Rule templates and the real-time rules engine provide an extensible and robust method to validate time entries and automatically apply pay rules, such as overtime calculations. Time and Labor now integrates completely with the following Oracle Cloud Human Capital Management applications: Global Human Resources, Absence Management, Global Payroll, and Project Costing. This integration insures accurate and consistent data for payroll processing and costing as well as project management billing.

Time Card Approval Enhancements

Configure compliance rules to check the manager or worker approval status and send reminders to the appropriate people. Reminders can now notify the initial approver and also escalate compliance notifications to the next management level. For example, an individual hasn't approved their time card and their manager's manager gets a notification.

Time and Labor Redesigned User Experience

Increase user satisfaction with the redesigned pages that now have the same look and feel on desktop and mobile devices. These redesigned pages are both responsive and easy to use on any device, with a modern look and conversational language. Clutter-free pages, with clean lines and just the essential fields, can be personalized to suit.

Show Time Entry Comment for Redesigned Self-Service Time Card Pages Introduction

Show the comment for each time entry in the list of entries. If your company requires you to provide comments for most of the time entries, you can now see the comment directly in the list of time entries without having to expand the additional.

Show Exceptions on Redesigned Time Card Pages

Enhance exception handling with page-level and entry-level banners on the redesigned time cards. For example, an exception related to the weekly duration or the rest time between work shifts appears in a page-level banner at the top of the time card. An exception related to an entry duration or an incomplete entry appears in an entry-level banner. A global indicator also identifies the time cards with exceptions on the Team Time Cards and Existing Time Cards pages. And, you can filter the time cards that you see on the Team Time Cards page to show only those time cards with this global exception level. For example, managers can use this filter to see only time cards in error, so they can fix the related warning and error exceptions.

Allow Time Device Exceptions in Time Cards

Let managers allow exceptions generated from time device rules in time cards. For example, let managers allow an early or late time entry generated from device events.

Defer Time Cards Submission for Redesigned Self-Service Time Card Pages Introduction

Defer the submission of your time card if you don't need to get the result of the calculation immediately. When the option is enabled, from the time card itself you can decide whether to immediately submit the time card or defer it (promoted action at the page level). If your company is subject to complex calculation rules or employees with monthly time cards, we encourage users to use the defer option to push the processing to the background. You can review the result once the process is successfully completed.

Publish Date for Redesigned Team Schedule Enhancement

Enable the publish date on the team schedule as an employee attribute using Transaction Design Studio. Whatever the schedule type selected, the publish date shows the most recent date of publication within the current week. For example, your managers are required to publish schedules 3 weeks in advance. They can now easily check if they're compliant with the legal obligation.

Transaction Design Studio for Time and Labor Enhancement

Configure time cards and team schedules to show the frequently used fields and hide the infrequently used fields. You can hide actions on the Team Time Cards page and Time Card Comment section that apply to multiple time cards using Transaction Design Studio.

Time and Labor Replaced or Removed Features

From time to time, Oracle replaces existing features with new features, or removes existing features.

Replaced features may be put on a path of removal, the features below will let you know what update you will have to have moved to the newer feature. As a best practice, you should move to the newer feature as soon as possible for full support and to stay up with the latest updates that the product offers.

Any feature that is removed, will have an Update in which that feature is no longer available. Please make necessary plans to move off the feature by the Update indicated, as it will no longer be available.

Removal of Parameters for the Resubmit Time Card Process

The following parameters are no longer available for the Resubmit Time Card Process:

  • Membership Evaluation Date
  • Membership Change Start Date
  • Membership Change End Date

The Resubmit Time Cards Identified by WFM Events option introduced in 18.A provides an improved and more efficient way to identify and reprocess time cards for workers who move between HCM Groups.
