Oracle Absence Management is a configurable and flexible global solution that enables organizations to manage absences of their workforce. The framework provides ability to define both complex and diverse absence plans. It integrates with the Oracle Cloud Global Payroll and Time and Labor products and provides dedicated work areas for the roles of Administrator and Employees. Simplified user interface is provided for employees’ absence data entry.
Integration with Third-Party Calendars
Allow employees to download and update absences to their personal calendars by configuring the approval framework. All approval notifications will include an .ics file attachment that follows the global standards.
The .ics file can be processed by your calendar client like Microsoft Outlook. Anyone who receives a notice can download the file and add the absence info to their calendar.
Keyword Search Added to Existing Absence
Search existing absences using the newly added keyword search feature in the Existing Absences page. You can search for absence statuses or types using keywords to locate absences with the specified criteria. This makes it easier to review absences.
More Improvements in Accrual Plan Enrollment and Plan Balance Copy During Local and Global Individual and Mass Transfers
Experience more automation during local and global employee and mass transfer. Plan enrollment and balance copy automation is now available for accrual plans with vesting, waiting period, rollover and/or disbursement options enabled. If employees are eligible for the same plan in the new entity when transferred, all their active absence plans in the old organization will be end dated. Their enrollment into the same plan will be automated in the new entity and the initial plan balance will be re-instated.
Override Payment Percentage Action Has Been Removed
Take Note that the Override Payment Percentage action is no longer available. Use the absence certifications functionality if you want to override the calculated qualification bands.
Absence Type Can't Be Changed When Editing an Absence
Ensure data integrity when the absences are edited. You can no longer change the absence type when editing an absence.
Multi-Assignment Enhancement - Enter Absences for Specific Assignments
Allow employees with multiple assignments to optionally limit an absence to a particular assignment during absence entry using the new configuration option on the absence type setup page. If an assignment is selected during absence entry, the absence will impact only the selected assignment. If the option ‘All’ is selected during absence entry, absence processing will consider all assignments active as of the absence start date.
You can now enter absences for specific assignments with the UOM hours or days without using advanced mode. You can record absences for individual assignments for UOM like calendars days, weeks, etc. You can also enter open ended absences for any one of the existing assignments.
Multi-Assignment Enhancement - Enhanced Handling of Assignment Change Processes
Get more out of the enhanced absence processing that occurs when one of the assignment ends for employees with multiple assignments. The application checks for absences that are impacted by this assignment. It automatically adjusts the absence calculation and ensures that no plan deductions and payroll entries exist after the assignment end date.
If an employee schedules an absence and a new assignment is added before the absence start date, you can use the Evaluate Absences batch job to reevaluate that absence record. The existing absence will impact the new assignment as well.
Multi-Assignment Enhancement - Calculate Accruals Based on Attributes of the Specific Assignment
Take advantage of the new configuration to choose whether to calculate accruals using attributes of the individual assignment to which the plan enrollment belongs or calculate accruals using attributes of the primary assignment. Previously, accruals for enrollments of all assignments were calculated based only on the attributes of the primary assignment.
For example, earlier if the Payroll primary frequency was used, the primary assignment’s payroll frequency was used to calculate accruals for each assignment. Now you can use the payroll frequency of individual assignments to calculate their accruals.
Multi-Assignment Enhancement - Overlap Checks Limited to the Same Assignment
Experience a more streamlined overlap check validation when entering an absence for employees with multiple assignments. Overlap checks are limited to the same assignment. If concurrency is not enabled during the absence type setup, you can enter only one absence for an assignment at any date and time.
If you enter an absence for one assignment, you can now enter another absence for the same date and time from a different assignment. The application will not look for overlaps occurring across two different assignments.
Multi-Assignment Support for Cash Disbursements and Donations
Enable your employees to request cash disbursements and initiate donation from plan enrollments belonging to any active assignments. Previously, employees could do this only for their primary assignment. This function is available to line managers also.
If you enable approvals, you can configure approval rules to send the approval request either to just the primary manager or to all the managers of relevant assignments.
Multi-Assignment Enhancement - Enhanced Balance Transfer Page
Transfer balances from plan enrollments of one assignment to plan enrollments of another assignment for employees with multiple assignments. For example, if an employee has two assignments Teacher and Coach, an administrator can now transfer vacation balance from Teacher assignment to the vacation or sick plan of the Coach assignment.
Absence Management Replaced or Removed Features
From time to time, Oracle replaces existing features with new features, or removes existing features.
Replaced features may be put on a path of removal, the features below will let you know what update you will have to have moved to the newer feature. As a best practice, you should move to the newer feature as soon as possible for full support and to stay up with the latest updates that the product offers.
Any feature that is removed, will have an Update in which that feature is no longer available. Please make necessary plans to move off the feature by the Update indicated, as it will no longer be available.
Self-Service Classic and FUSE Pages To Be Removed in 20D
Employees and managers can manage absences and plan balances only through the responsive user-interface pages. The Classic self-service and FUSE pages will be deprecated in 20D and self-service users will no longer be able to access these pages starting 20D. The responsive profiles will not be relevant for absences as the users will be automatically redirected to the responsive pages.
Oracle Time and Labor is a comprehensive, easy to use, rule-based time recording and management application. The calendar-based time entry interface and fully configurable time card layout easily address simple and complex time recording needs. Rule templates and the real-time rules engine provide an extensible and robust method to validate time entries and automatically apply pay rules, such as overtime calculations. Time and Labor now integrates completely with the following Oracle Cloud Human Capital Management applications: Global Human Resources, Absence Management, Global Payroll, and Project Costing. This integration insures accurate and consistent data for payroll processing and costing as well as project management billing.
Person Search Performance Enhancements
Get enhanced performance and usability when you use the person search on the Resolve All Exceptions by Worker page and when you create classic time cards.
Work Day Definition Enhancements
Ensure time entries are created in the time card period that contains the earned date when generating time cards and time entries, and when copying time cards. The earned date is determined according to their work day definition.
Team Schedule for Manager Self-Service Pages Enhancement
Let managers reset their responsive team schedules to the employment or published schedule. A reset team schedule process will run asynchronously to remove unwanted changes. In addition we have two usability improvements, shift durations are now displayed in the HH:MM format and shifts that cross midnight and intersect with a public holiday are no longer truncated unless the shift reference day falls on the holiday.
Direct Addition of Group Members Enhancement
Let time and labor administrators define and assign data security policies for worker access to the two delivered audit and exclude member groups. For example, create an Organization Security Profile for a specific department using the Manage Organization Security Profile task. And, assign the profile using the Manage Data Role and Security Profiles task.
