Overview

HCM Cloud applications have two types of patches you can receive that are documented in this What’s New:

  • Release Updates (20A, 20B, 20C, and 20D)
  • Optional Monthly Maintenance Packs to each update

It is important for you to know what Release Update your environment is on. You can find this in your Cloud Portal.

This document outlines the information you need to know about new or improved functionality in Oracle HCM Cloud. Each section includes a brief description of the feature, the steps you need to take to enable or begin using the feature, any tips or considerations that you should keep in mind, and the resources available to help you.

In addition to this document you will also want to review the Oracle Human Capital Management Cloud Functional Known Issues and Maintenance Packs (Document ID 1554838.1). These documents identify bug fixes and possible known issues. You will also need to review these documents based in the release update version you are currently on or will be moving to.

HCM Common Features

This section covers features used across all HCM Applications.

Interact with Oracle HCM Cloud Using the HCM Digital Assistant

Use the new Oracle Digital Assistant (ODA) and HCM skills to get the information you need. Instead of using the traditional method of navigating within the application, interact with the HCM digital assistant in a conversational way. You can now interact with HCM and Recruiting Cloud by downloading skills available from the Oracle Digital Assistant skill store.

HCM Skills

Skills are designed to answer specific questions or help you complete tasks. The HCM skill includes multiple intents designed to address employment related questions or help you initiate a manager self-service transaction. Using the HCM digital assistant, you can obtain directory information, view absence balances, and view payslips. As an employee, you can do things like, obtain your benefit provider group numbers and coverage information. As a line manager, you can view your direct reports and initiate a self-service transaction such as a promotion or transfer.

You download skills to your Oracle Digital Assistant from the skill store.

The HCM skill includes many intents that cover various aspects of HCM. When you download the HCM skill, you get all the intents and can just use the ones you want. The intents allows users to interact with the DA in the following ways.

  • View public information - View public information about yourself or others available in the Directory, such as work phone number, email address, manager, work location, direct reports, etc.
  • View absence balance - View current absence balances and projected balances as of a future date.
  • View scheduled absences - View the absences scheduled in the past and in the future.
  • View payslip - View your last payslip, last 3 payslips, or all payslips for a specified month.
  • Initiate manager self-service transactions - Navigate directly to the application and start any of these transactions: Promote, Transfer, Change Location, Change Manager, Change Working Hours, Change Salary, Manage Direct Reports, Terminate, Manage Onboarding, Hire an Employee.
  • Provide anytime feedback - Give feedback on other people such as your peers or subordinates. Specify who can see your feedback.
  • View salary - View your own or your employee's current salary and last salary adjustment.
  • View tax withholdings and year-end documents - View your tax withholdings and year-end documents.
  • View benefit provider and enrolled dependents - View your medical, dental, and vision plans, get the provider name and group number, and find your covered dependents.
  • View employee performance evaluation status - Check the status of your employee performance evaluations.
  • View employee with no goals - Find out which employees have goals and which employees don't.

How to Converse with the Digital Assistant

You can converse with skills to answer questions using chat channels such as a Web Channel. Alternatively, you can use the various channels supported by the Oracle Digital Assistant platform.The HCM DA is available from your HCM Cloud application. When enabled in the HCM Cloud application, on the desktop, the DA icon appears in the bottom right corner of your browser. When you navigate between pages, the DA icon is always visible on HCM pages so you can initiate a conversation at any time. When you navigate away from the HCM application, the DA icon will not appear.

To initiate a conversation, you must first log in. If you're using the web DA, you will have already logged into the HCM Cloud application. Once authenticated, you can ask a question, or ask for help if you need it. Use natural conversational language. The DA understands many different words and phrases.

Skills Available from the Skill Store

All delivered skills you download to your Oracle Digital Assistant are read-only. You cannot modify them in any way. And as new features and functionality are added, the skills in the skill store will be updated as a new version. If you need to make modifications, you can clone a skill and configure it by adding organization specific synonyms, phrases, and terminology.

Tips And Considerations

  • For web channel, you can access HCM skill within the HCM application only, where the application URL includes hcmUi. For example, https://<hostname>/hcmUI/faces/FuseWelcome.
  • Non-HCM skills downloaded to your Oracle Digital Assistant will be available from the HCM web client if you configure them for the same web channel.
  • English is the only delivered language.
  • You can use intents for which you have access to in the desktop application. For example, if you don't have access to view your absence balances in the desktop application, you cannot use the View Absence Balance skill.
  • When you download the HCM skill, you get all delivered intents. If you don’t want to make them all available to your employees or haven’t implemented all functionality to support the intents, you can control access using security as described in the HCM Digital Assistant White Paper in document Interact with HCM and Recruiting Using Oracle Digital Assistant (Document ID 2530856.1).
  • The DA supports and recognizes commonly used English words and phrases delivered as synonyms and utterances. 
  • The DA returns general responses. If you ask about a specific absence type, benefit plan, or approval task, for example, the DA will return a general response about all your absence types, benefit plans, and approval tasks.

Role Information

Some intents are backed by public rest APIs secured by their own function privilege. Some use deep links secured by function privileges. Corresponding function privileges are required to use any intent. Grant required privileges to your custom employee roles as needed.

New Enhancements to Transaction Console

Transaction Console has been enhanced to show a timeline of the various stages of a transaction from start to finish. 

In Tools > Transaction Console, select the transaction you want to see more information about, and click the View Transaction History button:

Applications Security

Oracle Applications Security provides a single console where IT Security Managers and Administrators can perform various functions including user lifecycle management, role definition, security policy management(both functional and data), role hierarchy maintenance, username and password policy administration, and certificate management. The console also enables users to simulate the effect of security changes, to run security reports, and download a connector for integration with Microsoft Active Directory.

Data Security Support for User and Role Provisioning in HSDL

Ensures data security is maintained when you load users and roles using the HDL Spreadsheet Loader (HSDL). 

This feature allows you to limit the users that can access HSDL, specifically the User and UserRole HDL objects.

Make the feature accessible by assigning or updating privileges and/or job roles. Details are provided in the Role section below.

The security is applied to the person associated with the user account, not the user account itself.

Application Security Redesigned User Experience

Increase user satisfaction with the redesigned pages that now have the same look and feel on desktop and mobile devices. These redesigned pages are both responsive and easy to use on any device, with a modern look and conversational language. Clutter-free pages, with clean lines and just the essential fields, can be personalized to suit.

Enhanced Notifications Support in Role Delegation

Enables you to choose to get a notification when a role delegation is deleted or updated.

Now when a role delegation is deleted or updated, you can choose to send a notification that indicates the deletion or update has occurred. Introducing a notification upon deleting or updating a delegation notifies users of this action and that they may have different responsibilities.

When an employee (Delegator) deletes a delegation (Self-Service), a notification is sent to the user defined as the Proxy (Delegate To). When an HR Administrator deletes a delegation (On-Behalf of), a notification is sent to both the selected person on behalf of whom the delegation was deleted (Delegator), and the user defined as the Proxy (Delegate To).

Steps to Enable

In order to enable the delegation notifications, you must enable the following profile option and have enabled the HCM_RESPONSIVE_PAGES_ENABLED profile option. 

NOTE: This step of enabling profile is for existing customers only. New customers starting with 19D or a later release do not need to setup these profiles, as the new responsive screens are delivered by default.

To enable the profile option, navigate to the Setup and Maintenance work area:

  1. Search for and click the Manage Administrator Profile Values task.
  2. Search for and select the profile option.
  3. Click to add a new Profile Value.
  4. Select the Level as Site.
  5. Enter a Y in the Profile Value field.
  6. Click Save and Close.

The default profile value is 0, which will not send notifications.

Control Data Security in Account Management Mobile Pages

Enables you to control security for Roles and Delegations in the Account Management on your mobile device, allowing for greater flexibility in setting up security. You are also able to configure read-only access to mobile pages.

This allows for more granular control of the pages through data and functional security using data security policies and roles providing the ability to hide and show certain aspects of the page. Three roles are the focus of this feature: Employee, Line Manager and HR Specialist.

Steps to Enable

Make the feature accessible by assigning or updating privileges and/or job roles. Details are provided in the Role section below.

Confirm that the Manage User Account duty role or Manage My Account duty role is present in the role hierarchy, and then regenerate the role to enable use of this feature.

Some changes have been made to the roles and privileges that secure access to the mobile Manage My Account and the Manage User Account pages.

For the Employee role, the security access to the Roles and Delegations page is configured using the Manage My Account Duty Role. You create a duplicate of this duty role and then modify it to make particular areas of the page read-only.

For the HR Specialist and Line Manager roles, the security access to the Manage User Account page is configured using the Manage User Account Duty Role. You create a duplicate of this duty role and then modify it to make particular areas of the page read-only.

Please note that the Synchronize with Identity Store and Update Role Assignments actions were removed from the default Line Manager and HR Specialist roles.

HCM Data Loader

HCM Data Loader provides a flexible and efficient method of bulk loading business object data for data-migration and on-going incremental updates to Oracle Human Capital Management Cloud.

Delete Protected Data Sets

A data set is automatically protected when it contains business objects that support being rolled back. The protected status ensures that data sets aren't purged before the requirement to rollback the data has passed.

You can now configure the number of days after which protected data sets are automatically purged. Furthermore, you can now delete protected data sets before they expire.

Use the Delete Stage Table Data task to prematurely delete protected data sets by setting the Type to Protected in the panel filter.

Tips And Considerations

By default, protected data sets expire after 60 days, they are then permanently deleted. This default can be overridden by updating the parameter Days to Retain Protected Data Sets Before Deleting in the Configure HCM Data Loader task.

When prematurely deleting protected data sets in the Delete Stage Table Data task, you can’t purge protected and unprotected data sets in the same process.

Role Information

You can only prematurely delete protected data sets if you have the function security privilege Delete HCM Data Loader Protected Data-Sets. This privilege isn't inherited by any preconfigured roles.

Generate Business Object Files of Failed Lines

You can now generate a zip file containing the file lines for each business object that failed to load in the data set. Each .dat file includes the SET and METADATA lines, followed by the MERGE and DELETE lines that didn't successfully load.

On the Import and Load Data page, initiate the file generation for a data set in error, or a single business object within a data set, by clicking the Extract Failed Lines button on the table toolbar.

The Failed Lines File column displays the status of the file generation process. Once complete, the download file icon can be used to access the generated zip file.

Steps to Enable

Use the Configure HCM Data Loader task, available from Setup and Maintenance to override the default for the Enable File Generation for Failed File Lines parameter to Extract failed lines.

While the file generation process is running, refresh the table content to review the current status.

You can also monitor the status of the process by clicking Review Processes on the Data Set table toolbar.

New Business Objects Supported

Extend your data loading capabilities with support for these new objects:

Product Area Business Object Description
Talent Management Check-in Document Check-in documents record an employee and manager discussion. They can be captured in the form of notes in discussion topics or questionnaires.
Global Payroll - Person Information Payroll Absence Record The absence record is stored within the Calculation Information Repository. When absence plan records are imported from Oracle Cloud Absences or a third-party absence product into Oracle Cloud Payroll, it is stored within the Calculation Information Repository area for absences. The payroll calculation then processes the absence entries for payment or deduction.
Global Payroll - Payments Payroll Bank Account Prenote Status Update Before a direct deposit payroll transfer takes place, the prenote process validates the bank account information to ensure that the provided employee account information is valid. This process needs to be performed only once for a bank account. If the prenote process has already been performed, you can create a prenote record with a skipped status for the bank account. This stops the revalidation of the bank account.
Global Payroll - Interface Third Party Pay Interface Error Errors reported by a third party payroll system processing our HCM Extract feed. The payroll administrators can take corrective action and resubmit the records for reprocessing.
Recruiting Geography Hierarchy

A geography hierarchy represents the set of locations where organizations post jobs and hire candidates. These locations are a subset of what is defined in TCA geographies. Using only the relevant locations makes it easier to select appropriate locations.

HCM Spreadsheet Data Loader

HCM Data Loader provides a flexible and efficient method of bulk loading business object data for data-migration and on-going incremental updates to Oracle Human Capital Management Cloud.

Support for All User Key Combinations

Many business objects provide multiple user key combinations to uniquely identify records being bulk loaded. When designing a spreadsheet template, you can now decide which user key combination should be used.

For example, the External Bank Account business object provides 12 user key combinations. You can choose to identify the bank by its number or name similarly, you can choose to identify the bank branch by its number or name. Your legislation may also require additional attributes to identify the bank account, such as secondary reference, or account type. Choose the combination of user key attributes that is appropriate for your legislation and users.

Alternatively, if your spreadsheet is to be used to maintain existing records, you may wish to use the records surrogate ID attribute and its associated list of values, to uniquely identify the record to update.

When you add the first attribute you will see the user key and surrogate ID options that provide a unique key to the records for the object.

Tips And Considerations

The Select Key page will display when you create a new template, even if only one user key is available. This allows you to choose between the user key and surrogate ID attribute.

Attributes used to uniquely identify a record are now prefixed with the key icon on the Selected Attributes panel.

When selecting attributes from child components that also provide multiple user keys, the template designer will automatically pick the closest matching user key. You can change the selected key at any time by clicking the key icon on the Selected Attributes panel toolbar.

Secured Business Objects Now Available to Business Users

You can now create and share spreadsheet templates with your business users for these objects:

Product Area Business Object Description
Global HR - Document Records Document Record Stores information about person documents, such as visas, licenses and medical certificates. 
Global Payroll - Person Information Element Entry An element entry holds the actual payroll element and benefits granted to a worker. These may be ongoing recurring entries, for example Salary, or single period non-recurring entries, such as Bonus.
Global HR - Work Structures Position A position is an instance of a job within an organization. For example, you can create a position HR Manager UK for the Human Resources organization, for the Manager job.
Global HR - Users User Update requests for the user account for an existing person record.

The user's data security will be enforced when uploading data using HCM Spreadsheet Data Loader for these objects.

Steps to Enable

You create spreadsheet templates using the Spreadsheet Templates task, available in the Data Exchange work area. On the Define page you will now see that data will be uploaded using the session user and that role can be assigned to the template.

Review Template Security

Click the Role Access tab to add the job roles that can use the spreadsheet template and configure the data set access each role has.

Configure Permitted Data Set Options

The job role must have these privileges in order to access the spreadsheet template and upload data using it:

Load Data Using HCM Spreadsheet Data Loader Provides access to upload data from HCM Spreadsheet Data Loader spreadsheets.
Access HCM Spreadsheet Data Loader Templates Provides access to the Run Spreadsheet Templates task, found in the Data Exchange work area.

In addition, if the Manage Data Exchange Work Area function security privilege isn't already granted to the role, then you must grant it to provide access to the Data Exchange work area.

Tips And Considerations

If the Upload Data As value in the Template Security section of your template is Elevated user, data security is not yet available for the object in your environment.

The Human Capital Management Integration Specialist job role has View All access to all business objects. Users with this job role will not be restricted in the data they can create and maintain using HCM Spreadsheet Data Loader.
