This document outlines the information you need to know about new or improved functionality in Oracle HCM Cloud. HCM Data Loader provides a flexible and efficient method of bulk loading business object data for data-migration and on-going incremental updates to Oracle Human Capital Management Cloud.
HCM Data Loader provides two sets of staging tables; the primary tables are where processing occurs and to keep bulk loading performant the volume of data should be minimized. The secondary tables are where data sets that need to be retained for extended periods are moved to. Holding data in the secondary tables won't impact the performance of bulk loading other data, but it does take additional time to move the data set data from the primary to secondary staging tables. You can only retain data sets for an extended period if they contain data for business objects that support validate or roll back.
You now control which data sets are moved to the secondary staging tables so they are retained beyond the standard retention period.
NOTE: By default, no data sets are moved to the secondary staging tables.
You override the default behavior using the Configure HCM Data Loader task, or by providing the SET EXTEND_DATA_SET_RETENTION Y instruction in files you potentially need to roll back.
Only retain for an extended period, data sets that you may need to roll back.

You don't need to do anything to enable this feature.
Tips And Considerations
References to protected data sets in the user interface have been replaced with extended retention data sets.
Enhancements to Import and Load Data
Roll back successfully loaded element entries, or extend the retention period of a data set containing element entries from the Import and Load Data task. The Load button, available on the Business Object table, is replaced with the Submit button.
When you select a business object which supports roll back, the Submit button provides access to initiate roll back, or extend the retention period of the data set.
You can now roll back or extend the data set retention of a data set containing a business object that supports roll back, from the Business Objects table, in the Import and Load Data task.

You don't need to do anything to enable this feature.
Tips And Considerations
You can only roll back objects that support roll back which have data successfully loaded.
You can only extend the retention period of the data set if it isn't already extended.

Oracle Applications Security provides a single console where IT Security Managers and Administrators can perform various functions including user lifecycle management, role definition, security policy management(both functional and data), role hierarchy maintenance, username and password policy administration, and certificate management. The console also enables users to simulate the effect of security changes, to run security reports, and download a connector for integration with Microsoft Active Directory.
Regenerate Data Security Profiles and Grants Job Set
Use the new Regenerate Data Security Profiles and Grants Job Set to streamline conversion of existing security profiles and data roles. You can now easily change existing data security grants and security profiles in mass.
Role regeneration is necessary for all roles, custom or seeded, which is common particularly after an upgrade. Data roles based on seeded job roles must be regenerated when you upgrade to reflect any new changes, such as DSPs, against seeded roles in Update 20D.
Although this process runs automatically after the update, all upgrading customers must verify successful completion of this process. Validation steps are detailed in Tips and Considerations section.
This new Regenerate Data Security Profiles and Grants Job Set regenerates all roles, including those based on seeded job roles.
Steps to Enable
You don't need to do anything to enable this feature.
Tips And Considerations
We expect that this job set process will complete by the time your updated environment is released back to you; however, it may still be in Running status. You need to wait until the status is Succeeded or Completed before starting any regression testing. The process may take longer for larger organizations.
To check the status of your job set, follow the steps below.
- Login as Login as an IT Security Manager user (or a user with IT Security Manager access).
- From the Navigator, select Tools > Scheduled Processes
- Search for Regenerate Data Security Profiles and Grants
If your job set fails, please manually rerun the job set process. If that attempt also fails, then open an Oracle Service Request.
To run the Regenerate Data Security Profiles and Grants Job Set:
- Login as an IT Security Manager user (or a user with IT Security Manager access).
- From the Navigator, select Tools > Scheduled Processes.
- Click Schedule New Process and select Job Set in the dialog box.
- Select Regenerate Data Security Profiles and Grants and click OK.

View Business Objects Enhancements
This feature helps outline the components in an object hierarchy that must be provided when creating new records and the components that are being decommissioned. The Business Object Details page of the View Business Objects task now includes icons to indicate the required or decommissioned status of components in the object hierarchy.
These icons indicate that Work Relationship, Employment Terms, and Assignment are required for new records, while Contract is conditionally required. The child components of Employment Terms components are all decommissioned.
This feature provides clarity about components that must be supplied when creating a new record.

Steps to Enable
When creating a new spreadsheet template, the template security automatically defaults to the setting where data is uploaded as the session user. For existing templates based on these objects, you can update the template configuration and set the user type to session user.
Once you configure the user type for a template as the session user, you can then assign which job roles have access to the template and configure what data set operations they can perform.

HCM Extracts provide a method for extracting data from your HCM applications that can be used for interfacing data to another source or extracting data to integrate reporting across systems.
You can now rename an extract when you want to import or migrate a later version of the extract with the same name. By renaming will facilitate references in external applications to remain unaffected, while allowing you to update the extract with a later version.
In the Extract Definitions page, you can find the Copy or Rename icon among the action icons in the last column. You can choose the Rename option and click OK in the window.
Renaming allows you to reduce the impact in downstream applications or in calling applications without a need to update them. You can continue to refer the extract with the same name.

Tips And Considerations
After renaming the extract, ensure that you run a new baseline if your extract is incremental.
Configure Effective Date Defaulting Rule in Extracts Definitions Page
When extracts are scheduled, the Effective Date parameter, which is a required attribute, needs to be specified for defaulting appropriate values. For example, running an extract daily will require passing the effective date in context to the date on which it is run. You can define defaulting rules from the Refine Extracts page where you specify it at the task parameter level.
You can define these rules in both the Extracts Definition page and in the Refine Extracts page. Starting in Update 20D, you can define these rules directly in the Extracts Definitions page. This is a quicker and easier way to define the defaulting value.
This feature addresses and simplifies the common scheduling needs, by setting up the default value for effective date for an extract on the Define Extracts page.
Steps to Enable
You can define the parameter to defaulting values by choosing the Advanced View option in the Extract Attributes page, Parameters region.
- From Data Exchange work area, go to the Extract Definitions page.
- Open the extract for which you want to specify the Effective Date parameter.
- In the Define tab, go to the Parameters region and select Advanced View from the Show list.
- Select the value from Parameter Basis list.
- Click Save and Close.
Extracts Tagged for Incremental and Full Runs
When you define an extract, you can now classify an extract as either Full or Changes Only (Incremental) extract.
However, existing extract definitions continue to remain unclassified. Starting 20D, these are automatically classified during upgrade based on the extracts runs for a given extract. This automatic classification can be reviewed from the Extract Definitions page.
If you find an extract to be misclassified, you can export and import the extract definition with the correct classification by leveraging the Rename Extracts Definitions feature and thus retaining the same name for your extract.
This feature will help you classify and identify your existing extracts better.

Secure Access for Workers with Multiple Assignments
We have secured user access for workers by using assignment-level security, if your organization allows for multiple concurrent assignments. The current out-of-the-box behavior supports person-based security access, which means a user having access to a person has access to all assignments and personal information for that person. The new assignment-level security restricts a user's access to a person's assignment based on the user's area of access. By enabling a new assignment-level security profile option and regenerating your data grants and security profiles, your organization opts into this feature for all of the HCM Cloud applications.
This initial feature release offers a multi-phased implementation for HCM Cloud customers and provides enhancements to the HCM Data Security, Person, Employment, Compensation, Talent, and Payroll product areas. Several HCM quick actions and person searches have been modified to provide a broader and more consistent user experience. The users will be restricted to only those assignments to which they have access and not all assignments of the person just because they can access that person. These are a few examples to explain this functionality:

Scenario 1: A line manager and HR specialist are responsible for a worker who is both a registered nurse in the emergency room and also has a different assignment in the memory ward as a coordinator. This worker may have two different line managers, and each should only see the worker's single assignment in their respective organizations. The line managers should not see assignments for different departments, in this case the emergency room and the memory ward. Likewise, there may be two HR representatives supporting each department (or business unit). The HR representative should not be able to access the assignment in an organization that they don't have access to.

Scenario 2: In this line manager scenario, Harry is a manager with multiple concurrent assignments. He also has a direct report, Jane who has 2 assignments herself with two different managers. In this scenario, Harry should only be able to access Jane's primary assignment and Franco (Jane's direct report). However, Harry should not be able to access Jane's second assignment, and certainly not Kyle.
Several quick action search results are now modified in HCM to restrict user access to the assignments that they have access to. Here's an example, of before and after turning on assignment-level security.
If you turn on this feature you can lock down security to the assignment level. This allows managers and organizations to only see information that is within their area of responsibility.

Enable approvals for transactions that use assignment-level security. For example, transactions, such as Administer Individual Compensation, Administer Salary, Manage Areas of Responsibility, Manage Salary, Person External Identifiers, and Salary History.

Manually update security for custom roles using instructions from Implementing Assignment-Level Security in HCM (Document ID 2700661.1) on My Oracle Support. Note: Our regeneration processes will not alter any custom criteria. You must manually update security for custom roles because it is not a delivered functionality.

Enable the responsive pages for the transactions by enabling the HCM_RESPONSIVE_PAGES_ENABLED profile option. See step 3 on how to enable this profile option. NOTE: This job set applies to all customers who receive Update 20D, regardless of whether or not you will be implementing assignment-level security. Cloud Operations will initiate the Regenerate Data Security Profiles and Grants job set as part of the 20D Update to customer environments. After receiving your environment back after the Update, your IT Security Manager user will have the ability to view the status of the job set. The IT Security Manger must verify that the job set successfully ran to completion. Depending on the size of your organization, the job set process may still be running when your environment is returned. Please ensure that you don't release your user population without testing your custom data roles. If the job set fails for some reason, your IT Security Manager must manually run the job set, and make sure it completes successfully.
- To enable assignment-level security in the employment contract, you must run the Migrate Employment Data process by selecting this run mode: Enhance contract data to enable its use in the responsive pages. For more information about the Migrate Employment Data process, see the Process to Migrate Contract Data topic under the Hire and Manage Workers chapter of the Using Global Human Resources guide. Tips And Considerations

You can't enable the assignment-level security profile option with the Oracle Search profile option. You can enable only one of these profile options in Release 20D.

The custom criteria on the Person Security Profile won't be modified by any Oracle processes, and you need to manage your custom criteria. To update your custom criteria, refer to the MOS Doc ID listed in the Key Resources section.

The Share Data Access action doesn't yet support assignment-level security. If you use the action in your organization, your users will continue to have access to all assignments for a shared person.

After you enable assignment-level security, you can’t use this navigation to manage assignment data for an assignment that you don’t have access to: Person Management work area > Classic Manage Employment page

The employment tree icon on the classic manage employment page won’t be visible after you enable assignment level security.

Talent Management:
-
The Talent Review, Succession, and Talent Pools features don’t support multiple assignments. The worker list of values (LOVs) only allow the user to select a primary assignment.

Succession Quick Actions: Although the quick action supports assignment-level security, if the user selects a nonprimary assignment from the quick actions search page, it’s the primary assignment information that will be displayed and saved in the succession plan.

Career Development Quick Actions: Although the quick action supports assignment-level security, the user will be able to view all development goals for the employees, irrespective of the assignment. NOTE: After adding your custom data security policies, it is important to regenerate the roles that inherit the custom roles to which you have added the data security policies.
New Enhancements to Transaction Console
The Resubmit feature for terminated or stuck transactions in the Transaction Console has been further enhanced to inform the initiator via notification and email that the transaction has been re-submitted. The enhancement also checks whether the transaction that is being resubmitted has any conflict with any other pending or completed transactions.
Administrators are now able to archive completed transactions to improve the performance of the Transaction Summary tab. They can specify the frequency of the archive period for each transaction type in the Approval Rules tab:
You can choose any of these archive times: 3 months, 6 months, 9 months, or Don't archive.
You can now take advantage of the resubmit notifications and archive results for better performance on the Transaction Summary tab.
Steps to Enable
You must create and enable the profile option HCM_TAC_RESUBMIT_ACTION.
To create the profile option, navigate to Manage Profile Options:
- Click Create.
- Profile Option = HCM_TAC_RESUBMIT_ACTION.
- Profile Display Name = HCM_TAC_RESUBMIT_ACTION.
- Application = Global Human Resources.
- Module = Global Human Resources.
- Start Date = Pick a date in the past (for example 1/1/51).
- Under Profile Option Levels, for Site select the check box for both Enabled and Updateable.
To enable the profile option, navigate to the Setup and Maintenance work area:
- Search for and click the Manage Administrator Profile Values task.
- Search for and select the profile option.
- Click to add a new Profile Value.
- Select the Level as Site.
- Enter TRUE in the Profile Value field.
- Click Save and Close.
Hidden Attributes in Business Objects in Configure Business Objects Task
A few attributes are hidden in their respective business objects and won't be available in manual groovy in the Configure Business Objects page. Hence, manual groovy must be reviewed for each impacted business object.
The following attributes are hidden in HCM Cloud from release 21A. It's recommended you remove these attributes from manual groovy in Configure Business Objects in release 20D.

HCM Common Replaced or Removed Features
From time to time, Oracle replaces existing features with new features, or removes existing features.
Replaced features may be put on a path of removal, the features below will let you know what update you will have to have moved to the newer feature. As a best practice, you should move to the newer feature as soon as possible for full support and to stay up with the latest updates that the product offers.
Any feature that is removed, will have an Update in which that feature is no longer available. Please make necessary plans to move off the feature by the Update indicated, as it will no longer be available.
HCM Data Loader (HDL) Must Be Used for All Payroll Objects
Take note that Payroll Batch Loader (PBL) objects are supported in HCM Data Loader (HDL). Loading of payroll objects through PBL is no longer supported starting with Update 20D. All Integrations must use the HDL tool for loading payroll objects.
Fast Formula Transformation is supported with HDL and can be used to transform the incoming file and output the data in the HDL .zip format.
HCM Spreadsheet Data Loader (HSDL) is a single generic spreadsheet to support all Business Objects. HSDL provides:
- Metadata driven approach
- Flexible layout
- User designs the spreadsheet based on their requirement/columns
- Configurable fields
Payroll Business Objects supported by HDL also means that HSDL is available.
With the support of the Payroll objects, HCM Data Loader now supports a single loader for all HCM objects.

Update Maximum Possible Score When Question Scores Are Updated
When you update the score of a question, the maximum possible score of the questionnaires that include this question are automatically updated, provided they aren’t in use. However, if you have the scores overridden for these questions at the questionnaire level or if the questionnaire is in use, then these scores will remain unaffected by your updates to the question score.
This feature allows the questionnaire maximum possible score to be kept in sync when question scores are updated, avoiding discrepancies.

You don't need to do anything to enable this feature.
Tips And Considerations
You can create new versions of questionnaires that are in use, if you choose to have the maximum possible score updated for these questionnaires when a question score is updated.
Limit Updates to Existing Version of Questions and Questionnaires
Update a question or a questionnaire when they are not in use. If the questions or questionnaires are in use, we recommend to create a new version to modify them using either the HDL or in the application.
By limiting updates to questions and questionnaires when they are in use, it allows the responses to be reviewed in the original question context. Updating questions when responses exist can invalidate the responses.

Instead of updating the existing version of the question or questionnaire, you can create a new version.
Define SFTP Configuration for HCM Extracts
Prior to 20D, you can securely transfer extracts-generated output files using SFTP to external hosts by using the BIP file transfer mechanism.
From 20D onwards, you can define the SFTP configuration directly from the Data Exchange work area without any need to define these externally in the BIP layer. SFTP supports compression and encryption of data.
By avoiding the BIP layer for the SFTP definitions, it simplifies the configuration and improves the runtime efficiency. You can enable the XML and native CSV output files and transfer it directly by the Extracts process.

- From the Data Exchange work area, go to the Data Exchange Configurations region> File Transfer Configurations task.
- In the Configurations page click Add to create a configuration.
- Specify the info in the Details, Server, and Security regions.
- Click Save and Close.
When you choose the available SFTP configurations from the drop-down list, the attributes in the Advanced region, Remote Directory, Remote File Name, and Server Name are displayed from the chosen configuration directly.

You can continue to use the BIP-based file transfer mechanisms for file formats other than XML and native CSV files.

- CHECK THE REGENERATE DATA SECURITY PROFILES AND GRANT JOB SET PROCESS
Role regeneration is necessary for all roles, custom or seeded, which is common, particularly after an update. This new Regenerate Data Security Profiles and Grants Job Set regenerates all roles, including those based on seeded job roles. This process will run automatically after the update, however it may not be complete when the environment is released, so all customers must verify successful completion of this process. Validation steps are detailed in Tips and Considerations section of the 20D HCM Common What’s New feature Regenerate Data Security Profiles and Grants Job Set.
- ACTION MAY BE NEEDED AFTER UDATE REGARDING CUSTOM ROLES
This applies to all customers who are receiving Update 20D, regardless of whether or not you will be implementing assignment-level security.
If you have custom versions of these Oracle Transactional Business Intelligence (OTBI) duty roles, you will need to add data security policies to your custom roles after receiving Update 20D:
- ORA_FBI_WORKFORCE_TRANSACTION_ANALYSIS_DUTY_HCM
- ORA_FBI_GOAL_MANAGEMENT_TRANSACTION_ANALYSIS_DUTY_HCM
- ORA_FBI_CAREER_DEV_TRANSACTION_ANALYSIS_DUTY_HCM
You may have created custom versions of these roles, if you have performed a deep copy of a job or abstract role that inherits one or more of these OTBI duty roles.
You must add data security policies to your custom roles, even if you are not implementing assignment-level security. For more information and steps to take, please refer to the 20D HCM Common What's New for the Secure Access for Workers with Multiple Assignments feature. If you are not interested in assignment-level security, you can just scroll down to the Role section and follow the step outlined for adding the data security policies.

When a feature is replaced the older version may be removed immediately or at a future time. ORACLE HAS DECOMMISSIONED THE HCM CLASSIC SIMPLIFIED USER INTERFACE IN UPDATE 20B
The new and redesigned HCM Responsive User Experience has been available and promoted as our standard since Update 18B. If you are still using the older HCM Classic Simplified User Interface, you must begin transitioning to the HCM Responsive User Experience, as these older pages will no longer be supported.
For information on the Responsive features, see the HCM Common What's New for Update 18B and 18C. The redesigned features are under a heading for Redesigned User Experience and have groupings by product. Features that have come out from 19A onwards will be in their respective solutions: HCM Common, Global Human Resources, Talent Management, Workforce Management and Workforce Rewards What's News. The feature will be under their product headings. You can open one these solutions such as Workforce Rewards and you will see tabs on the left to easily let you open the different releases to view the responsive features.

We’ve taken the employee and manager self-service pages to the next level by redesigning them to look and behave the same on desktop and mobile devices. We’ve also changed the look and feel of the pages to provide a better experience for end users.
Pages and messages look more modern and use simpler, more conversational language so that you can more easily read and understand content across all devices. The pages are clutter-free and clean and display only those fields that are required to complete the task. You can personalize the pages and add more fields that are hidden by default. For most self-service tasks, you’re asked what you want to do, and the task is broken down into a series of steps based on your choice.

KNOWN ISSUES / MONTHLY AND STATUTORY MAINTENANCE PACK
Oracle publishes a Known Issues document for every Update to make customers are aware of potential problems they could run into and the document provides workarounds if they are available.
Oracle also publishes Maintenance Pack and Statutory Maintenance Pack documentation of bugs that are fixed in the monthly or statutory patching.
