Oracle Recruiting Booster enables hiring managers and recruiters to engage candidates at scale via conversational experiences and two-way messaging; create and manage hiring events with registration flows, pre-screening questionnaires and scheduling capabilities; manage shared interview schedules, sync with calendars to automate interview scheduling, distribute interview guides and collect feedback from the interviewers. This product requires a separate license.
Support of OAuth in Two-Way Communication
We support OAuth login mechanism for Microsoft 365 customers using two-way communication.
With this new addition, you can configure Office 365 as email provider for two-way communication.
Steps to Enable
When you configure a messaging provider, you can select the OAuth authentication type.
- In the Setup and Maintenance work area, go to:

- Functional Area: Recruiting and Candidate Experience Management
- Task: Recruiting Messaging Configuration
- On the Recruiting Messaging Configuration page, click Add in the Email Communications section.
- On the Create Email Messaging Provider page, complete these fields:
- In the Authentication Type field, select OAuth.
- In the Email Provider field, select Office 365.
- Complete the required fields IMAP Server, IMAP Port, Grant Type, and Scope.
- Complete the other fields as needed.
- Click Check Connection to connect the account.
- Click Save and Close.
- Activate the provider.

Oracle Recruiting Cloud provides tools for hiring managers and recruiters to source and nurture candidates, create and manage job requisitions, screen and select candidates, create and manage job offers, and onboard new employees into the organization. It also provides career sites for employees and external candidates to search, discover and apply to jobs using a frictionless application process.
Already Applied Tag for Job Requisitions
Expose the "Already Applied" tag on job search results list and job details pages on external career sites.
Already Applied Tag
The tag will be shown to authenticated candidates for jobs they already applied to. If a candidate applied, but didn't confirm, a different label displays that says Must Confirm.
Similarly, if a candidate has already applied to a job, there is a "You Already Applied" message that displays on an inactive button on the job details page.

If a candidate applied, but didn't confirm, an active button displays that says Confirm Your Job Application.
This feature enhances the candidate experience by reducing the number of clicks. A candidate who wants to apply to multiple positions will see upfront which jobs they already applied to.

You don't need to do anything to enable this feature.
Tips And Considerations
- This feature is visible by default for all sites using the Minimal template. It's not supported for the Modern template.
- If you use custom search pages, you can style the Already Applied tag to match your branding.

Alternate Email for Internal Candidate Communications
When internal candidates without a work email (W1) apply for a job, they can now provide an alternate email address to receive all recruiting notifications and employee communications. Internal candidates can enter an alternate email address per job application. They can enter a different email address if they choose to for subsequent applications. Note that the latest provided email address will be used for all future communications.
Recruiters and hiring managers can see that alternate email address in the Personal Info section of the candidate profile, in the candidate job application, in the prospect record, and in the candidate pool member record.
This feature applies to employees and internal contingent workers who don't have a work email (W1). All the communication is captured in the Messages tab.
With this feature, employees who don't have work emails can receive recruiting communication using the alternate email.
Steps to Enable
You first need to configure the use of an alternate email address by enabling the new profile option ORA_IRC_INTERNAL_CAND_ALT_EMAIL_ENABLED.
- Go to the Setup and Maintenance work area.
- Click the Tasks icon.
- Click Search.
- On the Search page, search for the task Manage Administrator Profile Values.
- Click the task name.
- Search for the profile option code ORA_IRC_INTERNAL_CAND_ALT_EMAIL_ENABLED.
- Set the profile option to Y (default is N).
- Click Save and Close.
You can now configure the use of the alternate email address in the internal application flow.
- Activate a sandbox and page editing at the Site layer in Settings and Actions Menu > Edit Pages > Activate a sandbox.
- On your Home page, go to My Client Groups > HCM Experience Design Studio.
- Click the Transaction Design Studio tab.
- Select the action Recruiting – Apply to Internal Jobs.
- Click Add to create a rule.
- In the Basic Details section, enter a name and a description for the rule.
- In the Show or Hide Regions section, set Alternate Email to Visible.
- Click Save and Close.
Finally, you need to add the Alternate Email token to the Notification Gateway alert to send emails to an alternate email address. This will ensure that the Notification Gateway will use the alternate candidate email when the feature is enabled.
- In the Navigator menu, go to Tools > Alerts Composer.
- Search for the IRC_Candidate_Notifications_Gateway alert.
- Open the alert
- In the Edit menu, select Manage Recipients and Message.
- Click Add Recipient.
- For the communication method, select Mail.
- For the expression, add the token ${AlternateCandidateEmail}.
- Click Apply.
- Save the alert configuration.

Tips And Considerations
Alternate email address for internal candidates is available on the REST API partner services used by partners (e.g. assessments, background checks) so that the candidates can receive the appropriate communication from partner services.
Hot Job Tag for Job Requisitions
Promote particular job requisitions on external career sites by displaying a "Hot Job" tag on search results list and job details page.
New Hot Job Tag
The tag is also visible for job details pages. The tag's visibility and styling can be changed for custom search results pages.
In addition, this tag can be also used as a criterion in the custom job list component.

This feature lets you promote certain jobs with high recruiting demand.
Steps to Enable
The field to make this tag visible must be enabled using Transaction Design Studio.
- Activate a sandbox and page editing at the Site layer in Settings and Actions Menu > Edit Pages > Activate a sandbox.
- On your Home page, go to My Client Groups > Quick Actions > HCM Experience Design Studio.
- Click the Transaction Design Studio tab.
- Select one of these actions: Recruiting - Create Job Requisition or Recruiting - View and Edit Job Requisition.
- Click Add to create a rule to display certain sections and fields.
- In the Basic Details section, enter a name and description for the rule.
- In the Page Attributes section, select Configuration.
New Hot Job Attribute
- For Hot Jobs select Visible from the second drop-down list.
- Click Save and Close.
- Once published, create or edit a requisition and locate the Configuration section.
Configure Requisitions to use the Hot Job Tag
- Click Edit.
- Select Yes for Hot Job.
- Click Save.

Promote Job Requisitions Based on Number of Applications
Promote job requisitions based on the number of submitted job applications. Using this feature you can display "Trending" and "Be The First to Apply" tags for requisitions on search results lists and job details pages.
NOTE: This feature only applies to external career sites that use the Minimal template.
Job Tags in Search Results
Job Tag on the Job Details Page
If the Be the First to Apply tag displays, it means the job requisition has few or no candidate applications. By default, if there are 5 or fewer candidate applications for a job, this tag is shown beneath the job in search results.
If the Trending tag displays, it means the job requisition has a lot of candidate applications. By default, if there are more than 50 candidate applications for a job, this tag is shown beneath the job in search results.
You can change the default setting for each of these tags.

For a tag to display on custom pages, you must have enabled the tag in the custom page settings, and the minimum or maximum number for either tag must be reached.
Redesigned Candidate Self Service
Allow external candidates to easily access and manage their job applications, profile data, and preferences on the redesigned candidate self-service page.
Updated Candidate Experience
Content has been grouped under two tabs to make it easier to find information.
- My Applications contains all of a candidates applications and job application drafts.
- Info and Alerts has an Edit Personal Information button where candidates can quickly access and update their profile information, Talent Community settings, marketing communications preference, and the ability to delete their profiles.
NOTE: No information has been added or removed. It has just been rearranged.
This enhancement improves usability and makes content easier to find.

You don't need to do anything to enable this feature.
Tips And Considerations
This feature is only supported with the Minimal template.
Allow external candidates to use any of the available DFF filter values to narrow down the job search results list on external career sites using the Minimal template.
Search for DFF Filter Values
If there are more than 10 values available for a filter, a keyword search box displays and lets users look for additional values.
NOTE: This functionality was introduced in Update 21C for use with standard filter categories, and now applies to custom DFF filter categories.
This enhancement provides a consistent search experience for candidates so they can easily find jobs to apply to.

You don't need to do anything to enable this feature.
Streamlined Conversion Process for Hiring Existing Contingent Worker as an Employee
You can now move candidates to the HR phase after the termination of a previous employment. You can move a candidate of type employee who is currently a contingent worker, or a contingent worker who is currently an employee.
With this feature, you can seamlessly manage the scenario where a candidate of type contingent worker is converted into an employee, or vice versa, without having to manually enter the employment, salary, and compensation details for the future employee work relationship while processing the future work relationship on the Manage Job Offers page. This scenario occurs when an active contingent worker receives an offer with the Employee worker type.
NOTE: It’s recommended to terminate the current employment of the contingent worker either before moving the candidate to the HR phase or processing the future employee record on the Manage Job Offers page. You can process the record manually using the Add Employee Work Relationship action or the Quick Process Offer action.
In previous release updates, the details entered on the offer while hiring an existing contingent worker as an Employee weren't copied to the Create Work Relationship page. The HR specialist had to manually copy the offer details into the new employee work relationship page. With this enhancement, new employee work relationships are created using the same employment details entered during the offer creation, if the current contingent worker relationship is terminated prior to processing the new employee work relationship manually or automatically. The same behavior will occur if an existing employee is converted into a contingent worker.
If the existing contingent worker work relationship isn’t terminated prior to processing the future employee work relationship, then the work relationship will be created as secondary. The HR specialist will have to terminate the contingent worker work relationship first and later manually change the primary work relationship for the newly created employee by setting the indicator to Yes.
Here are the benefits of this feature:
- Seamless and efficient experience for Recruiting and HR users while hiring an existing contingent worker as a future employee or vice versa.
- Resolve the issue of one day overlap while converting an existing contingent worker into an employee or vice versa via offers hiring process.
- Avoid manually enabling the primary work relationship indicator for the newly created work relationship record.

Candidates and Candidate Job Applications
Enhanced Duplicate Check When Moving Candidates to HR
After a candidate accepts a job offer and is moved to the HR phase, a check can be done to verify if the candidate is a duplicate of any person in the database.
As a recruiter, you can now identify potential duplicates using these additional identifiers:
- Person type
- National identifier
- Date of birth
New Fields in the View Duplicates Page
The person type is displayed for a potential duplicate even if there is no work relationship. For example, Contact, Canceled Hire.
For the Date of Birth Match and National ID Match fields, possible values are:
- Yes: Both the candidate and potential duplicate have the same values.
- No: The candidate and potential duplicate have different values.
- Not Available: The candidate, or the potential duplicate, or both have null values for the national identifier or date of birth respectively. Also, if the candidate or potential duplicate has a national identifier of a different type, the National ID Match field displays Not Available. For example, the candidate has a Social Security Number issued in the United States, and the potential duplicate has a Matrícula Consular de Alta Seguridad issued in Mexico.
Also, administrators can now specify the person types to be included in the duplicate search when you move a candidate to the HR phase.
Here are the benefits of these enhancements:
- Better decision making while reviewing and merging potential duplicate person records by leveraging additional and accurate data attributes.
- Consistent user experience while reviewing the duplicate person records during pre-offer phases or while moving records to the HR phase.
- Additional control in refining the list of potential duplicates as per your preference, by specifying the person types to be included in the duplicate search.
Steps to Enable
You can exclude person types other than Employee, Ex-Employee, Contingent Worker, Ex-Contingent Worker, and Pending Worker from duplicate matching.
- In the Setup and Maintenance work area, go to:
- Offering: Recruiting and Candidate Experience
- Functional Area: Recruiting and Candidate Experience Management
- Task: Enterprise Recruiting and Candidate Experience Information
- Expand the Move to HR section and click Edit.
- In the Include as Potential Duplicates section, select the option Only person types supported in recruiting.
- Click Save.
Potential Duplicate Setting in the Setup and Maintenance Work Area
If you select the option All person types, potential duplicates will include all Contacts and Non-Workers, along with Workers and Ex-Workers. Contacts includes Emergency Contacts, Beneficiaries, and Dependents.

Source Tracking Information for Candidate Selection Process Fast Formulas
As an administrator, you can create candidate selection process fast formulas to be used as conditions on automated actions, taking into account the source tracking information of the job application.
New source tracking database items (DBI) are available to expose source tracking information for job applications and candidates. Source tracking information is stored at the job application and candidate levels. Information for both levels is exposed through the new DBIs. You can use these new DBIs in fast formulas of type "Recruiting Candidate Selection Process".

With this feature, you can define conditions to automatically send a notification to the agent if a job application was referred by an agent, or send it to the candidate directly in other situations.
Steps to Enable
You don't need to do anything to enable this feature.
Enhanced Office 365 Integration Capturing Interviewer Responses
View interviewer responses to Office 365 interview invites when managing interviews. The existing Office 365 integration has been enhanced so that interview organizers no longer have to manage interviewer responses outside of Recruiting. When Office 365 events are sent to interviewers, and the interviewers respond to the invite, meeting organizers can now view the interviewer response (Accept, Tentative, Decline, Propose New Time) in the interview details.
The system sends a notification to the "interview slot owner" or "interview creator" when an interviewer responds to the invite. This is true for all possible responses (Accept, Decline, Tentative, and Propose New Time).
To draw attention to when interviewers have declined or proposed a new time, different colors are used for interviews in the interview schedule's calendar. This helps interview organizers to take appropriate actions.
- Red: At least one interviewer has declined.
- Purple: No interviewer has declined, and at least one has tentatively accepted.
- Green: No interviewer has declined or tentatively accepted, and at least one interviewer accepted.
- Blue: No interviewer has responded, but the interview or interview slot has been scheduled.
- Orange: No interview is scheduled for the interview slot.
When candidates select a date and time for an interview, the interviewer receives a calendar event from Office 365. When the interviewer accepts the interview date and time selected by the candidate, tentatively accepts, declines or proposes a new time, the info is updated in Recruiting and visible in the interview details.
When an interviewer declines or proposes a new time for the interview, a notification is sent to the interview schedule owner and the interview slot creator. The notification includes a link to the job application's Interviews tab, and the user can make the required changes (either cancel the interview, change the interviewer, or reschedule the interview).
With this feature, you can manage interviews more efficiently because interviewer responses to invites are available directly in Recruiting.
Steps to Enable
There is a new scheduled process that needs to be run: Synchronize Interview Details with External Calendars. It's recommended that you set this process to run every 10 minutes.
Tips And Considerations
The response text provided by interviewers when responding to Office 365 invites isn't displayed in Recruiting. Only the actual response (Accepted, Tentative, Declined, Proposed New Time) and the proposed new date and time information (when applicable) is available in the interview details and notifications. The response text is only available in the notifications managed by Office 365 when responding to invites.
Additional Fields in Requisitions List
You can view new fields in the Requisitions list and in the Key Highlights section of the requisition overview. By default, the fields are hidden. Your administrator can make them visible using Page Composer. Also, if no value is available in the requisition, the field isn't displayed.
New fields in the Requisitions list:
- Requisition Number: You can now display the requisition number on a separate line.
- Locations: The Primary Location of the requisition was already displayed, but the count of Other Locations was added next to it. This count is automatically displayed; no change is required in Page Composer.
- Work Locations: The Primary work location followed by the count of other work locations.
NOTE: The above new fields are available in addition to the existing fields which can be made visible with Page Composer.
New Fields in the Requisitions List
New field in the Key Highlights section:
- Locations: The Primary Location of the requisition was already displayed, but the count of Other Locations was added next to it. This count is automatically displayed; no change is required in Page Composer.

New Fields in the Key Highlight Section

Candidate Instructions in Questions
As an administrator, you can now add instructions to prescreening questions to provide guidance to external candidates when they answer questions. You can also provide links to supporting information. Instructions in questions are now available for both internal and external candidates.
- In the Setup and Maintenance work area, go to:

- Functional Area: Candidate Job Applications
- Task: Question Library
- In the Questions page, select Recruiting in the Subscriber field.
- Click Create to create a new question or open an existing question.
- You can enter instructions in the Instructions field. You can use rich text features to format the text. You can also use URL links.
Instructions in a Question
With this enhancement, you can now provide clear instructions to both internal and external candidates and links to navigate to supporting information. This helps candidates when answering prescreening questions.

Enhancements to Redraft Offers
The Redraft Offer functionality allows you to adjust job offers after the job offer is approved by the approver or accepted by the candidate.
In prior releases, to redraft a job offer, you needed to put the job application into an inactive state (Rejected by Employer or Withdrawn by Candidate) when the job application reached the Offer Extended state or beyond. Rejecting or withdrawing the job application to redraft the offer used to trigger the rejection alert to the candidate, which could be an unpleasant experience for the candidate.
You can now redraft job offers when the job application is in the following phases and states without rejecting or withdrawing the candidate job application:
- Offer – Extended
- Offer – Accepted
- Post Offer (Custom Phase)
- HR – Pending Automated Processing
- HR – Pending Manual Processing
- HR – Error During Processing
The Redraft Count column is also made available to capture the number of times a job offer is being redrafted. This new attribute is exposed in Approval Rules which will help you to configure the leaner approval rule or bypass approval for redraft scenarios.
Note that for job applications in the HR phase and Processing in Progress state (Pending Worker record was created), you need to access the Manage Job Offers page and follow below process:
- Cancel the Pending Worker relationship.
- Run the Complete the Recruiting Process scheduled process.
- The job application will move to the Withdrawn by Candidate state and the Redraft Offer link will be enabled.
- Click the Redraft Offer link to bring the job application in the Offer - Draft status.
With these enhancements:
- Recruiting users will save a lot of time when adjusting job offers using the one-click Redraft Offer action. Also, users will have a consistent user experience when redrafting job offers when the job application is in the Job Offer and later (custom) phases.
- The offer approval process will be faster and accurate thanks to the new redraft count attribute. Recruiting administrators can either configure a leaner approval workflow or simply bypass the offer approval based on the number of redraft count.
- The job application progress tab won't include an inactive state because of the offer being redrafted.
- Candidates will have a consistent experience when a redrafted job offer is extended. No rejection alerts will be triggered to the candidate. The experience will be consistent with the offer acknowledgement by presenting the Accept and Decline buttons.

Manage Gigs with Multiple Openings in Opportunity Marketplace
Use Opportunity Marketplace to assign a single gig to multiple people who will work on the same kind of tasks. With this feature gig creators can:
- Create and publish gig with multiple openings.

- Review a list of applicants, and assign a gig to more than one applicant depending on the number of openings for the gig.
- View the list of assignees for a gig, and release or reassign them if needed.

Gig seekers are able to apply to gigs as long as the number of available openings is not yet filled.
On the Opportunity Marketplace dashboard you will now see the following:
- Recommended: Opportunity Marketplace recommends jobs for users that match their candidate preferences, such as job type, location, recently applied for jobs, and recently favorite jobs. The recommendations display on the top of the list.
- Trending: The most favorite job (favorite by more than 5 users) within the last few days are presented as trending.
- Favorites: Jobs the user has shortlisted by bookmarking them. Users can remove jobs from favorites at any time.
Instead of creating duplicate gigs for the same type of tasks, users can make use of the single gig functionality and select multiple assignees.

Update Posting Locations of Requisitions Using HCM Data Loader
Using HDL, it must be possible to modify the primary and the other locations of job requisitions which can no longer be redrafted because they have job applications, prospects, or linked requisitions. For example, you may want to modify posting locations to reach out to candidates in more locations, or maybe you forgot to include a location or included an incorrect one.
NOTE: Changing the posting locations of a job requisition won’t update other requisition values that are contextualized such as the candidate selection process or prescreening questions. These values may not be aligned with the new posting locations.
This feature provides an alternative option to update the posting locations for one more requisitions, without having to do it individually from the user interface.

Tips And Considerations
All operations that consider the locations of a job requisition will immediately consider the latest posting locations of the requisition. For example, the requisition will be posted or unposted from contextualized career sites based on the latest posting locations.
Changing the locations of a posted job requisition may cause a temporary mismatch of information until the Maintain Candidates and Job Requisitions for Search scheduled process is run to update the search index. Everything relying on the index will be outdated until the process is run. For example, a candidate looking at jobs on a career site might notice a mismatch between the locations displayed in the job details of a job and the location facets for which this job is returned.
Extract Large Objects from Recruitment Content Library Using HCM Extracts
Extract character large object (CLOB) data from large objects such as Recruitment Content Library using Large Object Extract definition type provided by HCM Extracts. The following user entity is now supported as part of the Large Object Extraction definition type: Recruitment Content Library – Large Object (IRC_CONTENT_LIBRARY_LRG_OBJ_UE).
NOTE: These user entities have only CLOB data, and can't be combined with other user entities in the same extract definition.
Using this feature, you can now easily extract CLOB data from large objects.

Extract Move Comments Using HCM Extracts
Extract Submission Move Comments from job applications using Job Applications Extract. A new IRC_EXTRACTS_SUBMISSION_MOVE_COMMENT field has been added to the User Entity IRC_EXTRACTS_SUBMISSION_DETAILS_UE.
Using this feature, you can now easily extract Move Comments.

Oracle Recruiting Booster enables hiring managers and recruiters to engage candidates at scale via conversational experiences and two-way messaging; create and manage hiring events with registration flows, pre-screening questionnaires and scheduling capabilities; manage shared interview schedules, sync with calendars to automate interview scheduling, distribute interview guides and collect feedback from the interviewers. This product requires a separate license.
Candidates Schedule Based on Interviewers Availability
As a recruiter, when you create a candidate-managed interview schedule, you can select a new setting called Candidates schedule based on interviewers’ availability if you want to use the interviewer’s Office 365 Calendar availability.
When you select this setting, you need provide additional info to complete the configuration:
- Set the meeting duration.
- Select interviewers. You can select specific people, or Hiring Team members such as the hiring manager, recruiter, collaborator types.
- Set the interview visibility.
The option Candidate can see future interviews is automatically selected when you select the Candidates schedule based on interviewers’ availability setting.
New Setting for Interviewers' Availability
When you select the Candidates schedule based on interviewers’ availability setting, you can't add interview slots to the interview schedule. The application will only propose slots according to the interviewers' availability. However, you can still schedule ad-hoc interviews on such schedules.
To determine available interview slots, the work hours of the interviewers are considered and only slots during these work hours are proposed. If an interviewer doesn't have an Office 365 Calendar account (where we consider the interviewer as always being available and we don't know the work hours for this interviewer), only slots between 6 AM and 9 PM will be proposed. For interviewers with an Office 365 Calendar account, there is no time restriction, only the work hours of the interviewer will be considered.
For the interviewers' availability to be determined correctly, the time zone of the interviewers in HCM must be configured appropriately (in the user's general preferences). Otherwise, the working hours configuration in Outlook won't be interpreted correctly by Oracle Recruiting.
The existing reminders functionality that you can configure on candidate-managed interview schedules will work when you select the Candidates schedule based on interviewers’ setting. Reminders can be sent to the interview schedule owner if there is no or limited slots to be proposed to candidates for the interviewers selected on the schedule.
Candidate Experience
When external or internal candidates are responding to an interview invite to self-schedule an interview, if the interview schedule is configured to use Office 365 Calendar availability, the list of proposed time slots are based on the interviewer’s availability in their Office 365 Calendar. The list of available time slots are calculated dynamically based on:
- The interviewer’s calendar status. A time slot is proposed only when all interviewers are free. An interviewer is considered to be free if one of the following criteria is met:
- There is no calendar event during the time slot's duration (start time + meeting duration).
- There is a calendar event during the time slot's duration (start time + meeting duration), but the status of the calendar event is set to Free.
- Interviewers are considered as being always available if they don’t have an Office 365 Calendar account.
- The interviewer's work hours and work week configuration in Outlook. A time slot is proposed only if it fits within the work hours and work week of all interviewers.
If no time slots are available to be proposed to a candidate, a message is displayed inviting the candidate to contact the recruiter.
When a candidate self-schedules an interview, the meeting organizer in the Office 365 Calendar event will be the interview schedule owner.
With this feature, the interview scheduling process is streamlined. Interview coordinators can leverage the interviewers’ availability information in their Office 365 Calendar instead of having to find times when interviewers are available.
Steps to Enable
To make this feature available to recruiters, you need to opt-in to Recruiting Booster.
You need these privileges to opt-in:
- Review Application Offering
- Configure Oracle Fusion Applications Offering
- In the Setup and Maintenance work area, select the Recruiting and Candidate Experience offering.
- Click Change Feature Opt In.
- On the Opt In: Recruiting and Candidate Experience page, enable Recruiting Booster.
New Tokens for Alerts Composer Notifications
A new token InterviewSlotsMode is available for these Alerts Composer notifications.
- IRC_Intrv_Schedule_Low_Openings
- IRC_Intrv_Schedule_No_Openings
- IRC_Shared_Intrv_Schedule_Low_Openings

Possible values are:

With this token, you can use groovy expressions in the notifications to provide additional or different content depending if the schedule is using Office 365 Calendar availability or not.
NOTE: The InterviewSlotsMode token isn't available in the Recruiting Content Library.
Tips And Considerations
When you export and import interview schedule templates in the Setup and Maintenance work area, users selected as interviewers on the schedule templates won't be included during the export and import process. Hiring team member types selected as interviewers on the schedule template will be exported and imported. However, if specific named users are selected as interviewers, these won't be exported or imported.
Recruiters and the hiring team can have conversations with candidates using Two-Way Communication using email, SMS, or both.
A new Messages tab is available in candidate job applications, prospect records, candidate profiles, candidates in candidate pools. The tab contains two sections:
- Emails
- Text Messages

You can create an email or text message to start a conversation with a candidate about their job applications, interviews, job offers, or have any casual conversation with them. You can reply to an existing message to all message participants. You can also initiate a conversation or reply to a conversation from Oracle Cloud Recruiting or you own email application (such as Microsoft Outlook, Gmail, Mozilla Thunderbird).
All messages across system such as job application confirmation, invitation to apply, interviews, job offers, are tracked as part of the Two-Way Communications.
With this feature, candidates have full visibility into what’s happening throughout the process and can get answers to their questions.
Steps to Enable
Here are the steps to enable Two-Way Messaging:
- Create the profile option for Two-Way Communication.
- Enable the Vanity Email feature.
- Create a messaging provider.
- Enable two-way communications.
- Configure the profile option to read messages from a given start date.
- Run the scheduled process for inbound messages.
Step 1: Create the Profile Option for Two-Way Communication
You need to create and enable the profile option IRC_TWO_WAY_COMM_ENABLED so that the Two-Way Messaging feature becomes available in the Recruiting and Candidate Experience offering.
- Go to the Setup and Maintenance work area.
- Click the Search icon.
- On the Search page, search for the task Manage Administrator Profile Values.
- Click the task.
- On the Manage Administrator Profile Values page, search for the profile option code IRC_TWO_WAY_COMM_ENABLED.
- Set the profile value at the Site level to Y.
- Click Save and Close.
Step 2: Enable the Vanity Email Feature
Refer to topic Enable Vanity Email in the Implementing Recruiting guide, available on Oracle Help Center.
Step 3: Create a Messaging Provider
- In the Setup and Maintenance work area, go to:
- Offering: Recruiting and Candidate Experience
- Functional Area: Recruiting and Candidate Experience Management
- Task: Recruiting Messaging Configuration
- On the Recruiting Messaging Configuration page, click Add.
- Enter a name and description.
- Select a provider.
- Based on the provider you selected, enter info under Request Details, Authentication, Headers, and Body.
- Click Test Outbound Message to send a test message and make sure that the configuration is properly done.
- Click Save and Close.
Step 4: Enable Two-Way Communications
- On the Recruiting Messaging Configuration page, select the option Enable Two-Way Email Communications.
- Open the new provider you created, and select the option Enable Two-Way SMS Communications.
- Click Save and Close.
Step 5: Configure the Profile Option to Read Messages from a Given Start Date
You need to configure the profile option ORA_IRC_2_WAY_SMS_LAST_SYNC_TIME to read SMS messages from a given start date. It represents the last time SMS messages are read from the provider. The profile option is automatically populated when you configure the Two-Way SMS Communication for the first time. If the profile value is empty, you need to update the value manually.
- Go to the Setup and Maintenance work area.
- Click the Search icon.
- On the Search page, search for the task Manage Administrator Profile Values.
- Click the task.
- On the Manage Administrator Profile Values page, search for the profile option code ORA_IRC_2_WAY_SMS_LAST_SYNC_TIME.
- Set the profile value using the UTC time in standard ISO 8601 format: YYYY-MM-DD HH:MM:SS.
- Click Save and Close.
Step 6: Run the Scheduled Process for Inbound Messages
You need to run the scheduled process Process Recruiting Inbound Messages every 15 minutes to see candidate responses.
Important Info
Two-Way Communication for SMS currently works with Twilio and Syniverse providers only. Make sure that the proper provider setup is done before you enable the Two-Way Communication.
Vanity Email is a pre-requisite for enabling Two-Way Communication. Along with Vanity Email, you must also setup the No Reply Email, which will be used to send Job Alerts, Campaign Emails and Candidate Verification Emails (with PIN).
The Hiring team can converse with a candidate when the candidate has the email as a preferred way of communication and Two-Way Communication is enabled.
When you select the option Enable Two-Way SMS Communications, you can use the Test Inbound Message or Test Outbound Message features to make sure that the configuration works.
We use a dedicated vanity email box to route all the messages from and to candidates. This email box will increase in size over time. If you want to deleted emails after they're read, use the Delete read email messages option in the Email Messaging Provider setting.
Two-Way Communications can be enabled only for external candidates. Internal Candidates won't have a Compose or a Reply functionality. However, all the emails will be tracked in the Messages tab.
Tips And Considerations
Things to Consider About Emails
- Recruiters with appropriate privileges can view candidate communications and reply to them even when they're not part of the original conversation. The new and existing participants will receive emails going forward.
- Two-Way Communications can be enabled only for external candidates. Internal Candidates won't have a Compose or a Reply functionality. However, all the emails are tracked in the Messages tab.
- All the system sent emails and SMS messages are moved from the Interactions tab to the Messages tab as part of the release upgrade process. The interactions of type Sent-Email and Sent-SMS will no longer be seeded. You can continue to create custom interaction types as needed.
- If there is no Subject for previous interactions, first 30 characters of the interaction text will be used as the message Subject.
- If there is no Email body for previous interactions, the message body will just have the interaction text.
- Old email interactions from previous releases will be moved to the Messages tab. However, you won't be able to reply to these messages.
- Candidates can initiate an email conversation as long as they know the company’s vanity email address or phone number.
- If the candidate is available in Oracle Recruiting, that communication is saved as part of the candidate's profile. The Hiring team can later reply to that candidate communication from Oracle Recruiting. Note that this communication can’t be attached to any job application as there is no context to that communication initiated by the candidate.
- If the incoming email isn't associated to any candidate, then the message is simply discarded.
- The Two-Way Communication is designed to facilitate the 1-1 conversations between hiring team and candidate. Thus, bulk actions to send communication to multiple candidates isn't supported.
- When composing an email using Oracle Recruiting, the list of emails in the To field is automatically filled by the system. You can’t change or add participants.
- When composing an email using your favorite email client, you add (To or Cc) your colleagues who need to be part of this conversation. Once added, all the new colleagues will be added as the conversation participants.
- Conversation threads are ordered by the latest reply and within the threads the messages are ordered by the latest date. Reply functionality is available per thread.
- You can converse with a candidate when the candidate has the email as a preferred way of communication and Two-Way Communication is enabled.
- When a prospect is converted to a job application, we will copy the messaging headers and will link to the latest (job application) interaction once there is a reply on any of the emails on the thread by recruiter or candidate.
- Images aren't supported when you compose an email.
- Any attachments sent by the candidate in the email are ignored and discarded.
- All the URLs will be shown as text within the message preview. You can copy the URL text and navigate to it in a separate browser window. The URL hyperlink, however, will be shown on the Reply message text.
- All emails with below categories in the content library will be treated by default as no-reply email. The no-reply email configured in the Setup and Maintenance work area will be used.

Things to Consider About Text Messages
- Job requisition security can’t be applied to Text Messages. As a result, any user having access to a candidate profile can view text messages sent to the candidate or received from the candidate.
- Text messages aren't attached to job applications.
- You can have a conversation with a candidate using text messages only when the candidate has the phone number as a preferred communication channel and SMS messages are enabled.
- The incoming text messages will be read right from the time when the Two-Way Communication is enabled.
As an interview coordinator, you can create shared interview schedules which can be used on multiple job requisitions to prevent having to create similar interview schedules for each requisition. A new quick action is available under My Team and My Client Groups work areas: Manage Shared Interview Schedules.

On the Manage Shared Interview Schedules page, you can view a list of shared interview schedules. By default, the list is filtered to show active and published schedules. It's also sorted by last modified date, from the most recent to the oldest. You can quickly view if the schedule is used or not in requisitions.

When you click on a shared schedule, you can view the details of the schedule such as interview slots, associated requisitions, schedule type, location details, settings.
From the Manage Shared Interview Schedules page, you can create a shared interview schedule. You can create a shared schedule using a template or create it from scratch using a blank form. When you’re done creating the shared schedule, it’s automatically published.

Descriptions Always Included in Job Requisition Templates
You can create reports by including the job description from the job requisition template regardless of the description is local or coming from the library.
The text description of the requisition template can be reported directly even when there is a description ID associated with the template. In previous release updates, only the local descriptions were reportable directly when the description was coming from the library.
With this feature, the process to create reports on job requisition template internal and external descriptions is more efficient. You no longer need a joint with the description library to retrieve the content, this is done automatically behind the scenes.

You can include responsibilities and qualifications in job requisition and job requisition template reports. You include these fields the same way you do for descriptions and short descriptions.

Tips And Considerations
Contract fields are no longer available in the Assignment folder, but they’re still working. You don’t need to change your existing reports.
It's recommended to select the new location of the field for existing reports.
You can create reports using the new candidate labels. A new Candidate – Labels folder is available under the Candidate Dimension, where you can get the Label Identifier and Label Name.
With this feature, you have more insight from your candidate pool by including candidate labels into your reports.

REPLACED OR REMOVED FEATURES
From time to time, Oracle replaces existing Cloud service features with new features or removes existing features. When a feature is replaced the older version may be removed immediately or at a future time. As a best practice, you should use the newer version of a replaced feature as soon as the newer version is available.

RECRUITING PAGES IN TRANSACTION DESIGN STUDIO
Rename actions in Transaction Design Studio to personalize Recruiting pages. The prefix Recruiting was added to recruiting actions to easily identify and select the pages.

KNOWN ISSUES / MAINTENANCE PACK SPREADSHEETS
Oracle publishes a Known Issues document for every Update to make customers are aware of potential problems they could run into and the document provides workarounds if they are available.
Oracle also publishes Maintenance Pack and Statutory Maintenance Pack documentation of bugs that are fixed in the monthly or statutory patching.

The following is a list of Controlled Availability features that are being offered by our Controlled Availability Program.
NOTE: These features are not generally available for all customers at this time. These are only available through the Controlled Availability Program and will require approval to become a part of the features program. To be a part of these programs you will be required to participate in testing and providing feedback. Some programs may require other participation as well.
