Feature Summary

Column Definitions:

Report = New or modified, Oracle-delivered, ready to run reports.

UI or Process-Based: Small Scale = These UI or process-based features are typically comprised of minor field, validation, or program changes. Therefore, the potential impact to users is minimal.

UI or Process-Based: Larger Scale* = These UI or process-based features have more complex designs. Therefore, the potential impact to users is higher.

Features Delivered Disabled = Action is needed BEFORE these features can be used by END USERS. These features are delivered disabled and you choose if and when to enable them. For example, a) new or expanded BI subject areas need to first be incorporated into reports, b) Integration is required to utilize new web services, or c) features must be assigned to user roles before they can be accessed.

Ready for Use by End Users
(Feature Delivered Enabled)

Reports plus Small Scale UI or Process-Based new features will have minimal user impact after an update. Therefore, customer acceptance testing should focus on the Larger Scale UI or Process-Based* new features.

Customer Must Take Action before Use by End Users
(Feature Delivered Disabled)

Not disruptive as action is required to make these features ready to use. As you selectively choose to leverage, you set your test and roll out timing.

IMPORTANT Actions and Considerations for Time and Labor

Time and Labor

Time and Labor

Oracle Time and Labor is a comprehensive, easy to use, rule-based time recording and management application. The calendar-based time entry interface and fully configurable time card layout easily address simple and complex time recording needs. Rule templates and the real-time rules engine provide an extensible and robust method to validate time entries and automatically apply pay rules, such as overtime calculations. Time and Labor now integrates completely with the following Oracle Cloud Human Capital Management applications: Global Human Resources, Absence Management, Global Payroll, and Project Costing. This integration insures accurate and consistent data for payroll processing and costing as well as project management billing.

Generate Time Cards Enhancement

Time and labor managers can now schedule Generate Time Card processes. When a process runs, the search criteria determines who to create time cards for, without any limitation on the number of people included. Each process generates the time cards for one of these time card periods:

  • The period intersecting the specified date
  • The current period
  • The next period

Current and next periods are determined from the system date when a process runs. You can schedule recurring Generate Time Card processes for with either of these parameters.

Generate Time Cards Page with New Parameters

This enhancement makes it easier for time and labor managers to generate the appropriate time cards for the people they support.

Steps to Enable

You don't need to do anything to enable this feature.

Tips And Considerations

To prevent people from scheduling recurring processes and to show the older Generate Time Card process parameters, you need to disable ORA_HXT_GEN_TC_OFFLINE_SEARCH_ENABLED profile option.

  1. In the Setup and Maintenance work area, on the Tasks panel tab, click Search.
  2. On the Search page, search for and click the Manage Administrator Profile Values task.
  3. On the Manage Administrator Profile Values page, in the Profile Option Code field, enter ORA_HXT_GEN_TC_OFFLINE_SEARCH_ENABLED.
  4. In the Site row, Profile Value field, select No. By default, Profile Value is Yes, indicating that the option is enabled.

Project Costing Validation of Time Card Entries Enhancement

You can now validate only new or changed time card entries for Project Costing when you resubmit time cards. Previously, all Project Costing entries were validated, regardless of whether they had changed.

This enhancement lets you more easily edit time card entries for open projects and revalidate time cards containing both open and closed Project Costing entries.

Steps to Enable

Enable the ORA_HWM_PJC_VALIDATE_ONLY_UPDATED_ENTRIES (HWM Project Validation - Validate Only Updated Entries) profile option.

  1. In the Setup and Maintenance work area, on the Tasks panel tab, click Search.
  2. On the Search page, search for and click the Manage Administrator Profile Values task.
  3. On the Manage Administrator Profile Values page, in the Profile Option Code field, enter ORA_HWM_PJC_VALIDATE_ONLY_UPDATED_ENTRIES.
  4. In the Site row, Profile Value field, select Yes. Then when people resubmit time cards with revised project costing entries, validation runs on only the entries that changed since the last time the time cards were submitted. By default, the Profile Value is No, and all project costing entries are validated when the time cards are resubmitted, even the entries that weren't changed.

  1. For any time consumer sets that include Project Costing and validate on only Submit, create a replacement set that validates on Submit and Save. You want the people working on time cards to know immediately if they're saving time entries to closed projects. Waiting to check until they submit their time cards puts the time cards into an error state that only project administrators can fix. And to fix it, they have to open the project so the time card validation can complete and then close the project again. It's easier to just validate from the first time people save their time cards.

  1. Update the relevant worker time processing profiles to use the time consumer sets that validates on Submit and Save. Update the relevant worker time processing profiles to use the time consumer sets that validates on Submit and Save.

Tips And Considerations

When someone deletes a time card entry for a closed project and resubmits the time card for approval, the deleted entry isn't validated against Project Costing rules. And the same lack of validation happens if someone replaces a closed project with an open project, for an existing entry.

Responsive Time Card Approval Enhancement

In your role as a manager, you can now view and approve responsive time cards for your direct reports and the next level of your subordinates using the My Team > Show More > Team Time Cards quick action. Managers who get the approval notification can use this same action to view the time card requiring approval.

Level 1 Managers

Adjust the filters to see time cards where you're the assigned approver and for your direct reports.

Example of filters on the Team Time Cards page for level 1 managers

You can select more than one time card and approve them instead of opening and approving each time card.  Or you can open a time card to see more detailed information and then approve or reject the time card.

Level 2 Managers

If you manage people who have their own direct reports, you can view your subordinates' time cards that're pending approval in your approval hierarchy. Do this by clearing the filters that show you your organizations' time cards, even the time cards not pending your approval.

Example of filters on the Team Time Cards page of level 2 managers

To approve second-level subordinates' time cards in your approval hierarchy, you need to open each time card to approve or reject it.

Example Open Time Card Showing the Approve Button and the Actions Menu, which Has the Reject Option

This enhancement lets you efficiently move time cards through the approval process and not delay approval when approvers are unavailable.

Steps to Enable

You don't need to do anything to enable this feature.

Data Security Policy for Time Card Management

You can now apply a data security policy dedicated to Time and Labor for time card management. For example, you have someone who is both a time and labor manager and HR manager. For one group of people, the person manages time cards. For another group, the person only provides HR management. The new time data security policy limits that person's time card access to only the group that the person manages time cards for. The person can't see the time cards for the group they only provide with HR management.

The new data security policy for time card management applies to these pages of the Time Management work area:

  • Overview
  • Team Time Cards
  • Generate Time Cards
  • View Time Cards - applies also for the quick action
  • Time Entries
  • Generate Time Entries
  • Time Events
  • Generate Time Events
  • Resolve All Exceptions by Worker
  • Resolve Badge Exceptions
  • Allocation Assignments
  • Resolve Time for Transfer
  • Troubleshooting page for worker time entry profiles
  • Troubleshooting page for worker time processing profiles
  • Troubleshooting page for worker time device processing profiles

It also applies to the Mass Submit and Approve Time Cards scheduled process.

If you don't define a time data security policy and enable the related policy option, time and labor managers won't see or be able to search for anyone. No related time events, entries and cards appear on the time pages.

The new policy also affects the how the Person Name field behaves when people create time cards using the classic layout. When you don't enable the policy and someone starts typing in the Person Name field, they see the names of people who match the typed text. They also see the person number, the assignment number, and the assignment status.

Create Time Card Dialog Box with Text Entered in the Person Name field and the Matching Result Available in the Choice List

Instead of typing, the person creating the time card can click the field and then the Search link.

Create Time Card Dialog Box with the Person Name Choice List Showing

They can use the Search and Select dialog box that opens to do a basic search by person name or number. Or they can use the advanced search to find someone by assignment name, number, status, job, location, department, email, phone, or a combination of fields.

Search and Select Dialog Box Showing the Basic Search Criteria

When you enable the new time and labor data security policy and someone starts typing in the Person Name field, the choice list shows results in clearly-labeled columns. People can search by person name, person number, business title, or work email. The option to open the Search and Select dialog box and find someone using basic or advanced criteria is no longer available.

Create Time Card Dialog Box with Text Entered in the Person Name field and the Matching Result Available in the Common HR REST Choice List

This enhancement limits the time cards that people with multiple roles, including the Time and Labor Manager role, can see. It also improves performance when searching for and selecting a person to create a classic time card for.

Steps to Enable

  1. Enable the ORA_HXT_TM_DSP profile option.
    1. In the Setup and Maintenance work area, on the Tasks panel tab, click Search.
    2. On the Search page, search for and click the Manage Administrator Profile Values task.
    3. On the Manage Administrator Profile Values page, in the Profile Option Code field, enter ORA_HXT_TM_DSP.
    4. In the Site row, Profile Value field, select Yes. By default, Profile Value is No, indicating that the option is disabled.

  1. Make sure you have defined the correct security and data roles to access time cards.

Tips And Considerations

Time and Labor supports person-level security, but not assignment-level security. This means that if you can see one of a person’s assignments, you can see the person and thus you can see all of the person’s assignments. So if the person has multiple assignments and one of them matches the data security policy criteria, then that person appears as a result in the Person Name choice list.

REPLACED OR REMOVED FEATURES

From time to time, Oracle replaces existing Cloud service features with new features or removes existing features. When a feature is replaced the older version may be removed immediately or at a future time. As a best practice, you should use the newer version of a replaced feature as soon as the newer version is available.
