Custom Fleet is part of Element Fleet Management (Element), a leading global player in the fleet management business. Custom Fleet specializes in leasing, fleet management, commercial vehicles, and novated leasing. With Element’s strategic alliances across 40 countries, Custom Fleet aims to provide complete fleet services to customers via innovative technologies and customer focused service.
After Element acquired Custom Fleet in 2015, Custom Fleet needed to move off GE Capital’s legacy systems within a 12-month transitional period. The company also wanted to adopt a single, forward-looking solution for finance and HR functions to improve operating efficiency and gain real-time insight into business performance and workforce capability. 

Custom Fleet Streamlines HR and Planning Processes with Oracle

Business Challenge
  • Ensure a smooth transition from GE Capital’s legacy systems to a cloud platform and meet the tight timeline for the transitional service agreement by deploying a single solution for finance, planning, and HR instead of using multiple solutions  
  • Gain capability to forecast multiple revenue streams, such as leasing, tires, and maintenance, for approximately 100,000 fleet contracts, and provide greater insight for executives to make more informed business decisions
  • Enable finance staff to quickly produce ad-hoc reports, such as balance sheets for leasing packages, and reduce planning cycle time, by automatically collating and reconciling data from a large volume of spreadsheets 
  • Increase HR data visibility and support better talent management by providing an integrated platform to track performance reviews, goal management, workforce compensation, talent reviews, and succession planning
  • Processed month-end closing 50% faster—just 2 days rather than 4 days—by automating tasks with Oracle Enterprise Resource Planning (ERP) Cloud and providing real-time financial reporting capability

  • Ensured data integrity and enhanced user experience by embedding compensation guidelines and approval hierarchy for managers to easily and quickly update their recommendations and track budget spent via Oracle HCM Cloud 
  • Facilitated more regular discussion between managers and employees and improved employee engagement by adopting Oracle HCM Cloud to provide performance review feedback, track completion rate, and align individual goals with company strategic initiatives

Custom Fleet completed the migration of GE Capital’s legacy platform to Oracle ERP Cloud, Oracle EPM Cloud, and Oracle HCM Cloud in 5 months. Custom Fleet then took a more staggered approach to adopt goal management, performance management, talent review and succession planning, workforce compensation along with Oracle Account Reconciliation Cloud Service and the more complex models of Oracle Planning and Budgeting Cloud Service 2 months later. It successfully completed the entire project within 13 months.

Custom Fleet engaged Oracle Partner, PwC, to determine business needs and implement the system based on Oracle ERP Cloud, EPM Cloud, and HCM Cloud. PwC’s project team provided onshore and offshore resources to assist with the end-to-end implementation including project management, user interface design, integration, reporting, configuration, testing, and user training. It was the first Oracle customer in Australia adopted the three pillars of Oracle Cloud solutions. 
“We had a very good PwC project manager to manage the implementation. They really understood our needs and how we wanted to use Oracle Cloud products, enabling us to unlock more capability and use the system to its full potential,” Pavlidis said.
