By integrating financial processes with Oracle Enterprise Resource Planning and Enterprise Performance Management Cloud, we gained live data for approximately 100,000 fleet contracts, closed month-end reporting 50% faster, and cut our planning cycle time. Oracle Human Capital Management Cloud also slashed HR’s workload from 50% to 30% and enhanced the executive team’s experience.

Custom Fleet Halves Month-End Closing Time, Reduces Planning Cycle, and Cuts HR Administrative Workload from 50% to 30% with Oracle

Custom Fleet is part of Element Fleet Management (Element), a leading global player in the fleet management business. Custom Fleet specializes in leasing, fleet management, commercial vehicles, and novated leasing. With Element’s strategic alliances across 40 countries, Custom Fleet aims to provide complete fleet services to customers via innovative technologies and customer focused service.

After Element acquired Custom Fleet in 2015, Custom Fleet needed to move off GE Capital’s legacy systems within a 12-month transitional period. The company also wanted to adopt a single, forward-looking solution for finance and HR functions to improve operating efficiency and gain real-time insight into business performance and workforce capability.

Custom Fleet Streamlines HR and Planning Processes with Oracle

Challenges
  • Ensure a smooth transition from GE Capital’s legacy systems to a cloud platform and meet the tight timeline for the transitional service agreement by deploying a single solution for finance, planning, and HR instead of using multiple solutions
  • Gain capability to forecast multiple revenue streams, such as leasing, tires, and maintenance, for approximately 100,000 fleet contracts, and provide greater insight for executives to make more informed business decisions
  • Enable finance staff to quickly produce ad-hoc reports, such as balance sheets for leasing packages, and reduce planning cycle time, by automatically collating and reconciling data from a large volume of spreadsheets
  • Increase HR data visibility and support better talent management by providing an integrated platform to track performance reviews, goal management, workforce compensation, talent reviews, and succession planning
Results
  • Processed month-end closing 50% faster—just 2 days rather than 4 days—by automating tasks with Oracle Enterprise Resource Planning (ERP) Cloud and providing real-time financial reporting capability
  • Generated reports in just one day compared to one week with GE’s legacy platform by using Oracle Planning and Budgeting Cloud Service’s powerful engine to automatically aggregate and calculate complex revenue data for approximately 100,000 fleet contracts without manually collating 10 spreadsheets
  • Enabled the business to proactively identify and take immediate action to rectify issues, such as fleet management charges, by gaining access to live financial data with Oracle Enterprise Resource Planning (ERP) Cloud rather than waiting until month end or quarter end reports
  • Reduced administrative workload for HR staff members from 50% to 30% by using Oracle Human Capital Management (HCM) Cloud to provide a self-service capability for managers and employees
  • Moved all the systems out of GE before the transitional service timeline and completed the implementation in five months by deploying a single cloud solution for finance, planning, and HR functions with Oracle
  • Supported better decisions by leveraging Oracle Planning and Budgeting Cloud Service to assess the impact of assumptions and business performance in multiple dimensions, such as by fleet services or by contract
  • Ensured forecast reliability and cut planning cycle time by integrating data directly from BYNX—an internal customer information system—into Oracle Planning and Budgeting Cloud Service without manual intervention
  • Gained a complete view of the talent pool and made it easier for executive teams to provide input for talent review and succession planning by using a highly interactive and visual dashboard to identify the at-risk talent, or potential leaders rather than communicating via spreadsheets and presentations
  • Ensured data integrity and enhanced user experience by embedding compensation guidelines and approval hierarchy for managers to easily and quickly update their recommendations and track budget spent via Oracle HCM Cloud
  • Facilitated more regular discussion between managers and employees and improved employee engagement by adopting Oracle HCM Cloud to provide performance review feedback, track completion rate, and align individual goals with company strategic initiatives

Oracle offered a broader range of products than other vendors and the price point was also more competitive. The solutions also ensured rapid and seamless migration of our finance and HR systems to a single platform, enabling us to meet the tight transitional timeline and improve efficiency.

Execution

Custom Fleet completed the migration of GE Capital’s legacy platform to Oracle ERP Cloud, Oracle EPM Cloud, and Oracle HCM Cloud in 5 months. Custom Fleet then took a more staggered approach to adopt goal management, performance management, talent review and succession planning, workforce compensation along with Oracle Account Reconciliation Cloud Service and the more complex models of Oracle Planning and Budgeting Cloud Service 2 months later. It successfully completed the entire project within 13 months.

“Our buying experience with Oracle was very positive. The sales team did a great job in their presentation and gave us confidence that they understood what we wanted to achieve,” said Deanne Pavlidis, HR Leader, Custom Fleet. “Moving to cloud is simple, easy, and provides consistency.”

It was the first Oracle customer in Australia adopted the three pillars of Oracle Cloud solutions.

“We had a very good PwC project manager to manage the implementation. They really understood our needs and how we wanted to use Oracle Cloud products, enabling us to unlock more capability and use the system to its full potential,” Pavlidis said.
