
Terms and Conditions for Oracle Defence Tech Summit
Event terms: Registration, badges, and age limits
According to Oracle rules and regulations, attendees must register for the conference themselves, using their own information and, a current business email.
When you arrive at the conference, please bring a valid photo ID to the registration counter to pick up your badge. For security reasons, badges can be picked up only by the registered attendee; you cannot collect a badge for someone else.
Attendees must use their own badge while onsite at the event. Badges are nontransferable and may not be shared onsite. Persons found to be in violation of this policy will have their badge confiscated by event personnel and will be asked to leave the conference.
No one under the age of 18 is permitted at any conference activity, keynote, or session. No one under the age of 18 is permitted to attend Oracle networking events, even if accompanied by an adult.

Oracle’s definition of public sector extends beyond (but includes) traditional government agencies and ministries. The definition also includes state-owned entities, such as those in which a government has 30% ownership or higher, voting control, and/or the ability to appoint officers or directors. For example, some airlines, financial institutions, telecommunications companies, utilities, energy exploration companies, hospitals, and other businesses may qualify.
Attendees registering as public sector will be required to show their employer-issued government ID or other proof of government employment, as well as a government-issued photo ID, during check-in at the Oracle Defence Tech Summit registration desk.
Oracle may, at its sole discretion, charge the full Oracle Defence Tech Summit rate to anyone not satisfying these requirements or cancel ineligible registrations outright. If Oracle rescinds your registration and refunds your payment, Oracle is not liable for any incidental damages, such as flight, hotel, or other related expenses.

Confirmed registrants may cancel their registration at any time via their confirmation or reminder emails.
Oracle reserves the right to refuse registration or admission to anyone for any reason. If Oracle rescinds your registration, under no circumstances will Oracle be liable for any incidental damages, such as flight, hotel, or other related expenses.

If registrants require travel to attend Oracle Defence Tech Summit, all reservations and expenses are the responsibility of the traveller. Oracle employees, contractors, and partners are not authorised to facilitate or pay for any travel expenses for event registrants and/or attendees unless specifically preapproved in writing under Oracle’s Non-Employee Travel process.

Travel documents and/or immigration inquiries: Completion of registration and payment will generate a registration confirmation receipt email. Oracle does not issue customised documentation to registrants in support of travel to, or attendance at, Oracle events, nor are any individual Oracle employees, contractors, or partners authorised to do so. Registrants are responsible for knowing, understanding, and complying with all applicable Belgian immigration laws and should consult with their own employer for any required letters to support applications for visas and travel requirements.
Travel restrictions and/or requirements: Travelers are responsible to research, understand, and comply with any entry restrictions and/or health and quarantine requirements based on their country of departure. It is the traveller's responsibility to be aware of any entry or policy changes prior to travelling to Belgium.
Information pertaining to attendees: Those attending Oracle events, including Oracle employees, must ensure that they have the appropriate immigration documentation in the destination location. Furthermore, Oracle’s global policy regarding non-Oracle employees (such as partners and customers) is that it is the responsibility of their individual employer to sponsor the proper immigration documentation to ensure compliance. Oracle will not support, provide sponsorship, nor act as a guarantor for visa applications on their behalf.

By registering, attendees grant Oracle Corporation, its affiliates (“Oracle”), and its agents the right to take photographs or videos of them during Oracle Defence Tech Summit activities.
Attendees grant Oracle and its agents, assignees, and transferees the worldwide right to use, copy, distribute, exhibit, broadcast, transmit, perform, publish, and display the photos/videos of attendees, with or without names and biographic material, in any media, including in print and electronic. Oracle may use the photos/videos for any lawful purpose including, but not limited to, publicity, marketing, and advertising.
Attendees understand that Oracle may process personal information collected in connection with their likeness, voice, or portrait or included in the event materials, in accordance with the Oracle General Privacy Policy. Oracle is under no obligation to compensate attendees. Attendees agree that Oracle is the exclusive copyright owner of the photographs/videos. Attendees further understand that content posted to social networks will be subject to the social network’s applicable terms and privacy policy.

The use of any device to capture images and sound, live stream, upload, or rebroadcast speakers or presentations is strictly prohibited at all official Oracle event meetings, sessions, and related activities without express written consent from the Oracle Defence Tech Summit team.

The presentations and associated materials offered during the summit may include statements about Oracle’s product development plans. Many factors can materially affect Oracle’s product development plans and the nature and timing of future product releases. Accordingly, such details are provided to attendees solely for informational purposes and are not a commitment to deliver any material, code, or functionality. They hould not be relied upon in making purchase decisions. The development, release, and timing of any features described remains at the sole discretion of Oracle.

Oracle expects all event attendees to adhere to high ethical standards and to avoid engaging in any activity that involves even the appearance of impropriety. By attending or participating in an Oracle event, the registrant agrees to adhere to this code of conduct.
Oracle affirms the principle of equal employment and business opportunities without regard to any protected characteristic, including, but not limited to, race, religious creed, national origin, color, sex or gender, gender identity or expression, age, mental or physical disability, mental condition, pregnancy, marital status, national origin/ancestry, genetic information, political affiliation, military and protected veteran status, sexual orientation, or any other characteristic protected under regional or local ordinance. Oracle policy prohibits harassment in any form and Oracle expects event attendees to practice and promote an event environment free from harassment and discrimination.
Oracle reserves the right to limit attendance at its events, at its sole discretion. If an attendee does not comply with this code of conduct, Oracle reserves the right to remove them from the event (potentially without a refund), prohibit attendance at future Oracle events, and/or pursue other means necessary to appropriately address failure to comply with the code.
Please immediately raise any issues or concerns that surface regarding Oracle’s event attendee code of conduct to the onsite Oracle staff at the registration desk.

To ensure all attendees have a safe and enjoyable event, bags, backpacks, purses, overcoats, and other objects that may conceal prohibited items may be subject to search by security personnel. Weapons and illegal non-prescription drugs of any kind are strictly prohibited on site
Items intentionally used to cause a distraction or disturbance to our speakers or attendees, such as laser pointers, airhorns, megaphone/bullhorns, banners/signage, and items with similar intent, are prohibited. Prohibited items discovered during security inspections must either be discarded or returned to the owner’s vehicle or hotel room. Items will not be held for later pick-up.
