OCI Migration: Oracle-Managed Migration Continues; Customer-Managed Migration Program Ends on April 30, 2023

One of Oracle's latest advancements, Oracle Cloud Infrastructure (OCI) is the foundation of Oracle's second generation cloud. OCI, a purpose-built, best-in-class platform for running enterprise applications, is engineered from the ground up to run mission-critical databases, workloads, and applications while providing end-to-end security. Oracle's data centers around the globe are standardizing on the new OCI architecture which will deliver even greater performance and reliability. There are a lot of EPM Cloud features that are available only in OCI. See Features Available only in OCI EPM Cloud Environments in Getting Started with Oracle Enterprise Performance Management Cloud for Administrators.

Oracle plans to migrate all Classic Commercial environments to OCI by the end of 2023 using monthly migration waves. Two migration options are available:

Oracle has started sending notifications for Oracle-managed migrations. When your environments are scheduled for migration, you will get notification specifying the migration schedule. Follow the instructions in the notification.

For customers whose environments were included in the January 2023 migration notification: The migration of application data and users from Classic to OCI environments will occur in the 23.04 (April) monthly update. If you prefer not to have the migration take place in the 23.04  monthly update, please run the skipUpdate EPM Automate command to skip the 23.04 update.

  • If you were notified about your migration in February 2023, you must already have received your OCI instances. You should go through the optional migration steps, which include setting up SSO and IP Allowlist, and testing based on your requirements. See these information sources:
  • If you were notified about the migration of your environments in March 2023, you will receive your OCI instances in the beginning of April 2023.
  • If your environments are in the next wave of migration, you will be notified in the beginning of April 2023.

If you plan to use customer-managed migration, you should start this process as soon as possible. Customer-managed migration program is available until April 30, 2023. Oracle will not accept any service request for customer-managed migration starting May 1, 2023.

NOTE: At this time, the environments hosted in US-Gov and UK-Gov data centers are not eligible for migration to OCI.

Applies to: Account Reconciliation, Enterprise Data Management, Enterprise Profitability and Cost Management, Financial Consolidation and Close, FreeForm, Narrative Reporting, Planning, Planning Modules, Profitability and Cost Management, Tax Reporting

Business Benefit: OCI provides you a purpose-built, best-in-class platform that is engineered from the ground up to run mission-critical databases, workloads, and business processes while providing end-to-end security. This new architecture delivers greater performance and reliability, and a number of EPM Cloud features that are not available in Classic EPM Cloud.

Steps to Enable

Key Resources

EPM Automate Updates

A new version of EPM Automate is now available. This version introduces the archiveTmTransactions, exportConsolidationJournals, importConsolidationJournals, purgeArchivedTmTransactions, and validateConsolidationMetadata commands. Additionally, starting with this update, the roles required to run these commands have been updated to allow users other than Service Administrators to run them as long as they have the appropriate privilege: addUsers, assignRole, invalidLoginReport, removeUsers, roleAssignmentAuditReport, unassignRole, and updateUsers.

Applies to: Account Reconciliation, Enterprise Data Management, Enterprise Profitability and Cost Management, Financial Consolidation and Close, FreeForm, Narrative Reporting, Planning, Planning Modules, Profitability and Cost Management, Tax Reporting.

archiveTmTransactions Command

This command archives matched transactions, including support and adjustment details in Account Reconciliation, that are equal to or older than a specified age. The matched transactions are recorded in a ZIP file. You use the purgeArchivedTmTransactions command to optimize the application size by purging archived match transactions.

exportConsolidationJournals Command

This command creates a .JLF file by exporting Consolidation Journals from a business process using a job defined in Financial Consolidation and Close.

importConsolidationJournals Command

This command imports consolidation journals from a .JLF file into a Financial Consolidation and Close business process. You create the .JLF file using the exportConsolidationJournals command.

purgeArchivedTmTransactions Command

This command purges archived matched transactions from the Account Reconciliation application. You use this command to purge the matched transactions that you archived using the archiveTmTransactions command to optimize the application size.

validateConsolidationMetadata Command

This command validates the metadata of the Financial Consolidation and Close environment to ensure an error free database refresh and consolidation. After importing metadata using the importMetadata command, run this command to validate the metadata. Your consolidation may fail if the consolidation metadata is inaccurate.

Updates to the Roles Required to Run Some User and Role Management Commands

The roles required to run these commands have been updated to allow users other than Service Administrators to run them if they have the appropriate privilege:

  • addUsers, removeUsers, and updateUsers commands can now be run any EPM Cloud user assigned to the Identity Domain Administrator role.
  • assignRole and unassignRole commands to assign and unassign predefined roles can now be run by Service Administrators (OCI) or by any EPM Cloud user assigned to the Identity Domain Administrator role (both Classic and OCI).
  • roleAssignmentAuditReport command can now be run by Service Administrators or by any EPM Cloud user assigned to the Identity Domain Administrator role. This command is applicable to OCI environments only.
  • invalidLoginReport command can now be run by any EPM Cloud user assigned to the Identity Domain Administrator role. This command is applicable to OCI environments only.

Business Benefit: The archiveTmTransactions and purgeArchivedTmTransactions commands help you optimize the size of Account Reconciliation business process by archiving and removing old matched transactions. The exportConsolidationJournals and importConsolidationJournals commands help you migrate consolidation Journals across Financial Consolidation and Close environments. The validateConsolidationMetadata command helps you ensure error free database refresh after importing consolidation metadata, which ensures the accuracy of the Consolidation process. Updates to the roles required to run user and role management commands allow you to spread the security administration workload across EPM Cloud users other than the Service Administrator and to align with the roles required to run similar commands and APIs from the Oracle Identity Console.

Key Resources

Key Resources

Data Management Feature Replacement by Data Integration

Data Integration is the next generation of the Data Management user interface, enabling users to easily build and manage Cloud EPM integrations. As feature parity between Data Integration and Data Management becomes complete, Data Management features will be turned off, and users will use the new Data Integration user interface instead. Integration definitions built with Data Management are also visible in Data Integration, which enables an easy transition. (Data Integration is a new UI on the Data Management data model and does not require migration of content from Data Management to Data Integration).

This will be a gradual process; future What's New documents will include information about the first set of planned changes as well as updates about additional changes planned for the future.

All Data Integration features discussed in this document are currently generally available in the Cloud EPM business processes.

Applies to: Account Reconciliation, Enterprise Profitability and Cost Management, Financial Consolidation and Close, FreeForm, Planning, Planning Modules, Tax Reporting

Starting with the July (23.07) update, the following features will no longer be available in Data Management, but will be available in Data Integration.  Data Integration is available from the Data Exchange card from the home screen in the Cloud EPM Business Process, and users can access these features in the current Cloud EPM update.

Integration definitions built with Data Management are visible in Data Integration which enables an easy transition. (Data Integration is a new UI on the Data Management data model).  Please note that additional new integration features will only be included in Data Integration, and will not be back-ported to Data Management. Critical bug fixes and security fixes will still be made to Data Management until all features are fully migrated.  In addition, all features from Data Management will be migrated to Data Integration with the exception of the following:

  • The batch feature will be replaced by the new Pipeline feature.  The Pipeline feature should be available sometime in CY23. (Safe Harbor applies.)
  • The Report Definition feature will not be migrated, only the Report Execution feature.  Please note that Account Reconciliation and Financial Consolidation and Close provide a feature to report against the Data Integration relational tables using a custom SQL and a BI Publisher report template.

For reference, please see the Data Integration guide available from the documentation library for your specific EPM business process. Select the desired business process, then Books, and then scroll down to the Administering Data Integration for Oracle Enterprise Performance Management Cloud documentation link.

Business Benefit: Data Integration is the next generation of the Data Management user interface. It enables users to more easily build and manage Cloud EPM integrations.

Key Resources

Account Reconciliation

Application Roles for Accessing Data Integration from Account Reconciliation

The Data Integration Administrator, Create Integration, and Run Integration application roles can be granted to users. These roles enable users to access Data Integration and Data Management functionality from Account Reconciliation.

Enterprise Data Management

There are no new features in this update except for the applicable features listed in the EPM Common section.

Financial Consolidation and Close

New Process for System Calculation of Ownership Eliminations and Adjustments

Prior to the 23.04 update, system calculated Ownership Eliminations and Adjustments (Acquisitions, Disposals, Entity Elimination Adjustments and Entity Proportion Adjustments) were written to the FCCS_Intercompany Eliminations data source member.

Starting from the 23.04 update, the new data source member FCCS_AcquisitionsDisposals will be used to capture system generated Ownership Adjustments and Eliminations (Acquisitions, Disposals, Entity Elimination Adjustments and Entity Proportion Adjustments). This member will be used from 23.04 when the EnableNewAcqDisp substitution variable is set to true.

If the EnableNewAcqDisp substitution variable is set to false or does not exist, then the FCCS_Intercompany Eliminations data source member will continue to be used. The ability to use FCCS_Intercompany Eliminations for system calculated Ownership Eliminations and Adjustments is temporary and will be removed in a later release.

Note that the substitution variable will be removed in a later update and the new data source member will be the only member that system ownership adjustments and eliminations are written to. This member is for system use only, so data can only be populated by system calculations and not by rules or data entry (load, manually entered or journalized).

The FCCS_AcquisitionsDisposals member is under the FCCS_TotalInputandAdjusted subtotal and not under FCCS_Total Eliminations to ensure that all values associated with acquisitions and disposals are eliminated in the system Intercompany Eliminations process. System Intercompany Eliminations are only applied to level zero members that are under FCCS_TotalInputandAdjusted, and do not include values from members under FCCS_Total Eliminations. Without this change, there could arise a situation where acquisitions and disposals could be generated, prior to both translation and then elimination. The FX entry in FCCS_Intercompany Eliminations member might not be eliminated at the same time as the matching data point within FCCS_TotalInputandAdjusted.

Business Benefit: The addition of the new seeded FCCS_AcquisitionsDisposals member under the FCCS_TotalInputandAdjusted subtotal ensures that all values associated with acquisitions and disposals are properly eliminated in the system Intercompany Eliminations process.

Key Resources

Ability to Create Unbalanced Consolidation Journals

The Consolidation Journals process now includes the ability to create unbalanced journals. If you select the Unbalanced Journals option during the Enable Features process, all users who can create journals can create unbalanced journals, which are allowed for all Scenarios, Entities, Consolidation members, Entity currency and all input currencies. You can filter the Managed Journals screen as well as the Template screen for Unbalanced Journals. You can also import unbalanced journals.

NOTE: This feature is only available for applications that use Dense/Sparse Optimization (DSO).

Business Benefit: This feature provides more flexibility for creating Consolidation Journals by allowing you to create unbalanced journals that are offset by other business processes, such as custom rules or data loads, or if you have data from varying systems.

Key Resources

Metadata Solve Order Substitution Variable

The EnableSolveOrderImport substitution variable for Metadata Solve Order is now enabled by default.

Business Benefit: The EnableSolveOrderImport substitution variable enables you to retain customized Solve Order values for seeded members during application import, upgrade, or an incremental Enable Features process.

Key Resources

REST APIs for Importing and Exporting Consolidation Journals

You can use these REST APIs to run Import or Export Consolidation Journals using the job name specified in Financial Consolidation and Close.

Business Benefit: The ability to perform these tasks with a REST API allows you to schedule and automate these tasks.

Key Resources

REST API for Validating Metadata

You can use the Validate Metadata REST API to run the Metadata Validation process in Financial Consolidation and Close.

Business Benefit: The ability to perform this task with a REST API allows you to schedule and automate this task.

Key Resources

Performance Substitution Variables

The OptimizeConcurrency, OptimizePelimCalculation, EnableYearlyConsol, ParallelCustomDimDSO, and ParallelCustomDimTranslation substitution variables can be enabled to improve performance.

OptimizeConcurrency = True

This substitution variable improves concurrency of the consolidation process by executing some of the calculations at the very beginning or at the end. The degree of improvement depends on the entity structure of a given customer. Customers with deeper entity hierarchies will benefit the most.

OptimizePelimCalculation= True

This substitution variable improves Partner Eliminations (PElim) performance. If there is a consolidation performance degradation when deploying a user-created “Partner Eliminations Configurable Consolidation Rule” that has an account re-direction, adding this variable can provide significant performance improvement.

EnableYearlyConsol = True

The EnableYearlyConsol substitution variable can be enabled to improve performance for multi-period consolidations in applications that use the Dense/Sparse Optimization option (where Period and Movement are the Dense dimensions).

This substitution variable is applicable if the application meets all of these conditions:

  • The application uses the Dense/Sparse Optimization option (Period and Movement are Dense dimensions)
  • You have two or more dirty periods, and two or more hierarchy levels
  • The dirty entities are identical across periods
  • Equity Pickup sequence is not enabled

ParallelCustomDimDSO = True

This substitution variable improves the performance of the consolidation process in applications with Dense/Sparse Optimization, where the Period and Movement dimensions are Dense dimensions. To see performance improvements, you should set this substitution variable to True.

ParallelCustomDimTranslation = True

This substitution variable can improve the performance of the consolidation process in applications with Dense/Sparse Optimization, where the Period and Movement dimensions are Dense dimensions. To see performance improvements, you should set this substitution variable to True. If any degradation is noticed, you should delete this variable.

Business Benefit: These substitution variables help in improving consolidation performance.

NOTE: The degree of performance improvement varies widely across different applications as it is purely driven by the application design and data distribution.

One-Week Lag Between Readiness Documents Live and Help Center Live

Because Oracle readiness documents (What's New and New Feature Summary) are live one week before the monthly update is applied to Test environments, some links to documentation included in the readiness documents will not work until after the Oracle Help Center update is complete when the monthly update is applied to Test environments.

EPM COMMON

EPM Cloud Plan to Discontinue Support for Non-Redwood Experience Themes

Oracle's Redwood UX Design is helping organizations improve user productivity, reduce training costs, and increase user satisfaction. As such, it has gained wide adoption across our Oracle Cloud user base. Within Cloud EPM the Redwood Theme has had significant adoption, and major new platform innovations over the past few years have primarily been released only within the Redwood theme. Going forward, future innovations in Cloud EPM and Redwood UX Design patterns are likewise targeted to be available within the Redwood theme only. In a future update (planned towards December 2023), Oracle EPM Cloud plans to support only the Redwood Experience theme. All non-Redwood themes are planned to be de-supported. Customers are advised to plan on shifting their user base to the Redwood Experience theme. All new implementations are recommended to be initiated with Redwood theme only.

More details are covered in this Cloud Customer Connect session in April 2023: EPM – Why You Should Be Using The Redwood Theme in EPM Cloud

This session covers why users should be adopting the Redwood theme, customizations available within the theme (such as company logo), and the future plans around non-Redwood themes for Cloud EPM.

Calculation Manager Errors and Warnings Enforcement

In a future update, Calculation Manager will enforce the execution of the Errors & Warnings diagnostic tool for any rule being launched, validated, or deployed from it. If there are errors that result from this new process, Calculation Manager will not execute, validate, or deploy the rule. This new process will apply to all new applications once released. Existing applications will have a finite period of time to bypass this new process to allow you to modify the rules that violate the new Errors & Warnings diagnostic analysis. In all cases, existing rules that are already deployed will continue to run as-is without any change in behavior.

Applies to: Financial Consolidation and Close, FreeForm, Planning, Planning Modules, Tax Reporting

Change in Behavior for Grids Created from Groovy and REST APIs for ASO Cubes

In a future update, the suppression behavior for grids created via Groovy DataGridDefinitionBuilder and the exportdataslice REST API for ASO cubes will be made consistent with that of the run time data grids created using the Form Designer. Previously, if a grid was built for an ASO cube in Groovy or REST API, then the system used the NON EMPTY MDX clause to suppress missing rows when the suppressMissingBlocks flag was true. Now, when a grid is built for an ASO cube, it will use the NON EMPTY MDX clause when suppressMissingRows is true, and suppressMissingBlocks will be ignored. This means that ASO grids with suppressMissingRows true and suppressMissingBlocks false will now start using MDX. Likewise, ASO grids with suppressMissingRows false and suppressMissingBlocks true will no longer use MDX. Grids where the suppressMissingRows and suppressMissingBlocks flags had the same value will not be impacted. These changes may result in a change in behavior or performance for some ASO grids. If this happens and is undesirable, consider toggling the value of suppressMissingRows from the builder or the JSON payload in case of the REST API.

Mandatory Steps Required to Make the Explore Repository Artifacts Accessible to Users

Prior to the July (22.07) update, Oracle Enterprise Performance Management Cloud used the WORLD pre-seeded group to grant access to Explore Repository artifacts such as reports and folders. Starting with the July (22.07) update, the WORLD group was removed. If you previously used the WORLD group to grant access to repository artifacts, complete these steps to ensure that users can access Repository artifacts:

  1. Create a group in Access Control with all EPM Cloud users as its members.
  2. In Explore Repository, grant access privileges to the group you created in the preceding step.

For detailed steps, see Granting Access Permissions to Document Repository Users in Working with Financial Reporting for Oracle Enterprise Performance Management Cloud.

Applies to: Enterprise Profitability and Cost Management, Planning, Planning Modules

Internet Explorer 11 End of Support and Smart View

Microsoft announced end of support of Internet Explorer 11 by June 15, 2022.

Do not uninstall Microsoft Internet Explorer, even after the end-of support date of June 15, 2022. Instead, you may securely disable Internet Explorer following Microsoft’s guidelines. In situations where the Internet Explorer browser would be called, the Edge browser will be launched instead.

Oracle Smart View for Office does not require the Internet Explorer browser specifically. However, Smart View depends on Windows components (for example, WinInet APIs) that may have dependencies on Internet Explorer. Microsoft recommends keeping Internet Explorer installed on the machine since uninstalling may cause other applications that are dependent on it to work incorrectly. Microsoft also recommends updating to the latest security patches as they become available.

For more information, Oracle Support Document 2877741.1 (Impact on Smart view with Microsoft decommissioning Internet Explorer 11 on June 15, 2022) can be found at: https://support.oracle.com/epmos/faces/DocumentDisplay?id=2877741.1

Updated Smart View Browser Extension Required for Chrome and Edge

An updated Smart View browser extension for Google Chrome and Microsoft Edge is available. This extension is required for Oracle Smart View for Office to interact with supported browser-based EPM Cloud business processes in these ways:

  • Starting in a form or ad hoc grid in Smart View, use drill-through to launch an application web page in a browser.
  • Starting in a web application, launch a form or ad hoc grid in Smart View for Excel.
  • Starting in a Task List in Smart View, opening a task in a browser.

This required browser extension update is strictly for the Chrome and Edge browsers only. This is not an update for extensions, such as the Planning Admin or Narrative Reporting extensions, within Smart View.

This update is required only if your default browser is Chrome or Edge. If your default browser is Mozilla Firefox, then this update does not affect you.

The extension is available in the Chrome Web Store from either the Chrome or Edge browser. In the Chrome Web Store, search for "smart view" to locate the extension update. The version number is 22.200. Then follow the instructions for Google Chrome or Microsoft Edge in Installing Browser Add-ons in the Oracle Smart View for Office Installation and Configuration Guide.

Note that from January 1, 2023, the earlier version of the browser extension does not work with Chrome or Edge. You must update your extension in order to continue interactions between Smart View and browser-based business processes in EPM Cloud.

Office 365 Add-ins Command Change by Microsoft to Impact Buttons in Smart View (Mac and Browser)

To improve security in Office Add-ins, Microsoft Office 365 has made changes to its ExecuteFunction add-in command from October 30, 2022. Since Smart View for Office (Mac and Browser) uses this command in its ribbon buttons and menus, some buttons may stop working from October 30. For example, buttons such as Undo, Redo, or Refresh on the Smart View and provider ribbons. This issue is resolved in the latest Smart View update of 22.11. As the changes are limited to server update, you are not required to create and deploy a new manifest file again for resolving this issue.

For more information on Microsoft’s announcement, see Announcing changes to Office Add-ins’ ExecuteFunction commands.

Applies to: Enterprise Profitability and Cost Management, Financial Consolidation and Close, FreeForm, Planning, Planning Modules, Tax Reporting

Financial Reporting Valid Intersections Behavior Change

Starting in the May (23.05) update, Financial Reporting (FR) will filter and restrict data results based on valid intersections that are defined in the Cloud EPM application. FR does not currently filter the Point of View (POV) members based on valid intersections, but going forward, if an invalid intersection is selected in the POV when previewing a report or importing a report into Smart View, users will receive the following error and the data for the invalid intersection will not be displayed. The user will need to select a valid intersection in the POV dimensions to display data in the report. Additionally, there might be some cases where the report designer may need to edit the member selections in the grid to reflect valid intersections.

Prior to the May (23.05) update, FR displays data for invalid intersections. This change in behavior was implemented for consistency in FR with Reports and forms. There are no plans to implement POV member filtering in FR for valid intersections, given the planned upcoming deprecation of FR. Reports will support valid intersections in an upcoming release, with POV member filtering for valid intersections.

Query Request API No Longer Returns Workflow Information for Requests by Default

In an upcoming release, when using the Query Requests API to retrieve summary information for requests, workflow information (such as request invitees, approvers, and commits) will no longer be returned by default for performance reasons. Instead, the option to return workflow information will be available via a parameter in the API.

FINANCIAL CONSOLIDATION AND CLOSE

FCCS_Global Assumptions Member

The FCCS_Global Assumptions member and its descendants (if any), from the Entity dimension will be restricted member(s) for On Demand Rules starting from the June (23.06) update. Financial Consolidation and Close users won’t be able to use the FCCS_Global Assumptions member and its descendants (if any) as Run Time Prompts (RTPs) while running On Demand Rules.

Future Updates to Ownership Management Locking / Unlocking

Currently there is a single Process Management Approval Unit for all instances of a shared entity. As a result, when data for one instance is Locked in Process Management, all instances are Locked. The same Locking logic will apply to Ownership Management. When data is locked for an Approval Unit POV, Ownership Management settings are also locked for the same Approval Unit POV. As noted above, this link from Process Management Locking / Unlocking to Ownership Management settings can be disabled using a Substitution Variable. Note that this ability to disable the link will be temporary.

When future updates to improve Organization-by-Period functionality are made available, there will be one Process Management Approval Unit for each instance of a shared entity rather than one Approval Unit for all instances. When this is first implemented, the same Locking / Unlocking logic will apply. When the Process Management Approval Unit is locked, then both data and Ownership Management settings will be Locked, but on an instance-by-instance basis for shared entities. At this point, the link between Approval Unit Locking / Unlocking and Ownership Management settings Locking / Unlocking will no longer be able to be disabled. This is to ensure that a change in Ownership settings cannot cause Locked data to be impacted.

A further update will then be implemented to provide a little more flexibility in Locking / Unlocking Ownership Management settings. These settings will be able to be Locked before the Process Management Approval Unit for the same POV is Locked. Ownership Management settings will only be able to be Unlocked if the matching Process Management Approval Unit is unlocked. This will allow users to work on updating data without worrying about ownership settings affecting their results. Again, the link and dependency between Locking / Unlocking data and Ownership Management settings will not be able to be disabled.

Posting Data Against Global Assumptions

It is recommended that you do not post data against the Global Assumptions member in the Entity dimension. This member is used to store information such as currency rates. Starting with the July (22.07) update, if you post data against Global Assumptions, an error occurs.

Phased Approvals

If you decide to enable Phased Approvals in your application, take note of the following considerations:

  • You will need to manually modify your Data Status forms to replace the dimension member "FCCS_Status_ApprovalStatus" with the new member "FCCS_Status_ConsolidatedApprovalStatus".

  • If you try to export the application from the March (22.03) update and import it to the February (22.02) update, you must update your Data Status form by changing the dimension member FCCS_Status_ConsolidatedApprovalStatus back to FCCS_Status_ApprovalStatus.

  • Additionally, you will encounter errors during the import because new artifacts related to Phased Approvals are not supported in the February (22.02) update.

Enterprise Journal Dimension Persistence

In a future update, all Enterprise Journal dimension attributes will persist their values once they are set in the Journal.

Consolidation Journal Application Roles Not Automatically Mapped to Any Predefined Role

In a future update, the following consolidation journal-related application roles will no longer be mapped to any predefined role, including Service Administrator.

  • Create Journals
  • Submit Journals
  • Approve Journals
  • Post Journals
  • Un-Post Journals
  • Manage Journal Periods

These roles will need to be explicitly assigned to new users from the Manage Application Role tab of Access Control. However, your existing users who already have these journal roles assigned will continue to have these roles assigned to them.

If you have any concerns, please open a service request.
