EPM Cloud Common

This section contains announcements related to the common EPM Cloud components such as EPM Automate, Migration, Access Control, Data Integration, Calculation Manager, and Smart View for Office.

New Tutorials

Two new tutorials are available.

Applies to: Financial Consolidation and Close, Planning, Planning Modules, Tax Reporting

Performing New EPM Grid Operations

See how to perform EPM grid operations such as entering line item details, comments, attachments, sorting and filtering grid members, adjusting grid data and using shortcut keys. You can use EPM grids, or ad hoc grids, to personalize focused data slices that you frequently use for analysis.

Navigating with Dynamic Tabs

Learn how to navigate with dynamic tabs to multi-task with different artifacts. With dynamic tabs, you can open related artifacts while keeping the original artifacts open.

Business Benefit: Tutorials provide instructions with sequenced videos and documentation to help you learn a topic.

Updates to the Clone Environment Feature

This update contains changes to the Clone Environments feature, which will now change the version of Essbase in the target environment to match the Essbase version in the source environment. Starting with this update, this feature retains the contents of the inbox and outbox and existing snapshots in the target environment and, optionally, imports users and their predefined and application roles into the target environment. Previously, this feature was named Clone Snapshot, which has now been changed to Clone Environment.

Applies to: Account Reconciliation, Enterprise Data Management, Financial Consolidation and Close, Narrative Reporting, Planning, Planning Modules, Profitability and Cost Management, Tax Reporting

Handling of Essbase Versions During Cloning

For environments that use Essbase, if the target environment has a different version of Essbase, the Clone Environment feature will change the target Essbase version to match that used in the source environment. Specifically, if the target environment uses an Essbase version that does not support Hybrid cubes and the source environment has hybrid-enabled Essbase, the cloning process will update the target with Hybrid-enabled Essbase. Similarly, if the target environment has Hybrid-enabled Essbase and the source environment has a version that does not support Hybrid Cubes, this feature will update the target environment to use the Essbase version that does not support Hybrid Cubes.

Cloning of Users and Predefined Roles

A user assigned to both the Service Administrator and the Identity Domain Administrator roles can clone application artifacts and, optionally, users and predefined role assignments.

Retaining Snapshots and Files in Inbox and Outbox

Starting with this version, the cloning process does not delete existing snapshots or files in the inbox and outbox of the target environment.

Limitations

Cloning of environments may fail in these scenarios:

  • Source is a legacy environment with Non-Hybrid Essbase and the target is an EPM Enterprise Cloud Service in which the Essbase version was downgraded to Non-Hybrid Essbase.
  • Source is an EPM Enterprise Cloud Service environment Hybrid-enabled Essbase and the target is a legacy environment in which the Essbase version was upgraded to Hybrid-enabled Essbase.

Business Benefit: These changes facilitate the cloning of snapshots across environments and address customer concerns with this recently introduced feature.

Role Information

EPM Automate Updates

A new version of EPM Automate is now available. This version introduces support for using custom URLs with EPM Automate and includes changes to the behavior of  addUsers, assignRole, importSnapshot, recreate, runBusinessRule, setManualDataAccess, and unassignRole commands. Also, addUsersToGroup, addUserToGroups, assignRole, createGroups, deleteGroups, removeUserFromGroups, removeUsers, removeUsersFromGroup, and unassignRole commands have been enhanced to print information on failed records to the console. Additionally, the exportLibraryArtifact command has been enhanced with a new optional exportFormat=LCM parameter to convert the exported reports to the format used by Migration so that these reports can be imported into EPM Cloud and the copyPOV command has been enhanced to accept an optional nonEmptyTupleEnabled runtime parameter that allows you to disable non-empty tuple.

Applies to: Account Reconciliation, Financial Consolidation and Close, Enterprise Data Management, Narrative Reporting, Planning, Planning Modules, Profitability and Cost Management, Tax Reporting

Support for Custom URLs with the Login Command

Starting with this update, EPM Automate supports the use of vanity URLs created using third party link shorteners such as T.ly, Bitly, Rebrandly, TinyUrl, is.gd and so on.

addUsers Command

The addUsers command has been enhanced to add EPM Cloud users to the identity domain using a system generated temporary password. Previously, the only way to add EPM Cloud users to the identity domain using this command required you to assign one password to all the users added using this command. Additionally, on running this command, EPM Cloud emails new users their temporary passwords.

assignRole and unassignRole Commands

The behavior of these commands has been altered to allow Service Administrators to assign and unassign predefined and application roles to themselves. Previously, these commands did not allow users issuing these commands to assign or unassign roles to themselves.

importSnapshot Command

The importSnapshot command has been enhanced with the ability to specify whether to add users to the identity domain if a user who is not in the identity domain is referenced in the snapshot being imported. For this purpose, a new optional parameter (importUsers) has been added to this command. If the value of importUsers parameter is set to true, EPM Automate creates a user in the identity domain and assigns the default password that you specify in the command or a temporary unique password to each user if you do not specify a password in the command. Only a Service Administrator who also has the Identity Domain Administrator role can successfully import users and their role assignments using this command.

recreate Command

The recreate command has been enhanced so that if an EPM Cloud environment is converted to Account Reconciliation, Oracle Enterprise Data Management Cloud, or Profitability and Cost Management environment, you can convert it to any other service environment without requiring it to be first converted to Planning environment. This change reduces the number of steps involved in  converting an EPM Cloud environment type to another.

runBusinessRule Command

Starting with this update, the ability to run rule sets has been removed from the runBusinessRule command. Instead, you should use the runRuleSet command to launch rule sets in Financial Consolidation and Close, Planning, Planning Modules, and Tax Reporting business processes.

setManualDataAccess Command

The setManualDataAccess command has been enhanced to use an optional parameter (disableEmergencyAccess) that can be used to prohibit Oracle from manually accessing the EPM Cloud database even if a service request to remedy a database issue is open.

Information on Failed Records for User, Group and Role Management Commands Printed to the Console

The following commands have been enhanced to print information on the records that failed during processing and the reasons why they failed.

  • addUsersToGroup
  • addUserToGroups
  • assignRole
  • createGroups
  • deleteGroups
  • removeUserFromGroups
  • removeUsers
  • removeUsersFromGroup
  • unassignRole

exportLibraryArtifact Command

Starting with this update, this command has been enhanced to use a new optional exportFormat=LCM parameter which converts the exported reports to the format used by Migration so that the exported reports can be imported into Financial Consolidation and Close, Planning, Planning Modules, and Tax Reporting business processes.

copyPOV command

Starting with this update, the copyPOV command for Profitability and Cost Management has been enhanced to accept nonEmptyTupleEnabled as an optional runtime parameter. Using nonEmptyTupleEnabled=false as a runtime parameter allows you to override the default behavior (nonEmptyTupleEnabled=true, which is identical to the original behavior of this command), which in rare cases, may cause the command to not perform well for copying Essbase data.

Business Benefit: These changes in behavior make EPM Automate easier to use.

Improved POV Member Search and Selection in Smart View (Mac and Browser)

In Smart View (Mac and Browser), you can now search for members in the POV dimension drop-down list by typing all or part of a member name in the dimension text box in the POV panel. The drop-down list of members is filtered to show only those members that contain the text string that you typed. This is helpful when working with dimensions where many members are available for selection.

Applies to: Financial Consolidation and Close, Planning, Planning Modules, Tax Reporting

In ad hoc grids, you use the Member Selector to select members to add to the dimension drop-down list for the dimensions in the POV panel that you require. In forms, an administrator sets the members for you to choose from in a POV dimension drop-down list. Whether you are working with an ad hoc grid or a form, to change the POV, use the drop-down list for the dimension to select a member. If the list of members is long, you can begin typing the member name or any part of the name that you remember. The member drop-down list is then filtered to show you only those members that contain the text string that you typed. Choose a member and refresh the grid or form, and the POV is changed.

When an alias table is used, the process for searching for and selecting members is the same, with the only difference being that your search strings should be based on the alias names in the drop-down list..

Business Benefit: In Smart View (Mac and Browser), searching and filtering members in the POV dimension drop-down list is helpful when working with dimensions where many members are available for selection.

Steps to Enable

To use the new POV member search and filtering capability in Smart View (Mac and Browser), Service Administrators must create and deploy a new manifest file:

  1. Create a new manifest file and customize it per your requirements.
  2. Deploy the manifest file to Smart View (Mac and Browser) users.

Account Reconciliation Integration with Smart View

You can now use Excel to load transactions into Reconciliation Compliance by using the Smart View Account Reconciliation extension. The direct integration requires the base installation of Smart View plus the new Smart View Extension for Reconciliation Compliance.

Business Benefit: Loading Reconciliation Compliance transactions into Account Reconciliation directly from Excel simplifies the load process for users. There is no longer a requirement to take any extra steps to save the transactions to a text file.

Steps to Enable

The direct integration requires:

  • The base installation of Smart View plus
  • The new Smart View Extension for Reconciliation Compliance

After installing Smart View and the Extension, use the Initialize and then Import options on the Smart View Reconciliation Compliance ribbon to import the data. You can load any of the following Transaction Types across one or many reconciliations in one import: Balance Explanations, Adjustment to Source System, Adjustment to Subsystem, and Variance Explanations.

Data Management Adapter Improved for BAI and SWIFT MT 940 Format Files for Account Reconciliation

The following improvements have been made to the Data Management adapter that handles working with BAI and SWIFT MT940 format files for Account Reconciliation:

  • SWIFT MT940 update: Addition of Statement Date (also known as Entry Date) as a source field when mapping SWIFT MT940 balance files to allow use of the Statement Date as the Transaction Matching Accounting Date.
  • BAI Update: Change to first read in the Account Currency (if it exists) before the Group Currency in a BAI file. Most times, these values are the same, but in case it differs, the Account Currency field will take precedence.

Business Benefit: The Statement Date (also known as Entry Date) is typically more reliable to use as the Accounting Date for Transaction Matching transactions.  Also the differentiation between the Account Currency and Group Currency during processing of BAI files ensures that the proper currency is associated.

Key Resources

Object Storage Now Available for Account Reconciliation Attachments

Customers who have a large Account Reconciliation database mainly due to the number of uploaded attachments can now consider using Oracle Object Storage to store the attachments. Object Storage requires its own subscription and configuration so this feature is optional, but once setup the attachments will be saved there going forward.  Existing attachments from prior reconciliations will also be moved there once configured.

Business Benefit: Using a separate storage option may allow a large reduction in the size of the LCM snapshot so the backup, download and restore steps will be more streamlined. For example, when restoring a snapshot from test to production, or when downloading a snapshot for offline storage.

Steps to Enable

To use Object Storage, you need to purchase a subscription to Oracle Object Storage service.

Key Resources

Additional Columns Added to Unmatched Transactions, Data Source Filters, and Reports

To achieve consistency between the recently introduced search transaction functionality and other areas, the following System Columns have now been added to Unmatched Transactions, Data Source Filters and Reports:

  • Created Date
  • Journal Export Job ID
  • Import Job ID
  • Support ID
  • Support Type
  • Extract Status

Business Benefit: Adding these additional columns for searching and filtering allows users to search and review the transactions they need to locate more efficiently.

Key Resources

Report Groups Display for Users with Access to Only One Report Group

In the past, report groups would display in a drop down list and users could select a report group that then displays on the user interface, however if the user had only one report group the group name was automatically hidden. Now, users who have access to only one report group will also see the name of the report group displayed.

Business Benefit: Displaying the name of the report group, regardless of how many report groups you have access to, enhances the usability of the user interface.

Key Resources

Adding a Custom View to the Drill Through Landing Page in Data Management

When drilling through to data on the landing page in the EPM Cloud, you can now create and select a custom view of columns. This feature enables you to display customized attribute dimension member names on the landing page. When the custom view has been defined, you can click the drill-through cell on the form, select Drill Through to source, and then select the default view or the customized view.

Business Benefit: Custom views provide you with different ways to look at the columns in the drill through by allowing you to rearrange the representation of data. If no views are defined on the Drill Through landing page, the default view is used.  For Account Reconciliation, you can configure your preferred view on the Reconciliation Balance Drill Through landing page.

Capital Module Enhancements for IFRS-16 Lease Asset Planning

In the Capital module, for IFRS-16-enabled applications, lease asset planning includes these enhancements:

  • Rent free periods. You can define rent free periods that can occur any time during the term of the lease.
  • Annual index rate. You can choose to define an index rate that is either annual or according to the payment frequency. Previously the index rate was tied to the payment frequency.

Business Benefit: These enhancements support additional use cases in the IFRS-16 calculations:

  • When companies negotiate long term lease contracts, they might want to offer rent free periods during the term of the lease contract as an incentive. This is also popularly known as Lease Holiday, where certain periods are given as incentive as per the lease terms.
  • Many companies structure lease contracts with an annual index (inflation) rate rather than according to the payment frequency (for example monthly). This feature enables you to have an annual index rate increase that is not tied to the payment frequency.

Tips And Considerations

  • Rent Free Periods:
    • A new form, Rent Free Periods, is available.
    • Rent free periods are based on periods, not a date range, based on the payment frequency for the lease (monthly, quarterly, yearly).
    • After you add new lease assets, on the Rent Free Periods form, for each lease asset, select Yes for any periods that should be rent free.
    • Rent free period lease payments are set to zero, and when you calculate the lease, values for present value and cash flow are calculated considering rent free periods.
  • Index Rate Basis:
    • A new account, Index Rate Basis, is added.
    • A new Smart List is available for Index Rate Basis with entries for Annual and Payment Frequency.
    • When you add a new lease asset, in Add Lease Asset, select Annual or Payment Frequency for Index Rate Basis. By default, Index Rate Basis for new leased assets is Annual.
    • You can change the Index Rate Basis at any time on the Lease Asset Planning form.
    • Existing assets use the Payment Frequency method for the Index Rate Basis. (The Least Asset Planning form is updated to show the Payment Frequency method after you calculate the lease.)

IMPORTANT Actions and Considerations

EPM CLOUD COMMON

Redwood Experience as Default Theme

Within the next few months, the Redwood experience will be the default theme upon creation or recreation of an EPM Cloud service, or upon creation or recreation of a business process/application for all POD instances (existing as well as new). Existing active services/business processes/applications will not be impacted. All migrations (i.e., LCM import/reimports of existing cloud applications) will honor the theme from the source/import file. You will be able to switch to an alternate non-Redwood experience theme from the Appearance page in the Tools cluster.

Support for Composite Forms in EPM Cloud

Starting in this update (21.05), Oracle EPM Cloud no longer officially supports composite forms. As has been announced for several months, customers are required to use EPM Cloud dashboards instead. Your existing composite forms will continue to work.

Upcoming Security Changes for Predefined Reports

Applies to: Account Reconciliation, Financial Consolidation and Close, Tax Reporting

In an upcoming release, Power User security will be enforced on:

  • All predefined Reconciliation Manager and Transaction Matching reports in Account Reconciliation
  • All predefined Task Manager reports in Financial Consolidation and Close and Tax Reporting

Loaner Program for Cloud Infrastructure Generation 2 Testing

Oracle EPM Cloud is now live on Oracle Cloud Infrastructure (OCI) Gen 2 environments. If you are interested in testing your application performance on an OCI Gen 2 environment, open a service request following the process at https://docs.oracle.com/en/cloud/saas/enterprise-performance-management-common/tsepm/op_procs_loaner_envs.html and request for a loaner environment in an OCI Gen 2 data center for a duration of 30 days with the business justification as “Want to test application performance in an OCI Gen 2 data center”.

After you have performed the testing, submit Provide Feedback from the loaner environment. Create a service request using the normal support process, if you have any issues or feedback for the OCI Gen 2 environment.

For more information, see What is a Gen 2 Cloud?

Removal of Some Unused Migration Options

In an upcoming update, Oracle plans to remove some unused or rarely used options from the Import Options screen in Migration. Because EPM Cloud implicitly handles Essbase cube restructure and overwriting of artifacts, the Essbase Application - Overwrite Artifacts and Essbase Application - Restructure Cube options had no effect in EPM Cloud. These options will no longer be displayed. The Data Management - Skip Validation option will use the default value of false while the Groups and Membership - Max Error Threshold option will use 100 as the default value.

Proposed Changes to the Import Options Screen

Please note that only some of these options were applicable to some business processes.

The removal of these options is not expected to have any impact on customers. Tentative plans call for this change to be introduced with the 21.06 update. If you have any concerns about this change, please contact Oracle Support.

SMART VIEW

Upcoming Change to Smart View Ad Hoc Behavior Setting

Starting with the August update (21.08), all new applications and all recreated applications will use “Standard” as the Smart View Ad Hoc Behavior.

For existing applications and migrated applications, “Native” will remain as the default Smart View Ad Hoc Behavior, with “Standard” being an option.

Smart View Add-on Installation for Task Manager and Supplemental Data Manager

In an upcoming release, the installation of Smart View add-ons for Task Manager and Supplemental Data Manager will change. At that time, users of the Smart View add-ons will need to uninstall and re-install their add-ons to take advantage of the latest features and fixes.

PLANNING MODULES

Strategic Modeling Terminology Change

In a future update, the Consolidation feature in Strategic Modeling will be renamed Scenario Rollup.

Removal of Strategic Workforce Planning from EPM Cloud Workforce Planning

In an upcoming release, the Strategic Workforce Planning (SWP) enablement option will be removed for all EPM Cloud Planning Modules (Standard and Enterprise) and EPBCS applications that have not already enabled this feature in the Workforce Module. Customers who have already enabled this feature will see no change in their existing applications with this feature already enabled. No new applications will support this feature after this change.

Strategic Workforce Planning functionality is provided in the Strategic Workforce Planning Cloud Service (SWPCS) product, which contains robust SWP functionality that is not available in the existing EPM Cloud Planning Workforce module feature. SWPCS is an Oracle Human Capital Management (HCM) product built on EPM technology. For more information about SWPCS, please refer to the Strategic Workforce Planning information on www.oracle.com.

If you have any concerns about this change, please contact Oracle Support.

PROFITABILITY AND COST MANAGEMENT

New Validation for Member Solve Order in Profitability and Cost Management

A new validation for the Member Solve Order member property was implemented in the previous update. The valid range for this property is now from 0 to 120. If you currently have any members that have a value for Member Solve Order that is greater than 120, when you edit those members in Dimension Management, you will be required to correct the value in order to save your other changes for that member. In Update Dimensions, LCM Import, and Template Import, for any members being updated or imported with a value for Member Solve Order that is greater than 120, the value will automatically be changed to 120, and you will receive a warning message.
