Time and Labor

Time and Labor

Oracle Time and Labor is a comprehensive, easy to use, rule-based time recording and management application. The calendar-based time entry interface and fully configurable time card layout easily address simple and complex time recording needs. Rule templates and the real-time rules engine provide an extensible and robust method to validate time entries and automatically apply pay rules, such as overtime calculations. Time and Labor now integrates completely with the following Oracle Cloud Human Capital Management applications: Global Human Resources, Absence Management, Global Payroll, and Project Costing. This integration insures accurate and consistent data for payroll processing and costing as well as project management billing.

Time Totals on Enhanced Time Cards

The enhanced time card grid of the reported time view can now show time totals, such as total hours and schedule information. The new time total for the equivalent number of hours for absences measured in days can also show in the time card grid and on the time totals drawer.

Time Entries that Cross Midnight on Enhanced Time Cards

Individuals and managers can now add time entries that cross midnight on their enhanced time cards. For example, Kris works swing shifts, so adds time entries that start at 8:00 p.m. and end at 5:00 a.m.

If the individual isn't allowed to have time crossing midnight and they or their manager enter such an entry, an error message appears.

Worker Creation of Enhanced Time Cards

Individuals can now add enhanced time cards using the Add Time Card quick action.

Me > Time and Absences > Add Time Card Quick Action

On the add time card page, they select a date in the time card period they want to add a time card for. They can pick only dates in the periods allowed by their time entry profiles. For example, if their profile limits them to only four periods in the future, they can't pick dates after the end date of the fourth period. They see the full, read-only time card period beside the date field. This lets them confirm that they have the correct period before they add the time card.

Me > Time and Absences > Add Time Card Page Where Workers Specify the Time Card Period

After they click Add, the enhanced time card for the specified time period opens. The time card can be a new time card if it didn't already exist for the specified period. Or it can be the existing time card opened in edit mode.

Existing or New Enhanced Time Card Opened from the Add Time Card Page

This enhancement adds functionality already present for classic and responsive time cards to enhanced time cards.

Steps to Enable

You only need to do these steps if you haven't already enabled workers to access enhanced time cards.

  1. Search for and click the Manage Administrator Profile Values task in the Setup and Maintenance work area.
  2. Search for and select the ORA_HXT_WORKER_VBCS_TC_UI_ENABLED profile option.
  3. Confirm that Profile Level is Site.
  4. In the Profile Value field, select Yes.

  1. Click Save and Close.

Project Costing Validation on Time Card Entries Enhancement

The release 22B project validation enhancement let you validate entries that were updated and not yet transferred to the time consumer. After this validation, the entries weren't always validated again on submission. This change ensures entries that were updated and possibly validated earlier in the entry process are re-validated on time card submission. This re-validation accounts for any application changes that might affect the entries sent to the time consumer. For example, it's possible that the project was closed between the original entry and validation, and the time card submission. The validation messages that people see when they submit the time card remain the same as before this change.

This enhancement reduces adjustments by accounting for changes that might affect the entries being sent to the time consumer since the entries were last validated.

Steps to Enable

You only need to do these steps if you haven't already enabled validation on only updated time entries.

  1. Search for and click the Manage Administrator Profile Values task in the Setup and Maintenance work area.
  2. Search for and select the ORA_HWM_PJC_VALIDATE_ONLY_UPDATED_ENTRIES profile option.
  3. Set Profile Level to Site.
  4. In the Profile Value field, select Yes.

  1. Click Save and Close.

Setup of Time and Labor Layout Components and Layout Sets Enhancements

You can now set up layout components using single pages instead of guided processes, using the same Time Entry Layout Components task as always. You now configure dependent time card fields as single attribute time card fields. The values that used to be in the Dependent Time Attribute field, such as State, County, City, and Department are now part of the Time Attribute choice list. And you can review the entire configuration on the same page.

Time Entry Layout Components Page with the Create Layout Component Dialog Box Open

When you configure single attribute time card fields, you can override the filtered data source for line managers and time and labor managers. And instead of specifying whether the field is excluded from layouts, you do it as part of the field configuration. The Read only option used to be part of the Display Type choice list in the Display Properties section. The options are the same for line managers and time and labor managers, but you can make different selections.

  • All options apply only where the field is used to report time. They're ignored where the field is used to show calculated time and on other, nonreported time pages.
  • Any Filtered Data Source for Time Entry selection that you make for line managers and time and labor managers overrides the selection in the Time Attribute and Data Source section. You only need to do this when managers need a less granular filter than workers.

Create Single Attribute Time Card Field Page Showing Reported Time Options for Workers

Create Time Card Field Page for a Single-Attribute Time Card Field Showing Reported Time Attributes for Line Managers

When you create multiattribute time card fields now, you can also specify the action that time and labor managers can do for the time card field when it has the specified value. Before, you could do that only for workers and line managers. This update is for all multiattribute time cards, regardless of whether you have the unified time card experience enabled. Also as before, all three roles share the same filtered data source you specify when adding the time attribute to the table.

Create Time Card Field Page for a Multiple Attribute Time Card Field Showing the New Time and Labor Manager Allowed Action Column

The only change for web clock buttons is that you can't configure dependent time card fields as part of the layout component. You create the appropriate single-attribute time card fields and include them on the web clock layout.

Create Web Clock Buttons Page Showing That There's No Longer a Guided Process with the Dependent Field Definition

To support the ability to configure time card fields for time and labor managers, we enhanced the worker time entry profile to let you configure time entry actions separately for time and labor managers. As with the multiattribute time card fields, we copied the line manager settings in existing profiles to the new Time and Labor Manager view. And this update too is for all worker time entry profiles, regardless of whether you have the unified time card experience enabled.

Worker Time Entry Profile Page Showing the New Time and Labor Manager View Available in the Time Entry Actions Allowed Section

And you can now create layout sets with fewer layouts and a redesigned, simpler guided process. Now that you configure reported time options by job role when you configure time card fields, the manager layout is no longer needed. And options for classic, responsive, and enhanced layouts are now parameters in a single time entry layout. When you create layout sets, you just specify the time consumer or consumers. If you select Project Costing, you still have the option to enable project team membership filters.

Streamlined Create Layout Set Dialog Box Opened from the Layout Sets Page

Streamlined Define Layout Set Page Showing the Time Entry Layout, Web Clock Layout, and Shift Layout That Make Up the Unified Layout Set

In the Time Entry Layout row, when you click the Configure Layout icon, you open the guided process to configure the layout. We don't have a preview of how the time card looks with the current configuration because the layout controls the look and feel of classic, responsive, and enhanced time cards. We streamlined the guided process, now full page instead of in a dialog box, to have just three steps: Display Properties, Time Card Fields, and Time Totals.

Display Properties Step of the Configure Time Entry Layout Guided Process

Time Card Fields Step of the Configure Time Entry Layout Guided Process

Time Totals Step of the Configure Time Entry Layout Guided Process

When you configure the time card fields, the display sequence is very important because it affects filters for field choice lists. For example, if you include State, County, and City fields, the State needs to be before County for the County choice list to include only the counties for that state. The display sequence also sets the order that the fields appear on the responsive and enhanced time cards.

With classic time entry layouts, the guided process had separate stops for configuring the time card matrix and row-level and entry-level details. Now you identify where the field should go using the Display Level on Classic Time Cards choice list.

Users is a new, read-only field that shows you who can see the time card field. This information comes from the unified time card field.

You can easily double-check your configuration using Actions > View By options. With Users, you can see the fields for everyone or only workers, line managers, or time and labor managers. With Locations, you can see the fields for all locations or only reported or calculated locations.

Time Card Fields Step of the Configure Time Entry Layout Guided Process Showing the Actions > View By > Users Options

Time Card Fields Step of the Configure Time Entry Layout Guided Process Showing the Actions > View By > Locations Options

You continue to configure the shift and web clock layouts just as you always have.

Configure Shift Layout Page Where You Click Edit Layout to Open the Edit Layout Dialog Box

Configure Web Clock Layout Page Where You Click Edit Layout to Open the Edit Layout Dialog Box

This enhancement streamlines the quantity of time card fields you need to create and layouts that you need to configure. It also adds greater flexibility in crafting appropriate time pages according to worker, line manager, and time and labor manager roles.

Steps to Enable

Given the far reaching nature of this enhancement, we urge you to thoroughly test how your current layout components and layout sets would behave with the unified experience enabled. Enable the experience in your production environment only after the results support your time reporting and processing policies.

You enable the unified time experience by adding the WFM_UNIFIED_LAYOUT_ENABLED lookup code to the ANC_PROC_CONFIGS lookup type.

  1. In the Setup and Maintenance work area, on the Tasks panel, click Search.
  2. On the Search page, search for and click Manage Common Lookups
  3. On the Manage Common Lookups page, search for and select ANC_PROC_CONFIGS.
  4. In the ANC_PROC_CONFIGS: Lookup Codes section, click the Add icon.
  5. In the Lookup Code field, enter WFM_UNIFIED_LAYOUT_ENABLED.
  6. Select Enabled.
  7. Enter a start date, such as 01-01-20.
  8. Enter an end date, such as 01-01-50.

  1. Click Save and Close.

To disable the unified experience, you remove the lookup code.

Tips And Considerations

Here's what happens with time entry layout components when you add the WFM_UNIFIED_LAYOUT_ENABLED lookup code to the ANC_PROC_CONFIGS lookup:

  • Delivered time entry layout components continue to work as they always have.
  • Time and labor administrators can create unified layout components and edit, but not create, nonunified layout components.
  • Time and labor administrators can no longer create dependent time card fields that appear for specific values selected for the corresponding independent time card field. As single-attribute time card fields, they function as global dependent time card fields and appear where and how you configure the layout component and the layout sets that include them. The unified experience doesn't support value-specific dependent fields, so you'll you want to thoroughly evaluate if what you can do with it will work for you.
  • For single-attribute time card fields, the filtered data sources for line managers and time and labor managers must store the same data type and data as the worker filtered data source. When the worker delivered data source is a private view object, the corresponding manager value sets that you create must include the same values as the private view object.
  • For existing multiattribute time card fields, we added the Time and Labor Manager Allowed Action column and copied the values from the Line Manager Allowed Action column. You can update the time and labor manager values, as appropriate.
  • When you exclude a single-attribute field for a worker, line manager, time and labor manager, or a combination, it applies to classic and responsive time cards. It's ignored for enhanced time cards, but will apply to them in a future release.
  • When you set a specific value to default for single-attribute and multiattribute fields, it's applied on classic and responsive time cards. It's ignored on enhanced time cards, but will apply to them in a future release.

Here's what happens with layouts when you add the WFM_UNIFIED_LAYOUT_ENABLED lookup code to the ANC_PROC_CONFIGS lookup:

  • The unified time entry layout can include nonunified and unified time card fields.
  • By default, the time card fields that you add to a layout apply for both reported and calculated time.
  • The Hide calculated time on enhanced time card layout property doesn't currently hide the calculated time. This will be fixed in a future release.
  • Dependent time card fields continue to work in unified layouts that include the corresponding independent layout component.
  • If you select both the Time Entry Identifier and In Additional Attributes of Nonclassic Time Cards options for a time card field, the field appears in the main body of the time card and in the Additional Attributes section. So make sure that you select one option and not both. A future release will have validation for this situation and show a reminder message.

Time and Labor Replaced or Removed Features

From time to time, Oracle replaces existing features with new features, or removes existing features. Replaced features may be put on a path of removal, the features below will let you know what update you will have to have moved to the newer feature. As a best practice, you should move to the newer feature as soon as possible for full support and to stay up with the latest updates that the product offers. Any feature that is removed, will have an Update in which that feature is no longer available. Please make necessary plans to move off the feature by the Update indicated, as it will no longer be available.

Removal of Generate Time Card Field Setup Task

The feature that generates time card fields from Payroll Time Type attributes will be removed from the Workforce Deployment offering, Time and Labor functional area of the Setup and Maintenance work area in 23D. You can still create your own time card fields using these attributes, with the Time Entry Layout Components task.

This feature reduces confusion for administrators by letting them configure time entry layout components using the most robust and flexible task.

Steps to Enable

You don't need to do anything to enable this feature.
