Fujitsu Simplifies HR Change Management and Accelerates Technology Adoption for 26,500 Employees with Learning Embedded in HR Application

Fujitsu is one of the top five information and communication technology (ICT) providers in the world, with more than eight decades of experience delivering technology solutions to customers around the globe. With its innovative service offerings, the company enables customers to take advantage of the opportunities created by the connected world. Fujitsu delivers cutting-edge IT products, services, solutions, and support to over 100 countries, and has proven expertise in driving digital transformation programs.

As part of its human resources (HR) technological transformation program, Fujitsu recognized the need to move its operations from a mix of on-premises system to the cloud. Recognizing that employee adoption was going to be critical to ensuring the success of its deployment, Fujitsu needed a comprehensive training program that could be deployed rapidly in line with the Oracle Human Capital Management (HCM) Cloud implementation progress.

Challenges
  • Ensure success of corporate HR functional transformation by ensuring rapid and smooth adoption of Oracle HCM Cloud for all 26,500 employees in the Europe, Middle East, India, and Africa (EMEIA) region
  • Drive standardization of HR processes and simplify change management across a region of 37 countries, where previously each legal entity was responsible for its own processes and technology—some using off-the-shelf HR technology, some using customized systems, and some using no technology at all
  • Maximize technology investment by delivering a comprehensive learning solution in time for Oracle HCM Cloud go-live just a few months away, while ensuring appropriate learning according to each employee’s role—HR specialist, manager, or regular employee
  • Reinforce common HR process across the region without needing to invest in hundreds of classroom-based courses
  • Support managers with the cultural change—adopting new technology as well as ownership of a range of HR processes such as talent management, goal setting, and recruitment—by ensuring they are well-versed in the system and new procedures and can easily find help and guidance whenever needed
Results
  • Accelerated adoption of Oracle HCM Cloud for 26,500 multifunctional and multi-located employees throughout the EMEIA region by deploying Oracle Guided Learning directly within the application, maximizing return on Fujitsu’s technology investment
  • Drove HR functional transformation by empowering managers and employees to manage a range of HR transactions by themselves on a common platform with more ease—including goal setting, performance, talent management, and recruiting—freeing up hundreds of HR staff to focus on strategic tasks such as workforce planning and business partnering with Fujitsu’s line managers
  • Standardized self-service HR processes for employees and managers across 37 countries without needing to organize hundreds of one-off training sessions—minimizing costs of business disruption, learning costs, and training administration
  • Simplified HR change management by providing employees with an easy-to-use, just-in-time learning guide for all self-service HR tasks such as changes of address or change of bank details for salary payments, previously conducted using various systems and paper-based processes
  • Facilitated the use of Oracle HCM Cloud for all Fujitsu employees, regardless of role or technical ability, thanks to a step-by-step walkthrough guide within the application—meaning that employees who only use the system a few times per year do not need to go for a refresher course or inundate busy colleagues, HR, or IT staff with numerous how-to requests
  • Enabled customization of Oracle HCM Cloud learning by purchasing 110 Guided Learning custom flows, empowering Fujitsu to reinforce key messaging specific to the new HR processes and platform, for example by embedding corporate videos or executive summaries
  • Enabled Fujitsu to smoothly standardize HR processes across all businesses and geographical locations within the EMEIA region, paving the way for global standardization of HR and other support functions throughout the organization
  • Ensured smooth adoption of Oracle HCM Cloud thanks to a rapidly deployable learning solution delivered in just a few months, in time for platform go-live
  • Enabled Fujitsu—as a system integrator and Oracle Partner—to demonstrate to clients its leadership in cloud deployments, digital transformation, and technical innovation, and to showcase the advantages of Oracle HCM Cloud from a user perspective
  • Relieved the pressure on Fujitsu’s adoption team by delivering Guided Learning in Fujitsu’s key regional languages—English, French, German, Spanish, and Finnish
  • Ensured that all employees use the new system uniformly and appropriately by delivering Guided Learning specific to each employee’s role and access level—HR, manager, or individual contributor
  • Enabled managers to more easily manage multi-located teams thanks to an easy-to-use universal platform containing all their team’s personnel details—where previously they needed to contact various HR staff in different locations

Why Oracle

With 26,500 employees to bring up to speed on the new Oracle HCM Cloud platform, Fujitsu recognized the impracticability of classroom-based learning, which may well have been forgotten soon after delivery, as most employees would not use the system on a daily basis. However, due to the massive cultural change across multiple Fujitsu businesses in several countries, it still required a comprehensive learning system to drive the HR functional transformation and ease the pressure on the adoption team, HR, and IT staff.

We have our own internal training capabilities, but did not have the skills, knowledge, or time to train so many diverse employees on so many HCM Cloud modules in such a short amount of time and in multiple languages. Oracle Guided Learning’s reach, flexibility, comprehensiveness, and rapid deployability fit our adoption needs perfectly.
