Enhanced Security for Creating Document Records from Journey Tasks |
Oracle Global Human Resources enables your organization to plan, manage and optimize all workforce segments using flexible and extensible best practices to realize extraordinary gains while insuring compliance and increasing total workforce engagement.
Optimize User Experience When Assigning Journeys
We have improved the experience when you search for a person to assign the journey by using the enhanced Workers list of values (LoV). You can now quickly search and select the person for whom the journey needs to be assigned.
Select Workers Quickly When You Assign a Journey
Person search is faster when assigning a journey.
Steps to Enable
You need to change the value of the jrnAssigneeSelectionApplyPersonDataSecurity extensible constant to False to disable the data security of the assignee LoV in the journey.
Tips And Considerations
-
The Workers LoV will now use Public Person data security. Therefore, the Select a Person field will display all workers in the user’s public person security profile.
-
The change in the Workers LoV is only for the Select a Person field in the Assign Journey page that uses responsive page or Redwood.
-
This feature was backported to Update 23A.
Enhanced Security for Creating Document Records from Journey Tasks
You now have a secured process for adding document records from journey tasks. The process is secured with the Manage Person Documentation by Worker privilege. You must update your custom security roles to include the privilege if you automatically create document records, such as signed documents, reports, attachments, and HireRight I9 documents from journey tasks.
This feature provides consistency in document record creation.
Steps to Enable
-
You must add the Manage Person Documentation by Worker privilege to your custom roles.
-
If you have associated document types to your journey tasks, you must include the document types in the Document Type Security Profile of the journey task performer.

Oracle Global Human Resources enables your organization to plan, manage and optimize all workforce segments using flexible and extensible best practices to realize extraordinary gains while insuring compliance and increasing total workforce engagement.
Override Standard Working Hours in the Assignment
Full Time Equivalent (FTE) is the number of hours worked by a worker on a full-time basis and is typically used to determine the workload. The working hours and standard working hours are used to calculate the FTE for a worker. We have added 2 new attributes in the assignment - Assignment Standard Working Hours and Frequency to override the standard working hours derived from the work structures.
When populated the application uses this attribute for FTE calculation instead of the Derived Standard Working Hours.
The earlier Standard Working Hours attribute in the assignment is renamed to Derived Standard Working Hours to indicate that this value is derived from the work structure hierarchy. For example, if the standard working hours derived from any of the work structure objects is 40 weekly, and you specify the Assignment Standard Working Hours as 50 weekly, the assignment standard working hours will be taken into consideration for calculation of adjusted FTE.
Note: With this update the Derived Standard Working Hours will display only the value based on the workforce structure hierarchy derivation. If you enter a Standard Working Hours Override for the GB Legislation or Assignment Standard Working Hours, then these values won't be displayed as Derived Standard Working Hours. These override values will be used only for the calculation of the FTE.
This feature gives you the ability to change the standard working hours based on your requirement and control FTE calculation.
Steps to Enable
The Assignment Standard Working Hours and Derived Standard Working Hours attributes are hidden on the assignment pages. You have to enable them in the Transaction Design Studio (TDS) for each page. We will enable the attributes for the Hire an Employee action in the following steps.
- On the Home page, click My Client Groups > HCM Experience Design Studio.
- Select the Hire an Employee action.
- Click Add to add a rule.
- Enter a name and description for the rule.
- In the Page Attributes section, select the Employment Details option.
- Select Visible for the Assignment Standard Working Hours and Derived Standard Working Hours attributes.
- Click Save and Close.
Tips And Considerations
- For the Great Britain (GB) legislation, if you enter a Standard Working Hours Override, this value is used for FTE calculation instead of the Derived Standard Working Hours. The standard working hours override frequency is considered to be the same as the assignment working hours frequency. If you enter both the Standard Working Hours Override and Assignment Standard Working Hours then the Standard Working Hours Override takes precedence.
- If you're in GB legislation and you're not using both attributes, then it's recommended you use the Assignment Standard Working Hours instead of the Standard Working Hours Override attribute.
- If the Calculate FTE and headcount automatically option is selected and you change a triggering attribute, the application will populate the FTE value even if the calculated value is 0.
- The new attributes are available in the following BIP data models. You can update the RTF template using any of these data models to include the new attributes.
- CorrectEmploymentDetails
- EmploymentCreateProcesses
- EditPendingWorker
- EmploymentUpdateProcesses
- EmploymentUpdateProcessesPostApproval
- LocalAndGlobalTransfer
- LocalAndGlobalTransferPostApproval
- Audit is enabled for these attributes.
- These attributes aren't currently available in the Workers REST service but will be added in a future release.
- You can upload data into the new attribute using HCM Data Loader (HDL).
- DBIs related to the newly added attributes are added to these user entities.

- Derive Standard Working Hours from Job and Location for Assignment
Derive Standard Working Hours from Job and Location for Assignment
You can now derive the standard working hours and frequency for an assignment from the position, job, location, department, legal employer, or enterprise in that order. Job and location are the new entities in the derivation hierarchy.
The derivation logic for the standard working hours and frequency is given below.
- Position: The first check is on the position specified on the assignment. If values for this attribute is available in the position, then it's defaulted on the assignment.
- Job: If the attribute value isn't specified on the position, then the check is done on the job specified in the assignment. If the value is specified in the job, then it's defaulted on the assignment.
- Location: If the attribute value isn't specified on the job, then the check is done on the location specified in the assignment. If the value is specified in the location, then it's defaulted in the assignment.
- Department: If the attribute value isn't specified on the location, then the check is done on the department specified in the assignment. If the value is specified in the department, then it's defaulted on the assignment.
- Legal Employer: If the attribute value isn't specified on the department, then the check is done on the legal employer in the assignment. If the value is specified in the legal employer, then it's defaulted on the assignment
- Enterprise: If the attribute value isn't specified on the legal employer, then the check is done on the enterprise. If the value is specified in the enterprise, then it's defaulted on the assignment.
Example of Derivation Logic for Standard Working Hours and Frequency
Let's understand how this works with the following example.
Work Structure | Standard Working Hours |
---|---|
POSITION- Application Engineer |
- |
JOB- Development |
20 Weekly |
LOCATION-HYD |
35 Weekly |
DEPARTMENT- Software Development |
- |
LEGAL EMPLOYER-IDC |
- |
ENTERPRISE-GBI |
- |
For example, if you're hiring an employee and adding an additional assignment with the following data
Assignment A1 - POSITION-Application Engineer, JOB-Development, LOCATION-HYD, and DEPARTMENT- Software Development
Assignment A2 - LOCATION-HYD and DEPARTMENT-Software Development
Attribute | Assignment A1 | Assignment A2 | Reason |
---|---|---|---|
Derived Standard Working Hours | 20 Weekly |
35 Weekly | In assignment A1, as per the defaulting logic, a value exists in the job, hence the value is defaulted from the job. In assignment A2, as per the defaulting logic, a value exists in the location, hence the value is defaulted from the location. |
Earlier, you could default the standard working hours from either the enterprise, legal employer, department, or position. With this feature you can also default the attribute values from the job and location too.
Steps to Enable
You don't need to do anything to enable this feature.
Tips And Considerations
- The derivation logic applies only to responsive employment pages.
Key Resources
For more information, refer these resources on the Oracle Help Center.
- Workday Information Defaults, Chapter Jobs and Positions, in the Implementing Global Human Resources guide
You can also refer to the What's New for these features in Update 23B under Human Resources > Global Human Resources
- Calculate and Store Adjusted FTE in Responsive Employment Pages
- Override Standard Working Hours in the Assignment
Calculate and Store Adjusted FTE in Responsive Employment Pages
Organizations use Full Time Equivalent (FTE) to determine their employees’ workload; specifically the number of part-time employees required and the hours they work to add up to the same number of hours worked by full-time employees. However, the working hours duration might vary across industries. In such cases, the FTE calculation needs to be adjusted for such employees. Hence, we have added these new attributes - Annual Working Duration, Standard Annual Working Duration, Annual Working Ratio, and Adjusted FTE on the responsive employment pages.
The Adjusted FTE is calculated by multiplying the FTE value with the ratio of annual working duration and standard annual working duration. For example, a teacher works only 36 weeks annually, while the standard annual working duration is 52 weeks. The working hours and standard working hours are 20 and 40 weekly respectively, hence the FTE is 0.5. The annual working ratio will be 36 / 52 and the adjusted FTE will be calculated as FTE * annual working ratio, which is 0.5 * 36 / 52 = 0.346155.
The same logic applies when you load these attributes using HCM Data Loader (HDL).
The annual working duration and standard annual working duration are editable attributes and the application uses this hierarchy to default these attribute values - position > job > location > department > legal entity > enterprise, in that order, if a value is specified.
Example of Defaulting Logic for Standard Annual Working Duration and Annual Working Duration in Assignment
Let's understand how this works with the following example.
Work Structure |
Standard Annual Working Duration |
Annual Working Duration |
---|---|---|
POSITION- Application Engineer |
40 Weeks |
20 Weeks |
JOB- Development |
50 Weeks |
- |
LOCATION-HYD |
52 Weeks | - |
DEPARTMENT- Software Development |
- | - |
LEGAL EMPLOYER-IDC |
40 Weeks | - |
ENTERPRISE-GBI |
35 Weeks | - |
For example, if you're hiring an employee and adding an additional assignment, and you're using the following data, the standard annual working duration and annual working duration will be defaulted as follows.
Assignment A1 - POSITION-Application Engineer, JOB-Development, LOCATION-HYD and DEPARTMENT- Software Development
Assignment A2 - LOCATION-HYD and DEPARTMENT-Software Development
Attribute | Assignment A1 | Assignment A2 |
Reason |
---|---|---|---|
Standard Annual Working Duration |
40 Weeks |
52 Weeks |
In assignment A1, a value exists in position and job for this attribute but the application defaults from the position since it's higher in the hierarchy. In assignment A2, a value exists in the location and legal employer but the application defaults from the location since it's higher in the hierarchy. |
Annual Working Duration |
20 Weeks |
52 Weeks |
In assignment A1, a value exists in position and the application defaults from the position since it's higher in the hierarchy. In assignment A2, there is no value in the location or department. Hence, the application defaults from the standard annual working duration. |
This feature enables you to manage an additional adjusted FTE value at assignment level, thereby giving you more flexibility to manage your statutory FTE requirements.
Steps to Enable
By default, the new attributes are hidden on the responsive assignment pages. You need to enable them in the Transaction Design Studio (TDS) for each page or action. We will enable the attributes for the Change Working Hours action in the following steps.
- On the Home page, click My Client Groups > HCM Experience Design Studio.
- Select the Change Working Hours action.
- Click Add to add a rule.
- Enter a name and description for the rule.
- In the Page Attributes section, select Working Hours.
- Select Visible for these attributes.
- Adjusted FTE
- Annual Working Duration
- Annual Working Ratio
- Standard Annual Working Duration
- Click Save and Close.
Tips And Considerations
- The new attributes are available on the responsive employment flows.
- The value selected for the Annual Working Duration Units applies to both, Annual Working Duration or the Standard Annual Working Duration.
- Standard Annual Working Duration and Annual Working Duration are defaulted only when a new assignment is added as part of an employment transaction. For example, Add Assignment and Hire an Employee.
- In Update flows, only the Standard Annual Working Duration will be updated based on the change in values in the hierarchy. Annual Working Duration will retain the values from the earlier record.
- If there's a difference between the frequency of the derived standard annual working duration and annual working duration, the frequency specified for the standard annual working duration is taken into consideration for adjusted FTE calculation and the annual working duration will be set to null.
- However, while loading data using HDL, an error message is displayed to use the same unit for the annual working duration as the derived standard working hours.
- The Adjusted FTE accepts up to 10 decimals and the Annual Working Ratio accepts up to 5 decimals.
- The Annual Working Ratio and Adjusted FTE will be 0 when either the Annual Working Duration or the Standard Annual Working Duration is null.
- Adjusted FTE is calculated when Calculate FTE and headcount automatically option is set to Yes and there's a change in any of these triggering attributes.
- Standard Annual Working Duration
- Annual Working Duration Units
- Annual Working Duration
- Annual Working Ratio
- Assignment Standard Working Hours
- FTE
- The annual working ratio will be recalculated whenever there's a change in the standard annual working duration and annual working duration irrespective of the Calculate FTE and headcount automatically option setting.
- The new attributes are available in the following BIP data models. You can update the RTF template using any of these data models to include the new attributes.
- CorrectEmploymentDetails
- EmploymentCreateProcesses
- EditPendingWorker
- EmploymentUpdateProcesses
- EmploymentUpdateProcessesPostApproval
- LocalAndGlobalTransfer
- LocalAndGlobalTransferPostApproval
- Audit is enabled for these attributes.
- These attributes aren't currently available in the Workers REST service, but will be added in a future release.
- DBIs related to the newly added attributes are added to these user entities.

Changes to Load Additional Assignment Info
We have changed the way HCM Data Loader loads additional assignment info (EFF). Now the extensible flexfield (EFF) data will be loaded only if there is a corresponding assignment split on that date.
When you load assignment EFF data, the data will remain in the same DAT file if there arere no assignment changes existing on that date.
Data integrity will be maintained.
Steps to Enable
You don't need to do anything to enable this feature.
Tips And Considerations
- If you use an integration design to load assignment EFF data using HDL, then you must review the integration. This is to ensure that the corresponding assignment split exists on the same date in the application or is passed in the DAT file.

Securing Pending Worker Dashboard
In the responsive pending worker dashboard, the pending worker row-level actions were earlier secured only with function security privileges but not with data security policies. With this fix, the row-level individual actions are also secured with these data security policies (based on assignment).

In addition, a check is added to the quick convert ESS process if the logged in user has the required data security policy when the user selects one or more pending workers for quick conversion. The logged in user must have the PER_PENDING_WORKER_QUICK_HIRE_DATA data security policy assigned on the Assignment object for the selected pending workers. If the user doesn't have access to a pending worker, then that pending worker record is excluded from the conversion process and a message is displayed in the ESS log file stating that the user doesn't have access to the respective person record.
Users can now update or convert Pending Workers based on their assignment-level access, not just having functional access to the Pending Worker Dashboard.
Steps to Enable
You don't need to do anything to enable this feature.

Global HR Replaced or Removed Features
From time to time, Oracle replaces existing features with new features, or removes existing features.
Replaced features may be put on a path of removal, the features below will let you know what update you will have to have moved to the newer feature. As a best practice, you should move to the newer feature as soon as possible for full support and to stay up with the latest updates that the product offers.
Any feature that is removed, will have an Update in which that feature is no longer available. Please make necessary plans to move off the feature by the Update indicated, as it will no longer be available.
V2 Seniority Dates Removed in Update 23B
V2 seniority dates have been removed in Update 23B and are no longer supported. However, support for V1 seniority dates is still available.
Customers must move to either V1 seniority dates or V3 seniority dates to ensure business continuity. Moving to V3 seniority dates gives users richer capabilities.
To move to V3 seniority dates, customers must follow these steps:
- Follow instructions in the Help Center topic Implement Global Human Resources Guide - Process to Migrate Seniority Dates.
- Identify areas that reference Seniority Dates V2 tables - custom reports, fast formulas, eligibility profiles, extracts, and other custom integration.
- Execute the trial migration in your non-production environments using the "Migrate to Version 3 of Seniority Dates" ESS process.
- Compare the seniority dates results pre- and post-migration.
This will eliminate usage of unsupported pages.

Oracle Global Payroll Interface sends personal payroll information to third-party payroll providers and imports payslips and processed payroll data into Oracle HCM Cloud. You can configure payroll interfaces using the ‘Global Payroll Interface’ template to extend and augment your data feed to third-party payroll systems. If you import processed payroll data or payslips from your third-party payroll provider, the data is available for further reporting and analysis.
Global Payroll Interface Template Supports Prior Values On Changed Data
You can now extract changed data along with their prior values by using the Changed and Marked Attributes With Prior Values mode when submitting payroll interfaces generated using the Global Payroll Interface template.
On the Extract Definitions page create a payroll interface using the Global Payroll Interface template . Use the Submit a Flow task to run the payroll interface generated.
1. On the Home page, click the Submit a Flow quick action under the My Client Groups tab.
2. Select the Legislative Data Group.
3. Search for and select the name of the extract definition provided during the creation of the payroll interface.
4. On the Flow Parameters page in the Changes Only parameter, select the Changed and Marked Attributes With Prior Values.
This feature helps identify when a record was created and when one or more data within the record has been modified.
Steps to Enable
You don't need to do anything to enable this feature.
Perform a Baseline Extraction of Payroll Interfaces

Insert Images Using Image Library
Easily add an image to an email by using the media library rather than a URL. As part of an email communication campaign, campaign managers can simply insert an image directly into an email by searching through a library of images. Campaign admins upload and store images in the media library so that they’re available to add to email templates and communications.
Campaign admins and campaign managers can now use both methods to insert an image to an email communication. For example, when creating an email in HCM Communicate, select to add an image and either enter a URL for the image or choose an image from the library.
Navigate to the Manage Images page:
- In the Setup and Maintenance work area, go to:
- Offering: HCM Communicate
- Functional Area: Employee Communications
- Task: Manage Communication Media
- Select Add and then click in the main area to upload.
- Name the image.
- Choose Save and Activate or Save and Close. The save and Close option saves the image in draft status.
Upload Image
The media library stores the images and after you activate them, they’re available to insert into email communications.
Image Library Option in Email Editor
Store images in the media library to quickly insert images into email communications.
Steps to Enable
You don't need to do anything to enable this feature.
Simplify Email Communications with Basic Editor
Streamline your email communications by using the basic email editor option. This basic editor uses a rich text format editor which enables you to design email communications quickly. Campaign admins can use either the new basic editor or the existing advanced editor to create email templates and send emails. For example, as a campaign admin, you create a basic email template and assign it to a communication team. A campaign manager on the target communication team can access the basic email template and design emails using the basic email editor.
Basic Email Editor
Quickly design emails using the basic email editor using rich text format.
Steps to Enable
You don't need to do anything to enable this feature.
Access Requirements
Campaign admins automatically have access to both the basic and advanced editors to create email templates. Campaign admins can then give access to either or both editors to campaign managers using communication teams.
Limit Email Templates by Communication Team
Give campaign managers access to email templates that are relevant for them through associating email templates with communication teams. For example, you can limit campaign managers to templates that are relevant for their brand and their location only. You can associate basic, advanced or both email templates.
Control access to different email templates to help campaign managers design email communications.
Steps to Enable
You don't need to do anything to enable this feature.
Tips And Considerations
In previous releases, campaign managers could access any email template, regardless of the communication team associated to the campaign.
Limit Audience for Journey Campaigns
Create a campaign to target all the employees assigned to a journey on or after a certain date. For example, select the Promote Journey campaign purpose with Promote Journey Completion as the communication goal, and set the date of assignment to today’s date. This campaign now focuses on sending communications to employees who are assigned to this journey as of today. Adding the date means you can avoid sending communications to employees who have already received information about the journey they’re assigned.
Date Option for Journey Campaigns
Add date limit to better target communications to those audience members who were assigned a particular journey.
Steps to Enable
You don't need to do anything to enable this feature.

Secure Reporting on Worker Ethnicity data
Person Ethnicity is available in the Workforce Management - Person Real Time subject area and in other subject areas under the worker dimension, and access is granted via Report Person data security policies against the Person Ethnicity database resource. You can prevent roles from reporting on Person Ethnicity by identifying the data security policies that are granting access to this data, and end-dating them.
Person Ethnicity is sensitive information and you can control which roles are authorized to report on it.
Steps to Enable
In the security console, search for a role that you want to prevent reporting on Person Ethnicity. For example, the Line Manager role. Edit the role and navigate to the Data Security Policies page. Search for data security policies with a Data Resource of Person Ethnicity and a privilege of Report Person. Edit the data security policy and enter an End Date that is on or after the Start Date but before today's date. Press OK, navigate to the Summary page in the Edit Role flow and press Save and Close.
Tips And Considerations
1) Do not delete any Report Person data security policies. They will be recreated the next time the data role is regenerated. Data security policy End Dates are not changed when data roles are regenerated.
2) If a user has multiple roles with Report Person data security policies you must set an End Date on the Report Person data security policy for the Person Ethnicity database resource for all of the user's roles if you want to remove all reporting access to Person Ethnicity data from the user.
Additional Attributes to Support Standard Working Hours and Annual Working Duration
