Why processes are important

(3 MINUTE READ)

Imagine you’re starting a new job. You're excited to make a good impression and not make too many mistakes early on. A big part of this job is using a couple of systems that manage information. These systems manage information not only for the company you work for, but also for the other companies you'll be working with on projects.

You've been through some induction and onboarding training. You've got a good handle on the various systems and activities that are part of your role. But you can't be expected to remember everything. Plus, you might perform some activities infrequently. How do you remember what you're supposed to do?

This is where processes are crucial.

The benefits of processes

It's fair to say that when you mention processes to most people, the response is unlikely to be enthusiastic. But there are individuals and companies that understand the value of well understood and documented processes. Here are our favourite reasons for getting on top of your business and project related processes:

Consistency and clarity

Well defined processes help ensure that everyone in the organization, and on the project, is on the same page and carries out their tasks and activities in the same way, every time. They help everyone understand what their roles and responsibilities are.

Efficiency

Processes streamline your workload by reduce errors, wasted time and rework. They can help uncover unnecessary work and allow you to implement more efficient processes; cutting costs and focusing attention on more important tasks.

Compliance

Most companies and projects are required to adhere to certain laws and regulations. Processes help teams meet regulatory and industry requirements. They can help demonstrate that processes have been followed in the event of any dispute.

Training

Processes make it easier to train new employees and onboard them quickly. They can also help when someone goes on leave, and another team member has to fill in for them. With well documented processes, they'll be in a much better position to carry out the various tasks and activities without heavily impacting the business.

Reporting and escalation

Clearly documented processes enable informed decisions to be made. They can provide access to data and insights for business operations. Additionally, knowing what to do in the event of a mistake is made much easier with a defined line of command.

Tip!

We're talking about processes here, but the same benefits also apply to procedures too. Check out our article on the differences between Policies, Processes and Procedures.

Document your processes

Documenting processes is an important aspect of running any business or project. Not only can it help improve efficiencies and boost productivity, it can also make compliance much easier. Not to mention getting new staff up and running quicker.

Don't forget too, that everyone takes time off. Clearly defined processes make it easier for others to cover for them and not worry about what happens when they're away.

Documented processes help everyone stay on track.
