Terms and Conditions for Oracle Customer Edge Summit

Event terms: Registration, badges, and age limits

According to Oracle rules and regulations, attendees must register for the conference themselves using their own Oracle Account single sign-on (SSO) login, created with a current business email. If an attendee does not have an Oracle Account already created, they must create one at Oracle.com.

Attendees must use their own badge while onsite at the event. Badges are non-transferable and may not be shared with any other person(s). Any person found to be in violation of this policy will have their badge confiscated and revoked by event personnel and will be asked to leave the conference without refund.

Anyone under the age of 21 will not be able to attend the Sunday, March 2, 2025 Executive or Sponsor Reception nor the Monday, March 3, 2025 Welcome Reception.

Conference rates and eligibility

Public sector rate eligibility

Oracle’s definition of public sector extends beyond (but includes) traditional government agencies and ministries. The definition also includes state-owned entities, such as those in which a government has 30% or more ownership, voting control, and/or the ability to appoint officers or directors. For example, some airlines, financial institutions, telecommunications companies, utilities, energy exploration companies, hospitals, and other businesses may qualify.

Public sector attendees registering under the government rate will be required to show their employer-issued government ID or other proof of government employment as well as a government-issued photo ID during check-in at Oracle’s conference registration desk located on the 2nd floor at the Grand Hyatt, Nashville.

Oracle, may, at its sole discretion, charge the Standard Utility rate to anyone not satisfying these requirements or may cancel ineligible registrations. Public Sector discounts, with or without the Oracle Welcome Reception, are only available to those who qualify.

Public sector employees are not eligible to use a complimentary pass, group pass, or pass provided by another party to register for the Oracle conference. If Oracle rescinds your registration and refunds your payment, Oracle is not liable for any incidental damages, such as flight, hotel, or other related expenses.

At check in, Government officials must present their government credentials or other evidence of public work at the Oracle Customer Edge Summit. Oracle may, at its discretion, reject the registration of any person who does not comply with those requirements.

Discounts and complimentary passes

All registration discounts and complimentary passes can only be used on new registrations and will not be applied to existing or completed registrations. Complimentary passes are not redeemable onsite. Public sector attendees are not eligible to use complimentary passes.

Payment methods

Payment can be provided at the time of registration. Accepted payment methods include:

  • Credit card (American Express, Discover, MasterCard, or Visa) at the time of registration
  • Checks made payable to Oracle America, Inc.
  • Wire transfer (Note: Wire transfer fees are the responsibility of the attendee. They are not deducted from registration fees and are not eligible for refund)

Registration packages are not subject to US city, state, or federal taxes. If an attendee’s country of residence has additional taxes, those are the sole responsibility of the attendee and cannot be deducted from registration fees and are not eligible for refund.

Substitutions, Cancellations, and Refunds

All substitutions or cancellations must be received via an email to the Oracle Customer Edge Summit registration team at EnergyandWater-Events_us@oracle.com. Refer to the Eligible Refund Schedule below.

Substitutions must be received no later than 5 p.m. EST, Wednesday, February 26, 2025, to allow for processing.

Cancellation of travel and hotel reservations and any related cancellation fees are the exclusive responsibility of the registrant.

Oracle reserves the right to refuse registration or admission to anyone for any reason. If Oracle cancels your registration, Oracle will provide a full refund of the registration fee paid, if applicable.

Oracle may cancel or reschedule an event at its discretion. If it does, reasonable effort will be taken to notify you at least one week in advance of the cancellation/rescheduling. You will not be charged for any event cancelled by Oracle. If the event is rescheduled, any payment made will apply to the new date, unless you choose to cancel your registration, in which case you will be refunded the full amount paid for the event.

Eligible Refund Schedule

  • Full Refund: Cancel your registration with seven (7) or more calendar days prior to the event, Oracle will assess no charge, and any payment made will be refunded to you.
  • 50% Refund: Cancel your registration 1 to 6 calendar days prior to the scheduled start date of the class, Oracle will assess 50% of the event fee.
  • No Refund: Cancellation on the day of the event, failure to pick up badge credentials or no show are not eligible for refund, Oracle will assess 100% of the event fee.

Eligible refunds will be process within 14 days after the scheduled event date. Refunds will be processed for the USD amount of the payment at the time of the original transaction. Oracle is not responsible for fluctuations in currency exchange rates between the transaction date and the refund date or any other fees incurred such as wire transfer fees, international taxes, etc.

Oracle reserves the right to limit attendance at its events, at its sole discretion. If you do not comply with the Event Attendee Code of Conduct, Oracle reserves the right to remove you from the event (including without a refund), prohibit your attendance at future Oracle events, and/or pursue other means necessary to appropriately address your failure to comply with the Code.

Travel expenses

If registrants require travel to attend Oracle Customer Edge Summit, all reservations and expenses are the responsibility of the traveler. Oracle employees, contractors, and partners are not authorized to facilitate or pay for any travel expenses for event registrants and/or attendees unless specifically preapproved in writing under Oracle’s Non-Employee Travel process.

Entry into the United States: visas and immigration

If you require travel to attend, all reservations and expenses to attend are the responsibility of the traveler. Oracle employees, contractors and partners are not authorized to facilitate or pay for any travel expenses for event registrants and/or attendees unless specifically pre-approved in writing under Oracle’s Non-Employee Travel approval process.

Travel Documents or Immigration Inquiries: Completion of your registration and payment will generate a registration confirmation receipt email. Oracle does not issue customized documentation to registrants in support of travel or attendance to Oracle events, nor are any individual Oracle employees, contractors or partners authorized to do so for you. You are responsible for complying with all applicable US immigration laws and should consult with your own employer for any necessary letters to support any required applications for US visas and travel requirements. Travel Restrictions or Requirements: Travelers are responsible to research any government travel restriction or quarantine requirements based on country of departure and entry into the US and be aware of any changes prior to travel.

Onsite special meal requests

Where applicable onsite, Oracle makes an effort to provide meals that accommodate attendees with a variety of dietary requirements. We will make an effort to accommodate additional special requests, although we can't guarantee the ability to fulfill every request. Special meals are available on a first-come, first-served basis and quantities are limited, so your meal choice may not be available at some lunch locations. When you arrive at the lunch area, make your request known to a server and they will review with you the available meal options.

Onsite Photo/Recording Restrictions

By registering, attendees grant Oracle Corporation, its affiliates (“Oracle”), and its agents the right to take photographs or videos of them during Customer EDGE activities.

Attendees grant Oracle and its agents, assignees, and transferees the worldwide right to use, copy, distribute, exhibit, broadcast, transmit, perform, publish, and display the photos/videos of attendees, with or without names and biographic material, in any media including in print and electronic. Oracle may use the photos/videos for any lawful purpose including, but not limited to, publicity, marketing, and advertising.

Attendees understand that Oracle may process personal information collected in connection with likeness, voice, or portrait or included in the materials, in accordance with the Oracle General Privacy Policy. Oracle is under no obligation to compensate attendees. Attendees agree that Oracle is the exclusive copyright owner of the photographs/videos. Attendees further understand that content posted to social networks will be subject to the social network’s applicable terms and privacy policy.

Photo and recording restrictions

The use of any device to capture images and sound, live stream, upload, or rebroadcast speakers or presentations is strictly prohibited at all official Oracle event meetings, sessions, and events without express written consent from the Customer EDGE team.
